What the documents look like
Repair and reship work aims to restore a product to use, so it does not close the way a refund-only dispute closes. A conversation log for this category therefore has to sit alongside four document families at once: repair applications, reship orders, inspection reports, and accessory outbound orders. The operational data comes from the after-sales system, the order system, repair sites, and the accessory warehouse WMS. The parties involved are brand after-sales teams, e-commerce customer service, and accessory warehouses. Documents update per order and daily. When this goes wrong, the visible consequences are repeated complaints, repairs running past their expected window, and accessory costs moving outside control.
For the conversation logs and audit step, the question is narrower than the whole after-sales workflow. The step has to record which materials, operations, and requests sit at which authorization state during order fulfillment and after-sales question answering. A repair application and an inspection report can describe a fault and recommend a replacement part. They do not by themselves place an accessory outbound order, and they do not by themselves record an approval. The log can hold what was said and what the workflow returned. Reconciliation, retention, and compliance obligations belong to a complete business solution implemented elsewhere; the presence of a log does not mean a compliance audit has been completed.
A second constraint follows from conversation identity. The chatId identifies a conversation under one application, and dataId identifies one exchange under that conversation. Conversations arriving through different entry points cannot be counted together. When run detail is needed, the official contract requires setting detail and inspecting responseData. Field meanings follow what the interface actually returns; business data that was not returned cannot be treated as fully retained. Identity fields in a test mode may differ from a formal call, so inputs, history, and returned content need separate checks. Retrieval and forms collect or surface values; they do not grant authorization and do not execute business actions.
Constraints at the conversation logs step
The following hypothetical drill sample is a paper exercise. It is not a real customer, a real company, or a legal identity number.
Hypothetical drill sample. On 10 March 2025 a brand after-sales agent receives a repair application. The material text reads: "Repair application number WX-20250310-017, product is an electric toothbrush, fault description is failure to charge, customer requests a reship of the charging base." A second material reads: "Inspection report conclusion: charging base connector damaged, recommend reshipping the base, date 11 March 2025." The draft sentence awaiting judgment reads: "The reship of the base has been confirmed, and the accessory warehouse shipped it the same day."
That draft sentence describes an executed action. At this point the available materials are the application and the inspection report. There is no accessory outbound order and no signed authorization record. The recommendation in the inspection report is a recommendation, not an approval. The absence of an outbound order and an authorization record leaves the claimed execution unsupported.
The same distinction applies to the conversation record. A chatId retrieved from the database is a conversation identity, not a permission. A responseChatItemId stored as the response message ID is an identifier, not a confirmation that a downstream warehouse action occurred. A variables object substitutes values into input placeholders; passing an order number or product name as a variable does not verify the order or the product. The source parameter distinguishes conversations created through the API from conversations created on a page, and that distinction matters when the same chatId is being reconciled against business records.
Configuration and implementation checks
The table below lists settings that the official documents describe, together with the way this sample checks them. The values shown are paper-exercise starting points, not official defaults.
| Configuration item | Documented content | Check against this sample |
|---|---|---|
| chatId | A non-empty string retrieves the conversation from the database and uses the last message as the user question | Confirm the chatId tied to WX-20250310-017 is unique and matches the intended conversation |
| detail | Set to true to return intermediate values and complete results | Inspect responseData for the inspection report node output |
| responseChatItemId | When passed, it becomes the response message ID stored in the database | Confirm the response ID for this reship answer is unique under this chatId |
| variables | An object that replaces [key] in input box content | Confirm the order number and product name are passed as variables |
| source | source=api retrieves conversations created through the API | Confirm this conversation originates from api and exclude page conversations |
| loadCustomFeedbacks | Optional flag for reading custom feedback | Confirm whether feedback for this order was read, and record the gap if it was not |
Hypothetical trial starting point: detail is set to true because the inspection report node output needs to be examined. The comparison object is the detail=false response, which returns only the final answer text. This starting point is set for this paper exercise and is not an official default value.
Three common errors
- Treating a retrieval result as authorization. In the sample, the inspection report recommends a reship. Retrieving that report does not mean the reship was approved. The accessory outbound order and the authorization record remain missing.
- Mixing conversation sources. Combining page conversations with conversations returned under source=api causes the same chatId to be counted more than once during reconciliation.
- Assuming an unreturned field was retained. When the interface does not return an accessory outbound order field, that document cannot be treated as fully stored in the log.
Executable checks for those errors:
- Input the sample material text and the draft sentence. Compare the draft sentence's claim that the reship "has been confirmed" against the application and inspection report, which contain only a request and a recommendation. Observe whether an authorization signature or an outbound order record exists. When no record exists, mark the claim as unsupported.
- Input the conversation's source parameter. Compare the chatIds in the returned list against the known page conversation chatId. Observe whether the two are listed separately.
- Input a request with detail=true. Compare the fields appearing in responseData against the field list required for an accessory outbound order. Observe whether the outbound order field appears. When it does not appear, record it as a gap.
How to verify the setup
- Verification one. Input the repair application number WX-20250310-017 and the inspection report text from the sample. Compare the draft sentence "The reship of the base has been confirmed, and the accessory warehouse shipped it the same day" against the state recorded in the materials. Observe whether an outbound order or an authorization record exists. The expected result is that, with only the application and the inspection report present, the executed action described in the draft sentence is unsupported. This is a paper check and no interface was called.
- Verification two. Input the chatId and source=api. Compare the chatIds in the returned conversation list against the known page conversation chatId. Observe whether only API-created conversations are returned. The expected result is that the page conversation does not appear in that list. If it does appear, record the result as source mixing.
- Verification three. Input a request with detail=true. Compare the module outputs inside responseData against the required business field list. Observe whether the inspection report node is returned and whether the accessory outbound order field is missing. The expected result is that the inspection report node can be returned, and that a missing outbound order field is recorded as unknown rather than assumed retained.
Empty-result handling. A clearly stated paper input of [] can be used to check the downstream design. It does not mean that a retrieval of invented rules will necessarily return an empty array. Semantic similarity does not perform permission or entity isolation. Libraries built on different vector models cannot be jointly associated; identifiers must be checked first and non-matching items excluded.
