Channel receivables: citation tracing for product questions

Review citation tracing for product questions in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection happens after credit sales. The work centers on credit granting and cash recovery, and it involves brand finance staff, sales back-office staff, and dealer owners. The materials handled in this category include accounts receivable aging schedules, collection letters, credit agreements, and shipment freeze notices. These materials update weekly or monthly.

For product information and selection questions, the task is to answer from these documents while citing the source and keeping a traceable path back to the original text. Citation tracing lets a person compare an answer against the specific material it came from. The aging schedule, the collection letter, the credit agreement, and the shipment freeze notice each carry different facts, and a question about product selection or material content must return the passage that actually supports the answer.

Constraints at the citation tracing step

The knowledge base search node outputs cited content as an array, and the length can be zero. When nothing is found, the output path still runs. The citation cap controls the maximum amount of content cited per search, measured in tokens. The minimum relevance value is a 0-1 threshold that applies only during semantic retrieval or when result reranking is used. Hybrid retrieval merges multiple result paths through RRF, and a rerank model reorders candidate text. Linked knowledge bases must share the same vector model; bases with different vector models cannot be linked together.

A relevance score is a filter threshold, not a permission or entity filter. It does not exclude unrelated businesses or unauthorized records. Retrieval is not authorization. Whether a person may see a given record depends on the knowledge base that was selected and its access scope, not on the similarity setting.

Hypothetical paper exercise sample: A brand finance staff member searches an internal knowledge base for "the authorization basis for a shipment freeze notice." The material text provided for comparison is: "Credit agreement (number H-2025-017) states that dealer A has a credit limit of 800,000 yuan, and that when the aging exceeds 60 days the sales back-office staff may initiate a shipment freeze request; execution of the freeze requires approval by the brand finance lead." The proposed draft sentence to be judged is: "Credit agreement H-2025-017 has approved the execution of a shipment freeze against dealer A." The draft sentence treats "may initiate a request" as "has approved execution." The material text does not state that approval was completed.

Configuration and implementation checks

Configuration itemHypothetical starting value for this exerciseReason and comparison method
Linked knowledge basesSelect receivables collection bases that share one vector modelCheck the vector model identifier of each base and exclude any that do not match
Search modeHybrid retrievalMaterials contain numbers and natural-language questions, so both recall paths are needed
Citation capHypothetically set to 3000 tokensCompare against the paragraph lengths of aging schedules and collection letters, then adjust
Minimum relevanceHypothetically set to 0.4Compare against the rerank score distribution and observe the filtering effect
Result rerankingEnabledConfirm that a rerank model has been configured
Question optimizationEnabled for multi-turn follow-up scenariosA single clear question can leave it off to reduce latency

These values are hypothetical starting points for this exercise, not official defaults. Image retrieval requires image input and a model that supports the corresponding capability. Reranking requires a configured model and must be enabled in the settings. The optional paths shown in the document flow diagram do not all execute on every request.

Three common errors

  1. Treating "may initiate a shipment freeze request" in the credit agreement as "has approved execution of the freeze." The material text states only the condition for initiating a request and does not state the approval status. The check is to compare the status wording in the original text against the wording in the answer, word by word.
  2. Treating a citation array of length zero from the search output as a workflow error. The documentation states the output length can be zero and the empty-result path still runs. The check is to confirm whether the downstream node is designed to accept an empty array.
  3. Treating the minimum relevance value or a semantic similarity score as a permission or entity filter. A relevance score does not exclude unrelated businesses or unauthorized records. The check is to confirm whether the search scope has already been limited to knowledge bases the user is authorized to access.

How to verify the setup

  1. Enter the material text and the proposed draft sentence from the hypothetical sample above, and compare the status difference between "may initiate a request" and "has approved execution." If the answer merges the two, the citation tracing requirement is not met.
  2. Enter an explicit paper empty-result array [] and check whether the downstream answer node accepts it as designed. If the downstream node errors or halts on the empty array, the receiving logic needs adjustment.
  3. Check the vector model identifiers of the linked knowledge bases and exclude any that do not match. If a cross-model link exists, record it as a configuration gap. Do not run a cross-model retrieval to compare missed recalls.

The material text and the draft sentence are a hypothetical paper exercise. No test, deployment, approval, or business action has occurred. Where the material text does not state an approval status, that evidence remains missing and the answer must be marked as unsupported or pending verification.
