Franchise fee settlement: workflow routing for after-sales questions

Review workflow routing for after-sales questions in Franchise fee settlement. Check input mappings, source evidence and failure handling before use.

What the documents look like

Franchise fee and deposit settlement deals with money and breach deductions. It does not carry the government filing duties that belong to franchise registration administration. The working materials are franchise fee invoices, deposit ledgers, deduction notices, and contract payment schedules. These draw on the finance system, the franchise contract, bank transaction records, and store violation records. Updates follow a monthly rhythm and each individual deduction.

In order fulfillment and after-sales question handling, workflow routing concerns the sequence in which these materials move: whether a deduction cause has been confirmed, whether an invoice has been issued, and which stage a deposit refund request has reached. Workflow nodes collect values and drive branches. Business writes and external synchronization require separate interface implementation.

Constraints at the workflow routing step

The form input node is a user interaction node. When it triggers, the conversation enters an interaction state, the workflow state is recorded, and after the user submits the required information the node passes that information to subsequent nodes. The user selection node is also a user interaction node. It enters the interaction state in the same way, and when the user makes a choice the node evaluates that choice and executes the corresponding "yes" branch. Both nodes can be added repeatedly and trigger execution.

The constraint is this: interaction nodes collect values, and collecting a value does not constitute authorization. A deduction notice entered into a form means the field has been recorded. It does not mean the deduction has been approved. A user selection of "yes" only drives the branch direction. It does not complete a refund, an invoice issuance, or a ledger write. Those actions need downstream interfaces or later processes to carry them.

Hypothetical drill sample: the source material reads, "Franchisee A; the contract payment schedule states that the franchise fee for March 2025 is due; the deduction notice states the cause as overdue non-payment; the deposit ledger records that this deposit has not been used." The draft sentence to be judged is, "The deposit now meets the refund conditions and a refund may be initiated." In this sample the subject is Franchisee A, the object is the deposit, the status is not yet used, and the material does not state whether the refund conditions have been met.

Three common errors

  1. Treating a form submission as an approved deduction. In the sample the deduction notice has been entered, which only means the field holds a value. Approval status needs separate evidence; when absent, record it as pending verification.
  2. Treating a user selection of "yes" as a completed refund. In the sample the deposit has not been used and the refund conditions are not stated. The selection branch only determines the process direction.
  3. Treating a retrieval hit as an authorization scope. A similarity score does not exclude unrelated subjects or records without permission. A hit on Franchisee A's material does not mean that subject may initiate a refund.

How to verify the setup

  1. Enter the sample source text and the draft sentence, and compare whether the draft sentence exceeds the subject, object, and status stated in the source. The source does not state the refund conditions, while the draft sentence asserts that the conditions are met. This is unsupported and the evidence gap should be recorded.
  2. Check the connection of the two branches of the user selection node. After selecting "yes" the flow should enter the corresponding branch; after selecting the other option it should not enter that branch. The branch direction is observable; whether a business action occurs is outside the node.
  3. Check whether the form output is explicitly passed to later nodes. When using a paper input of an empty result to carry the downstream design, compare whether the downstream handles it as an empty value. Do not claim that an actual retrieval necessarily returns an empty result.

Libraries across different vector models cannot be associated together. Check the identifier first and exclude those that do not match. Image retrieval requires an image input and model capability. Reranking requires a model and must be enabled according to settings.
