What the documents look like
Closure settlement moves in the opposite direction from headquarters site selection and store opening. It handles exit and asset recovery. The main data sources are POS inventory, the fixed-asset system, lease contracts and financial ledgers. Typical roles involved are chain operations, finance, legal and the landlord contact. Day-to-day documents are closure approvals, inventory clearance forms, lease termination agreements and asset count sheets. Data updates on an irregular, per-store basis; this page does not derive batch synchronization or real-time mechanisms from that frequency. The consequences of error include deposit loss, asset loss, and labor or franchise disputes. Product material and selection Q&A therefore needs to check citation sources line by line and confirm the version and authorization state of the material an answer relies on.
Closure documents carry status fields that change independently. An approval can be passed while a lease termination agreement is still unsigned. An asset count sheet can exist while clearance is incomplete. A citation tracing step that treats any retrieved record as a completed business fact will misstate the stage of the closure.
Constraints at the citation tracing step
The knowledge base search node can select one or more knowledge bases that share the same vector model. Knowledge bases with different vector models cannot be associated together. The output is an array of citations, and its length can be 0. An empty array means the output path still runs; it does not mean the workflow terminated with an error. The citation limit controls the maximum content cited per search, measured in tokens. The minimum relevance value is a number from 0 to 1 and takes effect only in semantic search or when result reranking is used. Minimum relevance is a filter threshold; it does not perform permission or entity isolation. Retrieval does not constitute authorization. Hybrid search merges multiple result paths through RRF, and Rerank performs a second ordering of candidate text. Both are processing steps inside the retrieval flow. Full-text search and semantic search suit different cases; exact queries for numbers and models depend more on full-text hits. Image retrieval requires image input and corresponding model capability. Reranking requires a model and must be enabled in settings. The optional paths drawn in the document flow diagram do not mean every request executes all of them.
Hypothetical paper exercise sample: a chain brand operations staff member submits a closure settlement material check request. Material text one reads: "Store A entered the closure settlement stage on 31 March 2025. Inventory clearance form number QC-2025-031. Asset count sheet number ZC-2025-018. The lease termination agreement is still under landlord review and is unsigned." Material text two reads: "Closure approval form number SP-2025-007, approval status passed, approval date 25 March 2025." The draft sentence to be judged is: "Store A has completed lease termination and all assets have been cleared." This draft sentence touches two facts, lease termination status and asset clearance status. The material places the lease termination agreement at review and unsigned. The asset count sheet only shows that a count record exists; it does not state that clearance is complete.
Configuration and implementation checks
| Configuration item | Hypothetical starting value for this exercise | Reason and comparison method |
|---|---|---|
| Associated knowledge base | Select the closure settlement material base | Check the vector model identifier of the selected knowledge base against the model used for the current search; exclude those that do not match |
| Search mode | Hybrid search | The material contains numbered fields; hybrid search uses semantic recall and full-text recall together, then merges with RRF |
| Citation limit | Hypothetical starting value 3000 tokens | A trial starting point for this exercise, used to observe whether cited content length covers the key material fields; compare with lower and higher values |
| Minimum relevance | Hypothetical starting value 0.3 | A trial starting point for this exercise, effective only in semantic search or result reranking; compare filtering effect with a higher threshold |
| Result reranking | Enabled | Requires a ReRank model and must be enabled in settings; performs a second ordering of candidate text |
| Question optimization | On | The material contains numbers and subject references; question optimization performs reference resolution and question expansion before retrieval |
Three common errors
- Treating retrieval output as business authorization. The input is the citation array returned by knowledge base search. Compare the retrieval result against the approval status field of closure approval form SP-2025-007, and observe whether a passed approval is misread as completed lease termination. Retrieval does not constitute authorization, and a passed approval does not equal a signed and effective lease.
- Treating a pending state as a negative conclusion. The input is the original text stating the lease termination agreement is still under landlord review and unsigned. Compare the draft sentence "has completed lease termination" against the status field in the original, and observe whether an unsigned state is written as completed. Pending review does not show a lack of operating authority, and it does not equal completed termination.
- Treating empty citation output as retrieval failure. The input is the node output array. Compare the array length against the documented allowance of 0, and observe whether an empty array is judged as a workflow exception. An empty array means the output path runs; it does not mean an error terminated the flow.
How to verify the setup
- Input the material text from the hypothetical sample, "the lease termination agreement is still under landlord review and is unsigned." Compare the draft sentence "Store A has completed lease termination" against the status field in the original. The expected result is that the draft sentence is unsupported and must be marked as pending verification. If the draft sentence is changed to "the lease termination agreement is at the review stage," it matches the original.
- Input the approval status "passed" of closure approval form SP-2025-007 from the hypothetical sample. Compare that field against the lease termination agreement signing status as two distinct facts. The expected result is that a passed approval does not yield completed lease termination. A contradiction exists only when the same field has mutually exclusive values across two materials; evidence of a related stage alone is unsupported.
- Input the knowledge base search node output array. Compare the array length against the documented allowance of 0, and observe whether the downstream receiving design still runs when the array is empty. The expected result is to check the downstream design against an explicit paper input of []; do not claim that a fictional rule retrieval necessarily returns []. For knowledge bases with different vector models, check the identifier first and exclude those that do not match; do not run cross-model retrieval to compare missed recalls.
