What the documents look like
FBA preparation moves inventory into platform warehouses, so the operating risk sits with inbound discrepancies and inventory age. Order fulfilment and after-sales question handling in this category revolve around four document families: inbound plans, box labels, inventory reports and compensation claims. The public brief lists Amazon Seller Central, FBA inventory reports, freight forwarder tracking and ERP purchase orders as the main data sources, with daily or weekly updates. Stockouts and ranking loss, storage fee increases and failed claims are the consequences the brief names.
A conversation log is not the same object as the documents it refers to. The chat interface returns an id, model, usage and choices array; when detail=true, the responseData array carries per-module entries with moduleName, moduleType, runningTime, tokens, query, answer and, for dataset search, quoteList and similarity. The chat CRUD endpoints return chatId, dataId, obj, value, customFeedbacks, totalQuoteList and totalRunningTime. A log entry therefore records what the interface returned for a turn; it does not by itself confirm that a plan was approved, a label was reviewed or a claim was filed. Reconciliation, retention and compliance obligations belong to a complete business implementation, and the presence of a log does not complete an audit.
Constraints at the conversation logs step
chatId identifies one conversation under an application; dataId identifies one dialogue inside that conversation. Both are required to locate a business record, and conversations created through different entry points must not be counted together. source=api in getHistories returns only conversations created through the API, not conversations on the page, so a list obtained with that filter cannot stand in for all activity.
When run detail is needed, detail follows the official contract and the module state and full result appear in responseData. Business data that was not returned cannot be assumed to have been retained completely. Test-mode identity fields may differ, so input, history and returned content are checked separately. Retrieval and forms collect values; business verification, approval, database writes and external synchronisation each need their own downstream implementation. A similarity score is not a category, entity or permission filter, and retrieval is not authorisation.
Hypothetical drill sample. The material text supplied for comparison contains three sentences. Sentence one: "Inbound plan number PLAN-2024-0715, destination warehouse FBA US West, planned arrival date 15 July 2024." Sentence two: "Box label file BOX-0715-01 has been produced by the operations specialist, status pending review by the logistics supervisor." Sentence three: "Compensation claim CLM-0715-03 concerns an inventory report discrepancy, status draft, not submitted." One draft sentence to be judged reads: "BOX-0715-01 has passed review, and CLM-0715-03 has been submitted and is awaiting Amazon acceptance." The draft and the material text hold mutually exclusive values on two fields: box label review status and compensation claim submission status.
Configuration and implementation checks
The table below concerns this sample only. Values are hypothetical starting points for this exercise, not official defaults.
| Configuration item | Hypothetical starting point | Reason and comparison method |
|---|---|---|
| chatId value | Conversation identifier corresponding to sample PLAN-2024-0715 | Check whether dataId entries under this conversation point to questions about that plan |
| dataId record scope | Covers the two dialogues for BOX-0715-01 and CLM-0715-03 | Compare item by item against the list returned by getPaginationRecords |
| detail setting | true when run detail is required | Compare whether responseData contains the corresponding moduleType element |
| source filter | api, to take only API-created conversations | Compare against the page conversation list to confirm no mixing |
| Feedback field | loadCustomFeedbacks set to true | Compare whether the returned customFeedbacks is an empty array |
| Run detail check | moduleType and runningTime from getResData | Match against the sample dialogue IDs one by one |
Three common errors
- Treating pending review as passed review. In the sample, BOX-0715-01 is pending review by the logistics supervisor; the draft sentence states it has passed review. The two values are mutually exclusive on the same field.
- Treating a draft as submitted. In the sample, CLM-0715-03 is a draft and not submitted; the draft sentence states it has been submitted and is awaiting acceptance. No evidence of a submission action exists.
- Treating a retrieval hit as authorisation. A similarity score reflects degree of match only. It does not show that this conversation may access the corresponding business record, and it does not exclude unrelated records.
How to verify the setup
- Input the three material sentences and the draft sentence. Compare the box label review status field. If the draft value is mutually exclusive with the material text, the sentence is unsupported and the evidence gap is retained.
- Input the material text and the draft sentence. Compare the compensation claim submission status field. If the material text says draft with no submission record, the sentence is unsupported, and no authorisation or effective clause may be supplied.
- Input the list returned by getPaginationRecords and the two sample dialogues. Compare dataId and obj. If the corresponding records are absent from the list, record the result as unsupported and do not infer that the log was retained completely.
