Trade returns and claims: workflow routing for after-sales questions

Review workflow routing for after-sales questions in Trade returns and claims. Check input mappings, source evidence and failure handling before use.

What the documents look like

Trade returns and claims handle reverse logistics and liability determination after export. The working materials come from customer emails, quality inspection reports, customs systems and insurer claims systems. The documents handled case by case include return agreements, claim letters, quality reports and return customs declarations. Foreign trade after-sales staff, customs affairs staff and insurance claims staff process these materials irregularly, one case at a time. Document status varies widely. A return agreement may be in draft, awaiting signature or signed. A claim letter may already be submitted or awaiting supporting evidence. A quality report may cover only part of a batch.

This page addresses one task only: order fulfillment and after-sales question handling, with workflow routing as the feature. The routing step has to collect these materials case by case and distinguish their states. The status of a material affects what the workflow may record and what it may not advance.

Constraints at the workflow routing step

The form input node is a user interaction node. When it triggers, the conversation enters an interaction state and the workflow state is recorded. After the user fills required information and submits, the node collects the submitted form information and passes it to later nodes. The user selection node is also a user interaction node. When it triggers, the conversation enters an interaction state and the workflow state is recorded. When the user makes a choice, the node judges that choice and executes the corresponding branch. The interaction state record is existing node behavior. This page does not set or claim a separate global state switch. The documented behavior does not include submission counts, automatic judgment or snapshot guarantees.

Information collected by these nodes completes value passing only. Order writes, document backfill and external status synchronization require a separate business interface or a later process. Retrieval and forms do not constitute authorization to execute. When a material is awaiting review, awaiting signature or already submitted, routing can only record that state. It cannot advance the material to approved or executed.

A relevance score is not a category, entity or permission filter. Retrieval does not exclude unrelated businesses or unauthorized records, and retrieval is not authorization.

Hypothetical drill sample: the material text reads, "On 10 March 2025, Party A submitted a draft return agreement for 12 cartons of Batch A, status awaiting signature; on the same day Party B confirmed receipt of the draft by email, unsigned." The proposed sentence to be judged reads, "The return agreement took effect on 10 March 2025." This sentence conflicts with the source text. The source records only draft submission and receipt. It records no signature and no effectiveness.

Configuration and implementation checks

Configuration itemTypeRelation to this page's sample
Form input nodeDocumented nodeCollects return agreement number, batch and status fields, then passes them to later nodes after submission
User selection nodeDocumented nodeSets a yes/no branch for "signed or not" and executes the corresponding path by the choice
Interaction state checkImplementation checkAfter triggering, confirm the conversation enters an interaction state and the state is recorded; claim no additional switch
Output handover checkImplementation checkCompare each form output against the input of the later retrieval, judgment or interface node
External operation divisionImplementation checkOrder writes, document backfill and external synchronization connect to a separate business interface, not completed in these nodes
Hypothetical trial starting valueHypothetical starting point for this drillUse "awaiting signature" from the sample as the starting state value and compare it with the "signed" field value; the reason for this choice is that the source text records only awaiting signature

Three common errors

  1. Treating "awaiting signature" collected by the form as already effective. Input: the sample source text and the proposed sentence. Compare whether the source states a signing fact. Observable result: the proposed sentence conflicts with the source.
  2. Treating the "yes" branch of the user selection node as an executed external operation. Input: the selection result and the external operation division. Compare whether a separate business interface is connected. Observable result: the node itself does not complete a write or synchronization.
  3. Treating a retrieval result as a basis for authorization. Input: the material returned by retrieval and the authorization boundary. Compare whether retrieval changes the material state. Observable result: retrieval does not constitute approval or execution.

How to verify the setup

  1. Check the sample proposed sentence. Input: the source value "awaiting signature" and the proposed sentence "took effect." Compare whether both share the same subject, the same period and the same field. If the source states no signing, judge the sentence unsupported and record the evidence gap.
  2. Check the user selection branch. Input: the choice "no" and the branch connection. Compare whether the executed path points to awaiting supplementary material. If the branch is not connected, record it as not configured.
  3. Check empty-result handover. Input: an explicit paper-based empty result. Compare whether the downstream node handles it as an empty value and record the actual observation. Do not claim that a fictional rule necessarily returns empty.

A pending request is not approval. An offered option is not execution. An unsigned termination is not a completed termination. Missing evidence remains missing.
