What the documents look like
Fresh-food supplier claims pursue responsibility for quality at arrival. They do not address a store's natural shrinkage, which belongs to a different handling path. The working materials for this category are quality exception forms, photo evidence, deduction notices and claim reconciliation statements. These come from quality inspection systems, WMS receiving records, supplier contracts and financial reconciliation. Updates arrive per batch and per month.
A quality exception form and its photo evidence often sit in a pending-verification state before claim negotiation closes. A deduction notice may still await supplier confirmation. These states determine what a shared conversation entry may say. The share link is a conversation entry only. Whether the underlying material has been cleared for external use is a separate question that requires its own check.
Constraints at the shared access step
The no-login window is created under the application's publish channel, and the full system-generated link is copied. A link identifier is not a business authorization. Expiration time and QPM are set for the intended scope and checked against the actual version in use. QPM is the maximum number of visits per user per minute. The points cap sets the maximum billable data the link can generate, and costs fall to the team that owns the application. Identity verification is available only in the commercial edition. It requires a third-party interface to return a success state and a uid. The uid must be a string that excludes the characters "|", "/" and "\" and does not exceed 255 bytes in length. The anonymous local identifier depends on the same device and the same browser. Records across devices require separate identity and session management design.
Hypothetical exercise sample: a fresh-food procurement team prepares a batch of arrival quality exception material. The source text for comparison reads: "On 12 March 2025, receiving batch A-0312; inspection records show leafy vegetables arrived at a temperature above the range agreed in the contract, with three attached photos; the deduction notice draft proposes deducting payment for this batch, and the supplier has not confirmed; the claim reconciliation statement status is pending verification." A draft sentence awaiting judgment reads: "The deduction for this batch has been executed and the supplier has confirmed compensation." This sentence turns a pending-verification state into a completed fact. If a share link embeds this sentence, it passes on a conclusion the source does not support.
Configuration and implementation checks
Configuration here covers the materials on this page and the shared entry. It lists only documented settings or implementation checks. The values are starting points for this hypothetical exercise and state what each is compared against.
| Configuration item | Hypothetical exercise starting point | Check method |
|---|---|---|
| Link name | Enter "claim after-sales Q&A - exercise" | Used for record display only; check it matches actual use |
| Expiration time | Set to one day after the exercise ends | Compare against the material negotiation cycle; the link is unusable past that time |
| QPM | Set as maximum visits per user per minute | Check whether the actual version supports this setting |
| Points cap | Set a cap from expected exercise usage | Compare whether billable data generated by the link exceeds the cap |
| Identity verification | Enter the third-party root address | Check the interface returns success and a uid in the required format |
| authToken | Append an exercise credential | Check the token in the body matches the appended authToken |
Three common errors
- Treating a link identifier as business authorization. The input is the share link and its shareId. The comparison object is the material's authorization scope. The observable result is that the link opens while the material status remains pending verification.
- Writing a pending deduction notice as executed. The input is the deduction notice draft and the supplier's unconfirmed state. The comparison is between the draft sentence and the source text. The observable result is that the draft contains "has been executed" and "has confirmed" while the source has no corresponding field.
- Treating the anonymous local identifier as a cross-device identity. The input is the same uid across different browsers. The comparison object is the scope of conversation record retrieval. The observable result is that records are missing after switching devices, and separate identity management is required.
How to verify the setup
- Input the hypothetical source text and the draft sentence. Compare whether the draft sentence states a completion status the source does not carry. The result satisfies the check only when the draft does not contain "has been executed".
- Input the identity verification interface response. Compare success and the uid format. The result satisfies the check only when success is true and the uid excludes "|", "/" and "\" and does not exceed 255 bytes.
- Input an empty-result handling design. Compare how the downstream side handles an empty list. The result satisfies the check only when the downstream side does not treat the empty result as authorization or confirmation.
Retrieval and relevance scores do not carry permission or entity isolation. The same-vector-model requirement for a retrieval library does not extend to external systems. Empty results, cross-model association and optional paths are checked against documented conditions. No actual run result is claimed here.
