What the documents look like
Trade returns and claims work runs in the opposite direction from ordinary export declaration: it handles reverse logistics after goods have left the country and the allocation of responsibility for what went wrong. The everyday file set includes a return agreement, a claim letter, a quality report, and a return customs declaration. These materials arrive from customer email, inspection reports, customs systems, and insurer claim systems. They update irregularly, case by case, and the same shipment can sit at different document states at different steps. A return agreement may still be a draft while a quality report is already final, and a claim letter may state an amount that no insurer has yet assessed.
In order fulfilment and after-sales question handling, sharing and embedding puts those materials in front of after-sales staff, customs staff, and insurance claims staff, and lets them ask about the return reason, the declaration progress, and the claim evidence. The materials themselves carry version order and signature status differences. A share entry point resolves an access path. It does not change the legal effect of any material.
Constraints at the shared access step
The no-login window is created from the application detail page under publish channels, and the system generates a complete link. The link identifier serves access and cannot be treated as a business authorization credential. Any internet user who holds the address can use it, and the cost is charged to the team that owns the application. The identity verification field takes the root address of a POST request. Initialization, conversation start, and conversation end each send a request to a specific interface under that root address, and the server returns success and uid. The uid is used to pull and save conversation records; its format is a string that does not contain "|", "/", or "\" and does not exceed 255 bytes in length. The anonymous path relies on the same device and the same browser, and only allows pulling the most recent 30 days and 20 records. Switching devices or clearing browser cache loses those records.
Hypothetical paper exercise sample. Material text supplied for checking: an after-sales staff member keeps a draft return agreement whose header names the shipper and the consignee, whose body reads "both parties agree to process the return of this batch of goods, and the specific quantity and costs will be supplemented after the quality report is confirmed," and whose signature block has no signing date and no seal. A separate draft claim letter reads "a claim is hereby raised for the above goods, and the amount is subject to the insurer's assessment." One handover request to be judged reads: "Send this return agreement and claim letter to the other party through the no-login link, and treat the return confirmation and claim acceptance as completed." The sample parties are hypothetical Party A and Party B, the object is that batch of returned goods, the state is draft and unsigned, the date and quantity scope are not stated, and the authorization boundary is viewing only, with no confirmation or acceptance.
That request treats a draft state as a completed fact. The return agreement is unsigned and the claim letter amount is undetermined, so neither constitutes confirmation or acceptance. A share link can circulate materials. It cannot replace signing, assessment, or authorization.
Configuration and implementation checks
For this sample, only settings or implementation check items already documented for this feature and primary task are listed.
| Configuration item | Hypothetical starting point for this exercise | Check method and reason |
|---|---|---|
| Name | Return and claim material circulation | Used only for record display, unrelated to business authorization |
| Expiration time | Set to the end date of the material review period | After that time the link cannot be used; kept distinct from the sample's unstated dates |
| QPM | A small value based on the number of participants | Maximum visits per user per minute; some parameters are limited by edition |
| Point cap | A cap based on estimated question-and-answer count | Maximum billing data produced by the link; cost belongs to the team |
| Identity verification | Fill in the third-party verification root address | Commercial edition scope; judged by returned success and uid |
| View full reference text | Decided by material sensitivity | Reference snippets and source originals are publish parameters, confirmed item by item |
The starting values are set for this hypothetical exercise and are not official default values. After setting them, compare against actual access records and observe whether a limit is reached.
Three common errors
- Treating the link identifier or authToken as business authorization. The input is the share link and authToken, the comparison object is the signing and assessment state of the material behind that link, and the observable result is that the link opens while the material remains a draft. An available link does not mean return confirmation or claim acceptance is complete.
- Treating a retrieval hit as an identity or permission filter. The input is a question and the retrieval results, the comparison object is the dataset and access scope each result item belongs to, and the observable result is that hit items and materials the asker has no right to view appear together. A relevance score does not carry entity isolation.
- Treating a call to the result reporting interface as an executed deduction or settlement. The input is totalPoints and token in responseData, the comparison object is the actual balance change record, and the observable result is that the reporting request is sent while the balance is unchanged. The reporting interface has no specified return value, and deduction requires downstream implementation.
How to verify the setup
- For the sample handover request, input the share link and authToken, compare the material text "supplemented after the quality report is confirmed" and "subject to the insurer's assessment" against the proposed sentence "treat the return confirmation and claim acceptance as completed," and observe whether a draft is described as completed. If it appears, the share entry point has been treated as an authorization execution.
- For the sample materials, input a question asking about the return quantity, compare the answer against the material text, and observe whether the answer gives a quantity or amount the text does not state. If it does, the answer exceeds the material scope and should be recorded as pending verification.
- For identity verification, input the authToken and the verification root address, compare whether the returned success and uid meet the format requirements, and observe whether the failure branch shows an error. Continuing is allowed only when success is true and uid is compliant. When false is returned, record the error message and do not infer a specific cause.
All of the above are paper checks and expected phenomena. No deployment or test has taken place. Fields missing from the materials remain unknown, a pending review state does not constitute operating permission, and signing, assessment, and acceptance are three distinct facts.
