Channel receivables: shared access for after-sales questions

Review shared access for after-sales questions in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection happens after credit sales, and the work centres on credit limits and cash recovery. The main sources are the finance system, bank receipts, distributor orders and sales contracts. The documents handled day to day are the receivables ageing table, the collection letter, the credit agreement and the shipment freeze notice. In order fulfilment and after-sales question handling, the sales back office assembles ageing, repayment status and freeze grounds into material that can be checked, then passes it to a distributor or an internal collaborator through a share link.

The distinctive point of this step is that the share entry itself does not create business authorisation. The link identifier, the expiry time and identity verification only govern access. They do not change the credit limit, the shipment freeze or the confirmation of repayment. The material updates weekly or monthly; this page's function does not depend on that cadence.

Constraints at the shared access step

The no-login window is created from the publish channel, and the complete link generated by the system is copied out. The link name is used only for record display and cannot be treated as business authorisation. Expiry time and QPM are set for the intended scope of use and checked against the actual edition; QPM is the maximum number of visits per user per minute. The points cap is checked against the usage limit of the share entry and against which team bears the cost, and some parameters are restricted by edition. Identity verification is restricted to the commercial edition; it relies on the official interface returning a success state and a uid, where uid is a string that excludes certain characters and does not exceed 255 bytes. Conversation records depend on an anonymous local identifier and are only guaranteed on the same device and the same browser; cross-device use requires separate design of identity and session management. Retrieval and similarity do not perform permission or entity isolation.

Hypothetical paper exercise sample: the source material reads "Distributor A, credit agreement number XY-2024-017, payment term ends 30 June 2024, receivables ageing table shows 45 days overdue, shipment freeze notice not yet issued." The draft sentence to be assessed reads "Distributor A is overdue; please view and confirm the repayment plan through the share link." The share link is to be assembled with authToken=dealerA-001, and the identity verification root address returns success as true with uid as dealerA-001. This sample is used to check whether the share entry can carry material display for order fulfilment and after-sales question handling. It does not indicate that any approval or freeze has been executed.

Configuration and implementation checks

The table below covers the official documented settings or implementation checks relevant to this page's sample. The values are starting points for this hypothetical exercise, not official defaults.

Three common errors

  1. Treating the share link identifier as business authorisation. In the sample, authToken=dealerA-001 is used only for identity verification; it cannot be used to conclude that Distributor A has been cleared for shipment or has confirmed a repayment plan.
  2. Treating a success value of true from identity verification as credit approval. success only indicates that verification passed, and uid is used to pull and save conversation records; the credit limit and freeze status still require manual checking against the credit agreement and the shipment freeze notice.
  3. Treating cross-device availability of conversation records as a default capability. The anonymous local identifier is only guaranteed on the same device and the same browser; in the sample, records are lost after switching devices, and identity and session management must be designed separately.

How to verify the setup

  1. Input the sample source material and the draft sentence, then compare whether the share link requires authToken and whether the identity verification interface returns uid as dealerA-001. If the return has success as false or uid is absent, the share entry has not been configured according to the sample.
  2. Input the sample payment term end date and the expiry time, then compare their order. If the expiry time falls before the payment term end date, the link is unusable during the material's valid period and needs adjustment.
  3. Input the sample state "shipment freeze notice not yet issued", then compare whether the draft sentence implies that a freeze has been executed. If the draft sentence contains wording confirming a freeze or confirming shipment, it does not match the material state and should be returned for revision.
