What the documents look like
Chain-store closure and settlement handles exit and asset recovery, the reverse direction from headquarters site selection and store opening. The work draws on POS inventory, the fixed-asset system, lease contracts and financial ledgers. The typical documents are closure approvals, inventory clearance forms, lease termination agreements and asset count sheets. These materials sit with different holders: chain operations, finance, legal and the landlord contact. Their states diverge widely. A closure approval may be pending review. A lease termination agreement may exist only as an initial draft signature. An asset count sheet may cover only part of the stores. Updates are irregular and occur once per store, so workflow routing must collect materials per single store and per single task. A form already submitted for one store cannot serve as the authorization basis for another store. Product material and selection questions must be answered from these documents. Retrieval results and form entries are information inputs only. They do not constitute an approval, a termination or a settlement execution.
Constraints at the workflow routing step
When the form input node triggers, the conversation enters an interaction state, the node collects required information, and on submission it passes that information to later nodes. When the user selection node triggers, the conversation also enters an interaction state, and after the user makes a choice the node evaluates that choice and executes the corresponding "yes" branch. Both nodes record workflow state and wait for the user to finish interacting before the workflow continues downward. Closure settlement selection questions often need the store, the material type and the authorization state confirmed first, before deciding whether to cite a given document. Semantic recall and relevance in the retrieval library affect only the ranking of candidate text. They carry no permission or entity isolation, so textual similarity does not establish that a store has received closure authorization. Order writes, document backfill and external status synchronization require a separate business interface or a later process. The interaction nodes themselves do not perform those actions. Libraries built on different vector models cannot be associated together; identifiers must be checked first and non-matching libraries excluded.
A hypothetical paper exercise sample, labelled as such: the source material reads "Store A closure approval form, status is pending review; inventory clearance form, status: not submitted; lease termination agreement, status: initial draft signature." The draft sentence under review reads "Store A has completed closure approval and may proceed with inventory clearance."
Configuration and implementation checks
The table below covers this page's sample and the settings or implementation checks relevant to this feature and its primary task.
| Configuration item | Type | Description |
|---|---|---|
| Form input node | Documented node behavior | Enters the interaction state on trigger, collects required information, passes it to later nodes on submission |
| User selection node | Documented node behavior | Executes the corresponding "yes" branch after the user makes a choice; verify each branch connection individually |
| Interaction state check | Manual verification action | State recording is behavior of the interaction nodes; no separate global state-recording switch is documented |
| Output handoff check | Manual verification action | Pass collected information explicitly to later retrieval, judgment or interface nodes; compare each output against its input |
| External action split | Requires a separate system implementation | Order writes, document backfill and external status synchronization need a separate business interface or later process |
| Hypothetical exercise starting value | Starting value for this exercise only | The sample's "pending review" state is set as the starting point for comparison against an "approved" value; this is not a documented default |
Three common errors
- Treating a retrieval hit as authorization. Hypothetical exercise sample: the source material reads "Store A closure approval form, status is pending review; inventory clearance form, status: not submitted; lease termination agreement, status: initial draft signature." The draft sentence reads "Store A has completed closure approval and may proceed with inventory clearance." The error is treating pending review as approval. Check: input the source text and the draft sentence, compare the approval form status field value "pending review" against the draft sentence's "completed." If the source text does not contain "approved," the draft sentence is unsupported.
- Treating a user selection branch as business execution. Hypothetical exercise sample: the source material reads "Store B lease termination agreement, status: initial draft signature; asset count sheet, status is submitted." The draft sentence reads "Store B's lease has been terminated and the deposit may be refunded." The error is treating an initial draft signature as an effective termination. Check: input the source text and the draft sentence, compare the agreement status "initial draft signature" against the draft sentence's "terminated." If the source text contains no effective clause, the draft sentence is unsupported.
- Mixing materials across stores. Hypothetical exercise sample: the source material reads "Store C asset count sheet, date: 2024-05-01, scope: Store C." The draft sentence reads "Store D's asset count is complete and Store C's count sheet may be cited." The error is using Store C's material for Store D. Check: input the source text and the draft sentence, compare the material identifier "Store C" against the draft sentence's "Store D." If the identifiers do not match, the draft sentence is unsupported.
How to verify the setup
- Input the Store A source text and draft sentence above, compare the approval form status field "pending review" against the draft sentence's "completed." The expected observation is that the draft sentence is unsupported and approved evidence must be supplied.
- Input the Store B source text and draft sentence above, compare the agreement status "initial draft signature" against the draft sentence's "terminated." The expected observation is that the draft sentence is unsupported and effective evidence must be supplied.
- Input the Store C source text and draft sentence above, compare the material identifier "Store C" against the draft sentence's "Store D." The expected observation is that the draft sentence is unsupported and Store D's own materials must be supplied.
All three are paper comparisons. No execution has taken place.
