Security and Compliance Material Review for Identity Account and Permission Management: Conversation Logs and Auditing

What This Category of Data Looks Like

Data for this category comes from IAM systems, HR systems, business system logs and approval systems. It covers operation records across the full lifecycle of employee accounts. Daily associated documents include account application forms, permission matrices, offboarding recovery forms and audit reports. Data updates run on a daily full sync cadence, or trigger in real time when personnel changes occur. Data fields include account unique identifiers, operation types, timestamps, permission change content, associated approval document IDs and more. Only core information of real operations and associated business documents is recorded.

The characteristics of this data directly constrain the implementation logic of conversation logs and auditing. Multi-source data sources require log systems to support field formats from different systems, to avoid record loss caused by field mismatches. Flexible update cadences require audit tools to support daily full re-scans and real-time sync on personnel changes, to ensure coverage of all permission operation nodes. Associated daily documents require logs to bind corresponding approval document IDs, to help administrators trace the full process of permission application, changes and recovery. Consequences of unauthorized access and leftover accounts require audits to cover the full operation chain, without missing temporary permission and offboarding account recovery records.

Configuration Settings

Configuration ItemRecommended PracticeRationale
chatIdGlobally unique identifier bound to IAM account IDEnsures each log can be directly linked to a specific employee account, meeting identity tracing requirements
responseChatItemIdGenerated per operation node, retained for 180 daysComplies with compliance audit requirements for retaining operation trails, covers standard audit cycles
detailIncludes operation type, permission change content, associated document IDMatches association needs of daily audit documents, facilitates quick location of source documents for permission changes
Log sync trigger timingReal-time sync on personnel changes, daily full re-scanMatches data update frequency, ensures no missing permission operation records
Abnormal operation alert thresholdTrigger alert on 3 consecutive unauthorized access attemptsPrevents unauthorized access risks in advance, reduces exposure time of abnormal permissions
Log storage capacityNo less than 1000 MBAdapts to storage needs of multi-source logs, avoids record loss due to insufficient storage space

Three Common Misconfigurations

  • After calling an interface workflow, running data in conversation logs is empty. Phenomenon: After calling the permission change workflow interface, the returned log fields have no running data content. Cause: The collection rule for the detail parameter is not configured, and the running data fields of the business system logs are not associated.
  • Log sync disappears after user deletes a conversation. Phenomenon: After an employee deletes their personal conversation record, the corresponding operation record in the audit log is synchronously deleted. Cause: The log sync logic is bound to the soft delete status of the conversation, and no undeletable audit copy is retained.
  • Cannot query historical records for a specified user. Phenomenon: After entering the IAM account ID of a specified employee, no matching historical operation logs are returned. Cause: chatId is not bound to the IAM account ID, and logs are not indexed by account dimension.

How to Verify Correct Configuration

  • Initiate an account permission change operation, check if the generated logs contain complete content of the chatId, responseChatItemId, and detail fields.
  • Simulate a personnel change, confirm that logs are generated and synced to the specified storage location according to the set sync timing.
  • Attempt to delete a test conversation record, confirm that the audit log copy is not deleted and the complete operation trail is retained.
  • Enter the IAM account ID of a specified employee, confirm that the corresponding historical permission operation logs can be queried.
