Omnichannel stock transfers: workflow routing for after-sales questions

Review workflow routing for after-sales questions in Omnichannel stock transfers. Check input mappings, source evidence and failure handling before use.

What the documents look like

Brand omnichannel stock transfer moves goods between stores and warehouses. It does not handle marketing outreach. The data sources named in the brief are ERP inventory, store POS, e-commerce orders and WMS. The daily documents are transfer requests, inventory snapshots, store shortage lists and transfer logistics notes. These four materials carry, in turn, the request intent, a point-in-time quantity, a gap description and an in-transit status. The brief gives daily and per-order update frequencies for this category, so a workflow step has to work from the information submitted in the current interaction rather than treating an earlier snapshot as the current transferable basis. The three most time-consuming steps are finding transferable stock, approving the transfer path and updating arrival and receipt. These correspond to retrieval, branch decision and external write responsibilities inside a workflow.

The task on this page is order fulfilment and after-sales questions. The feature is workflow routing. The routing step receives operator questions and handover requests about a transfer and has to decide what the workflow may do with them.

Constraints at the workflow routing step

The form input node is a user-interaction node. When it triggers, the conversation enters an interaction state and the workflow state is recorded. After the user fills in required information and submits, the node collects the submitted form information and passes it to later nodes. The user selection node is also a user-interaction node. It enters the interaction state in the same way, and when the user makes a choice the node evaluates that choice and executes the corresponding yes branch. Interaction waiting, state recording and hiding the dialog box are documented behaviour of these nodes. The supplied documents do not describe a global state-recording switch or a submission-count control, so none is assumed here.

Transfer approval is a business authorization. A retrieval hit and a form submission do not constitute approval. Order writes, document backfill and external status synchronization require a separate business interface or a later process; the workflow itself does not produce those actions. The same-vector-model requirement for a retrieval library applies only to the association scenario described in the documents and does not extend to external systems. A relevance score carries no permission or entity-isolation duty, and a retrieval result is not an authorization credential for transferable stock.

Hypothetical paper test case, labelled as such. Transfer request original text: "Transfer request T-0417, requesting entity a store in the East China region, object a certain model of goods, 30 units, source warehouse the East China e-commerce warehouse, request date 17 April, status pending review." Inventory snapshot original text: "Available quantity of this model at the East China e-commerce warehouse is 22 units, snapshot time 17 April 09:00." Draft sentence to be assessed: "This request has been approved; 30 units may be scheduled for transfer outbound." Handover request to be assessed: "Please generate the outbound handover note according to approved status." In this sample the request status is pending review and the snapshot available quantity is below the requested quantity. The draft sentence and the request both lack an approval basis.

Configuration and implementation checks

Configuration itemSetting for this pageHow to check it
Form input nodeEnters the interaction state when triggered; collects required information and passes it to later nodesCompare submitted fields with the fields referenced by later nodes
User selection nodeExecutes the corresponding yes branch after the user makes a choiceVerify each branch connection against the selection outcome
Interaction state checkState recording is documented behaviour of the interaction nodesCheck whether a global state switch has been added without a documented basis
Output handover checkCollected information is explicitly passed to a retrieval, decision or interface nodeCompare each output with its input and confirm no broken link
External action splitOrder writes, document backfill and external synchronization connect to a separate interface or later processConfirm no business action inside the workflow is treated as completed
Hypothetical test starting pointThis sample starts from request status pending review and compares it with snapshot availability of 22 unitsState that this starting point comes from the sample text and is not an official default

Three common errors

  1. Treating a pending-review request as approved. In the sample the request status is pending review while the draft sentence says approved. Check by entering the request original text, comparing the status field value with the wording of the draft sentence, and accepting the condition only when the status field explicitly reads approved.
  2. Using a retrieval hit in place of authorization. A retrieval result and a relevance score do not constitute a transfer permit. Check by entering the retrieval return content, comparing whether it contains an authorization field, and blocking entry into the outbound branch when no authorization field is present.
  3. Treating form submission as a completed external write. The form node only collects and passes information. Check by entering the form output fields, comparing whether an actual interface node exists downstream, and recording the item as pending implementation when no interface node is present.

How to verify the setup

  1. For the sample draft sentence, enter the request original text and the snapshot original text, compare the request status with the wording of the draft sentence and the snapshot available quantity with the drafted quantity. The condition is satisfied only when the status reads approved and the available quantity covers the requested quantity; otherwise record the draft as unsupported.
  2. For the handover request, enter the request text and the request original text, compare the status on which the request relies with the status field in the original text. When the status field reads pending review the request does not satisfy the execution condition, and the evidence gap remains open.
  3. For empty-result handling, enter an explicit paper retrieval result of []. Compare whether the downstream branch is designed to handle an empty result. Do not claim that a fictional rule retrieval necessarily returns an empty result. For libraries across different vector models, first check the identifier and exclude those that do not match; do not run a cross-model retrieval to compare missed recall.
