What the documents look like
Overseas stock replenishment management in this category covers four document types: replenishment plans, warehouse inbound appointments, inventory aging tables, and last-mile delivery notes. A third-party overseas warehouse can serve multiple channels, and the seller allocates stock across those channels, so one shipment can carry different replenishment requirements and last-mile arrangements depending on the channel it serves. Data sources include the overseas warehouse WMS, ERP sales forecasts, freight forwarder systems, and carrier bills, with updates occurring weekly or daily.
These features shape what retrieval has to distinguish. A replenishment plan ties to forecasts and in-transit quantities. An inbound appointment ties to warehouse time slots and the freight forwarder. An inventory aging table ties to storage fees. A last-mile delivery note ties to the carrier and the signature status. In after-sales question answering, a user question usually points at the current status of one specific document, so retrieval has to land on that document and preserve its valid scope.
Constraints at the retrieval step
The knowledge base search node can associate one or more knowledge bases that use the same vector model. Knowledge bases using different vector models cannot be associated together. The vector model identifier should be checked first, and non-matching bases excluded, before any retrieval runs. The node outputs cited content as an array, and the length can be zero, which means the downstream chain still executes even when nothing is retrieved.
Semantic retrieval depends on vector distance. Full-text retrieval suits numbers, model codes, and proper nouns. Hybrid retrieval merges multiple retrieval paths through RRF. Minimum relevance takes effect only under semantic retrieval or when result reranking is used, and it acts as a filter threshold. It does not perform permission or entity isolation. Question optimization handles coreference resolution and question expansion, and it adds one model call. Image retrieval requires image input and the corresponding model capability. Reranking requires a model and runs according to its setting.
A hypothetical paper exercise sample for this page: an overseas warehouse operator holds three documents. Document one, the replenishment plan, reads: "Plan number BH-0715, SKU A, target warehouse DE-02, suggested replenishment quantity 600 units, planned arrival date 20 August 2025, status pending review." Document two, the inbound appointment, reads: "Appointment number AP-0822, warehouse DE-02, time slot 22 August 2025 09:00-12:00, freight forwarder X, status submitted." Document three, the last-mile delivery note, reads: "Delivery note DS-0901, order number SO-4471, carrier Y, signature status unsigned." A draft sentence to be checked reads: "BH-0715 has been approved, inbound can be arranged." Checking compares the draft sentence against the status field in document one: document one states "pending review," while the draft sentence states "approved." The same field carries mutually exclusive values, so the sentence is not supported by the material.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this exercise | Reason for the choice and comparison method |
|---|---|---|
| Associated knowledge bases | Associate only replenishment management bases sharing one vector model identifier | Check the vector model identifier first, exclude bases on other models, and do not run cross-model retrieval |
| Search mode | Start with hybrid retrieval for the sample question | Compare against semantic retrieval and full-text retrieval separately, observing how plan number BH-0715 and status words are matched |
| Citation limit | Start at a token amount covering the full text of one replenishment plan | Use the full length of document one as the reference, then compare whether truncation drops the status field |
| Minimum relevance | Start at a middle value, effective only under semantic retrieval or reranking | Compare filtering results against several relevant and irrelevant samples from document one |
| Question optimization | Enable for multi-turn follow-up questions containing coreference | Compare the original question with the optimized question, checking whether the subject was altered incorrectly |
| Result reranking | Enable the reranking model when candidates are numerous | Compare scores and ordering before and after reranking, confirming the basis for filtering |
Three common errors
- Treating a retrieval hit as an approval. The input is document one with status "pending review." If the draft sentence says "approved," comparing the same status field shows mutually exclusive values, and the retrieval result does not constitute an approval fact.
- Treating "pending review" as missing operating permission. Document one states only the status pending review and does not state a permission field. After comparison, the only recordable result is pending verification, and no judgment of missing permission can be made.
- Treating a quotation validity period as a supply period. Document three states only the signature status unsigned and does not state a supply period. After comparison, the evidence gap is preserved, and no delivery time is inferred.
How to verify the setup
- Input the original text of document one together with the draft sentence "BH-0715 has been approved, inbound can be arranged," and compare the status field "pending review" against "approved." If the retrieval result returns only the original text of document one and the draft sentence is not supported by that text, the check condition is met. The expected outcome is a record that the sentence is unsupported, without any claim of actual testing.
- Input the follow-up question "what is the second point," which contains coreference, and compare the original question with the question after optimization, checking whether the subject was changed to the replenishment plan. If the optimized subject matches document one, the condition is met. If the subject was altered incorrectly, record the failure branch.
- Input an explicit paper empty result [] and check whether the downstream node continues executing on the empty array. If the output chain runs through and no business action occurs, the condition is met. No claim is made that retrieval of a fictional rule necessarily returns [].
This page addresses only overseas stock replenishment management, order fulfillment and after-sales question answering, and knowledge base retrieval and recall. Whether materials, operations, or requests are in a given authorization state during an operations handover cannot be settled by retrieval or by a form.
