What the documents look like
Supermarket supplier entry settlement typically runs on purchase-and-sale or consignment payables rather than concession-counter operations, so a supplier may have no resident staff at the store. The working papers are the purchase contract, the delivery acceptance note, the rebate agreement and the statement of account. Data arrives from ERP purchasing, the supplier portal, POS sales and the finance system, and it refreshes weekly or monthly. Within order fulfillment and after-sales question handling, checking accepted quantities, calculating rebate deductions and resolving return discrepancies consume the most time. When these papers become disconnected at the citation step, the result is account disputes, supplier suspension of delivery, or breach of fair-trading requirements. Citation tracing requires that an answer or a handover item can be returned to the specific source text and version of a material. A retrieval hit does not mean the underlying business action has been authorized.
Constraints at the citation tracing step
The knowledge base search node can associate one or more knowledge bases that share the same vector model, and it outputs a citation array whose length may be zero. An empty array means the search path completed without returning content; it does not mean the workflow errored out or terminated. Citation content must be passed to the answering step, and each answer must be checked line by line against the cited source text. The vector model identifier of associated knowledge bases must match; bases with mismatched identifiers cannot be associated together, and in that case only the identifier is checked and the mismatched base is excluded, without running a cross-model retrieval to compare missed recalls. The minimum relevance value is a filter threshold and does not perform permission or entity isolation. Hybrid retrieval merges multiple result channels through RRF, which is a process description and has no corresponding toggle. Image retrieval requires image input and model capability, and reranking requires a model and is enabled according to settings. The paths listed in the overall document flow diagram do not mean every request executes all of them.
Hypothetical drill sample: in a supermarket supplier settlement scenario, assume a paper material "Delivery Acceptance Note" excerpt: "Supplier A delivered product batch C to store B on 10 March 2025; accepted quantity 100 cases; confirmed by signature of the acceptance clerk." Assume a second paper material "Rebate Agreement" excerpt: "Supplier A's annual rebate is settled quarterly, and the deduction rate is based on accepted quantity." Draft sentence to be assessed: "The accepted quantity of this batch for Supplier A has been confirmed and can be used for this quarter's rebate deduction calculation." The subject required for judgment is Supplier A, the object is product batch C, the state is confirmation by signature of the acceptance clerk, and the effective scope is 10 March 2025. The rebate agreement only states that the deduction rate is based on accepted quantity; it does not state whether this batch has completed settlement review. The draft sentence exceeds what the agreement text supports.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this trial | Reason for the choice and comparison method |
|---|---|---|
| Associated knowledge bases | Select only settlement knowledge bases whose vector model identifiers match | Check the model identifier; compare against mismatched bases and exclude them |
| Search mode | Hybrid retrieval | Compare recall scope against semantic retrieval alone |
| Minimum relevance | Hypothetical starting point 0.3 | Starting point for this trial; compare filtering effect against 0.5 |
| Citation limit | Hypothetical starting point 2000 tokens | Starting point for this trial; compare citation completeness against 1000 |
| Question optimization | Enabled | Compare retrieval effect on follow-up questions against disabled |
| Result reranking | Enabled | Compare candidate ordering against not enabled |
These values are hypothetical starting points for this trial and are not official default values. The comparison method is to observe differences in citation content under the same set of paper inputs.
Three common errors
- Treating a retrieval hit as business authorization. The input is the citation array returned by the search node; the comparison object is the authorization state of the source material; the observable result is whether the citation content corresponds to a material that has been signed or reviewed. If the material is still pending review, the citation content cannot support a conclusion of "confirmed."
- Treating an empty citation array as workflow failure. The input is the paper input []; the comparison object is the downstream node's handling design; the observable result is whether the downstream node continues to execute. An empty array means no content was found, not that an error was reported.
- Associating knowledge bases with different vector models. The input is two knowledge bases with mismatched model identifiers; the comparison object is the model identifier field; the observable result is whether joint association is permitted. When identifiers differ, exclude the base and do not infer missed recalls or redundant results.
How to verify the setup
- Citation source check. The input is the "Delivery Acceptance Note" excerpt and the draft sentence in the hypothetical sample. Compare whether the draft sentence exceeds the subject, object, state and effective scope stated in the source text, and observe whether the draft sentence only restates what is already stated. If the draft sentence adds a settlement review conclusion, it is not supported.
- Empty result handling check. The input is the paper input []; compare whether the downstream node continues to execute, and observe whether the downstream handles it as designed. This check does not claim that a fictional rule retrieval necessarily returns [].
- Material timeliness check. The input is the "Rebate Agreement" excerpt in the hypothetical sample and the current version of the material; compare whether the basis for deduction calculation is consistent, and observe whether the citation content corresponds to a valid version. Whether the citation is adopted still requires review against the valid version; when it is missing, record the gap.
This page addresses only supermarket supplier entry settlement, order fulfillment and after-sales question handling, and citation tracing. Operational handover must not treat retrieval or a form as authorized execution; which materials, operations and requests are in what authorization state remains a separate factual question.
