Overseas stock replenishment: conversation logs for after-sales questions

Review conversation logs for after-sales questions in Overseas stock replenishment. Check input mappings, source evidence and failure handling before use.

What the documents look like

Third-party overseas warehouses can serve several sales channels, and the seller allocates stock across them. The working documents for replenishment, inbound booking, inventory ageing and last-mile dispatch sit across warehouse management systems, ERP sales forecasts, freight forwarder systems and carrier bills. Conversation records used for order fulfilment and after-sales questions must map the object, status and effective range of those documents onto a specific session.

The practical consequence for conversation logs and auditing is that a session identifier is not a document number. A chatId locates the target session, and a dataId locates a single exchange inside it. Records created through different entry points can share an application but belong to different sources, so source must be confirmed before any comparison. Data updates at daily or per-order frequency in the source systems, and that cadence does not by itself create batch synchronisation, full synchronisation, real-time behaviour or transaction triggers in the conversation layer.

Constraints at the conversation logs step

When a non-empty chatId is passed, the conversation interface automatically reads the session from the database and uses the last element of the messages array as the user question, ignoring the remaining messages. When chatId is not passed, the platform context is not used and the context is built entirely from the supplied messages. Intermediate values require detail to be set according to the official contract; in non-stream mode the result is held in responseData, while in stream mode it is distinguished through event. With detail=true, the tokens value inside responseData must be calculated manually, because the interface does not return the actual consumed Token value. Passed fields such as model and temperature have no effect, since the orchestration determines them.

Hypothetical paper exercise sample: an operator at a cross-border seller submits a request to check one conversation record. The supplied source text reads: "Inbound booking number WH-2405-118, object is German overseas warehouse Zone A, status is submitted and awaiting warehouse confirmation, effective range 20 May 2024 to 25 May 2024; replenishment plan number RP-2405-077, status is reviewed." The draft sentence to be judged is: "The booking has received warehouse confirmation and last-mile dispatch can be arranged." The check locates the session by chatId, reads the exchange content for the corresponding dataId, and compares the draft sentence against the status field in the source text. The source text states only "submitted and awaiting warehouse confirmation" and records no confirmation result, so "has received warehouse confirmation" is unsupported, and "last-mile dispatch can be arranged" likewise lacks a basis.

Configuration and implementation checks

Configuration or check itemHypothetical starting value for this exerciseReason and comparison method
chatIdSession identifier "wh-chat-2405-01"Locates the target session; compare against the booking number and replenishment plan number in the source text
dataIdExchange identifier "wh-data-2405-01"Locates a single exchange; combine with chatId to confirm both belong to the same session
detailSet to trueIntermediate values require this per the official contract; in non-stream mode inspect responseData
streamSet to falseAllows node-by-node inspection inside responseData; compare with the event method used when stream=true
responseChatItemId"wh-resp-2405-01"When passed, it becomes the response message ID stored in the database and must be unique under the current chatId
loadCustomFeedbacksSet to trueReads custom feedback; compare against userGoodFeedback and userBadFeedback records from the feedback interface

Three common errors

  1. Treating retrieval or a form as an authorised action. The interactive value returned to an external caller is a display configuration containing only type and params; internal runtime fields such as entryNodeIds, memoryEdges, nodeOutputs and nodeResponseId are not returned. After receiving interactive information, a further session request is required to continue the workflow, and collected form values by themselves do not constitute business approval or a database write.
  2. Mixing sessions from different sources. source=api returns only sessions created through the API, and clearing application sessions clears only sessions created through the API Key, leaving sessions from online use, share links and other sources untouched. Source must be confirmed before comparing against the target record.
  3. Treating the existence of logs as completed compliance auditing. Reconciliation, retention and compliance requirements are carried out separately by a complete business solution. Log existence does not equal completed compliance auditing, and business data that is not returned cannot be presumed to have been fully retained.

How to verify the setup

  1. Enter chatId "wh-chat-2405-01" and dataId "wh-data-2405-01" from the hypothetical sample, compare the obj and value entries in the list returned by getPaginationRecords, and observe whether the content of that exchange matches "submitted and awaiting warehouse confirmation" in the source text. If the returned content omits that status field, record it as unsupported.
  2. Enter the draft sentence "The booking has received warehouse confirmation and last-mile dispatch can be arranged", compare it against the status field "submitted and awaiting warehouse confirmation" in the source text, and observe whether the draft sentence presents a confirmation result the source text does not state. If it does, judge it unsupported and preserve the evidence gap.
  3. Enter booking number "WH-2405-118" and replenishment plan number "RP-2405-077", compare the moduleName and runningTime of each node in the responseData returned by getResData, and observe whether the node responses cover that booking and plan. If they do not, record it as pending verification without presuming the audit is complete.
