What the documents look like
Third-party overseas warehouses serve multiple sales channels, and the seller decides how stock is split across them. The material for this workflow comes from the overseas warehouse WMS, ERP sales forecasts, freight forwarder systems and carrier bills. Day-to-day documents include replenishment plans, inbound appointment records, inventory age tables and final-mile delivery notes. Updates arrive weekly or daily.
For order fulfilment and after-sales questions, the work is to match the quantity in a replenishment plan, the time window in an inbound appointment, the cost attribution in an age table and the receipt status on a delivery note against a specific request. Workflow routing in this setting collects the necessary values through a form input node, splits different handling paths through a user selection node, and passes the collected values to later nodes. Retrieval results supply reference material only. They do not confirm stock, cost or authorization.
Constraints at the workflow routing step
When a form input node triggers, the conversation enters an interactive state, the workflow state is recorded, and execution waits until the user fills the required information and submits. The submitted information is then passed to later nodes. When a user selection node triggers, the conversation also enters an interactive state, and after the user makes a choice the corresponding branch runs. Neither node carries business approval, stock writes or external synchronization. Order writes, document backfill and external status synchronization need a separate business interface or a later process. Semantic recall and relevance scores in the retrieval library do not perform permission or entity isolation, and libraries using different vector models cannot be associated together. Interactive waiting, state recording and dialog hiding follow the documented behaviour; no global state-recording switch is provided.
Hypothetical paper exercise: the source material reads "Replenishment plan RP-0312 for overseas warehouse A, planned replenishment of SKU-77 totalling 200 units, inbound appointment window 10 April 2025 to 12 April 2025, and the current age table shows zero units of this SKU at warehouse A aged over 60 days." The draft sentence under review is "SKU-77 at warehouse A carries no slow-moving risk and can be replenished directly at 200 units." Check point: the material gives only the over-60-day quantity as zero. It provides no slow-moving determination rule and no replenishment authorization. The phrases "no slow-moving risk" and "can be replenished directly" are unsupported.
Configuration and implementation checks
| Configuration item | Setting or check on this page | Relation to the sample |
|---|---|---|
| Form input node | Enters an interactive state on trigger, collects required information, passes it to later nodes after submission | Collects replenishment plan number, SKU, quantity and appointment window |
| User selection node | Runs the corresponding branch after the user chooses; verify each branch connection | Separates the replenishment request path from the after-sales request path |
| Output handover check | Pass collected information explicitly to later retrieval, judgement or interface nodes; compare output against input item by item | Check whether RP-0312, SKU-77, 200 units and 10–12 April are passed through completely |
| Interactive state check | State recording is behaviour of the interactive node; no separate global state-recording switch is set | Confirm the conversation is in the interactive state before form submission |
| External operation split | Order writes, document backfill and external status synchronization need a separate business interface or later process | Replenishment execution and stock changes are not completed automatically inside this workflow |
| Retrieval check | Observe actual returned results and record empty results and failure branches; first-hit matching is not guaranteed | Use the source material to check whether retrieval output contains the RP-0312 fields |
Hypothetical trial starting point: for this exercise the required fields of the form input node are set to replenishment plan number, SKU, quantity and appointment window. The basis for this choice is that these fields appear in the source material, and the comparison method is to check the submitted values against the source material item by item. This starting point is a setting for this hypothetical exercise, not an official default.
Three common errors
- Treating the replenishment quantity collected by the form input node as an approved replenishment instruction. Input: the source material states "planned replenishment of SKU-77 totalling 200 units." Comparison object: whether any approval or authorization record exists. Observable result: no approval marker appears in the material, so the draft phrase "can be replenished directly" is unsupported.
- Treating branch execution of the user selection node as a business status change. Input: the draft sentence "SKU-77 at warehouse A carries no slow-moving risk." Comparison object: the age table wording "zero units aged over 60 days." Observable result: the material gives a single age-band value and no slow-moving determination rule, so the draft conclusion exceeds the material.
- Treating retrieved reference material as a basis for permission or entity isolation. Input: the retrieval request "RP-0312 replenishment plan." Comparison object: whether the returned result contains that plan number and SKU-77. Observable result: retrieval provides text matching only; it does not judge whether the request may view warehouse A data, and it does not exclude a same-named SKU at another warehouse.
How to verify the setup
- Input the hypothetical source material "Replenishment plan RP-0312 for overseas warehouse A, planned replenishment of SKU-77 totalling 200 units, inbound appointment window 10 April 2025 to 12 April 2025." Compare whether the output fields after form input submission contain all four items: plan number, SKU, quantity and appointment window. The condition is met when all four values match the source text; record any missing item as a gap.
- Input the draft sentence "SKU-77 at warehouse A carries no slow-moving risk and can be replenished directly at 200 units." Compare "no slow-moving risk" against the age table wording "zero units aged over 60 days." When the material provides no slow-moving determination rule, the conclusion is unsupported and must not be marked as verified.
- Input the retrieval request "RP-0312 replenishment plan." Compare whether the returned result contains that plan number and SKU-77. When the result is empty, record it as an empty result and check whether the downstream design can accept an empty value. When a same-named plan number from another warehouse is returned, record it as pending verification. Do not assert that the request has been authorized or that the SKU has been excluded.
