What the documents look like
Closure settlement for chain stores moves in the opposite direction from site selection and store opening: it handles exit and asset recovery. A store closure generates a closure approval, an inventory clearance form, a lease termination agreement and an asset count sheet. These materials appear irregularly, per store, and draw on POS inventory, the fixed-asset system, the lease contract and the finance ledger. In order fulfilment and after-sales question handling, staff answer questions about deposit refund progress, inventory clearance status, and settlement of employee and franchise amounts. The answers rest on those scattered materials. Conversation logs and auditing require each question-and-answer exchange to be tied to a specific store, a specific document and a specific session, so that sessions from different stores are not merged in one count. The supplied material does not state a log retention period, and it does not state automatic integration between logs and the finance system. Those points remain unknown.
Two features of this category shape the logging step. First, the materials arrive per store on an irregular schedule, so a log record must carry the store and the document identity rather than a shared running total. Second, the answer content concerns money and assets, so a log entry that shows a question was asked does not show that any refund, clearance or settlement was approved. The log is a record of the exchange.
Constraints at the conversation logs step
The conversation interface uses chatId to identify a session under one application, and dataId to identify one exchange under a session. When chatId is passed, the system takes the session from the database, uses the last entry in messages as the user question, and ignores the remaining messages. When responseChatItemId is passed, that value becomes the response message ID for this exchange and is stored in the database; it must be unique under the current chatId. When detail is true, responseData contains module status and the complete result; in non-stream mode the result is held in responseData. These fields locate a log entry. They do not grant authorization over any business record.
The quoteList and score returned by retrieval express semantic similarity. They do not perform store attribution or permission filtering. A relevance score is not a category, entity or permission filter, and retrieval is not authorization. The presence of a log does not mean a compliance audit is complete. Reconciliation, retention and compliance requirements are carried out by the full business solution separately.
Hypothetical paper test case. A chain brand operations staff member submits a handover request. The attached material text reads: "Store A closure approval has passed. Inventory clearance form number QC-001 has status pending review. The lease termination agreement has not been signed." The proposed draft sentence reads: "Store A inventory clearance is complete and the deposit can be refunded." The question is whether the proposed draft sentence is consistent with the material.
Configuration and implementation checks
The table below lists documented settings or implementation checks relevant to this function and the primary task, tied to the sample above. The values are starting points for this hypothetical exercise, used only for comparison; they are not official default values.
| Configuration item | Hypothetical starting point for this exercise | Reason and comparison method |
|---|---|---|
| chatId | A unique string created for the Store A closure session | Compare against other Store A sessions to confirm it is not shared with another store |
| detail | true | responseData intermediate values are needed; compare against false, where only choices are returned |
| stream | false | The sample is a single check; consistent with the non-stream result being held in responseData |
| responseChatItemId | A fixed value for this check | Compare against other values under the same chatId to confirm uniqueness |
| Fields checked | Inventory clearance form status; lease termination agreement signature status | Compare character by character against the material text; do not infer a status the material does not state |
| Log linkage | Located by chatId and dataId | Compare against the business document number to confirm the same store and the same period |
Three common errors
- Treating "pending review" as "complete". The material text states the inventory clearance form status is pending review; the draft sentence states inventory clearance is complete. The two values differ on the same field, which is an inconsistency.
- Treating "not yet signed" as effective. The lease termination agreement has not been signed, and the draft sentence derives from it that the deposit can be refunded. Evidence of signature and effect is absent.
- Treating retrieval similarity as a store filter. The score in quoteList reflects semantic similarity only; it cannot be used to conclude that a record belongs to Store A or that access has been granted.
Corresponding checks:
- Input the material text and the draft sentence; compare the status field value of the inventory clearance form. Where "pending review" and "complete" appear together, mark the result inconsistent.
- Input the signature status of the lease termination agreement; compare whether a completed signature record exists. Where only "not yet signed" is present, mark the deposit refund condition as unsupported.
- Input the quoteList; compare the datasetId of returned records against the Store A business document identifier. A high or low score is not a basis for attribution or permission.
How to verify the setup
- Verification one: input the material text "inventory clearance form number QC-001 has status pending review" and the draft sentence "Store A inventory clearance is complete"; compare the value on the same field. Where "pending review" and "complete" appear as mutually exclusive values, the inconsistency condition is met. The expected result is a finding that the draft sentence is inconsistent with the material. No actual test is claimed.
- Verification two: input the material text "the lease termination agreement has not been signed" and the draft sentence "the deposit can be refunded"; compare the signature status field. Where no completed signature is stated, the refund condition is judged unsupported. The expected result is that the evidence gap is recorded, with no invented authorization or effect clause added.
- Verification three: input the chatId, dataId and responseChatItemId for this conversation; compare whether responseChatItemId is unique under the current chatId, and check whether responseData with detail=true contains the corresponding node. The expected result is that the log entry is located for the same store and the same session. This result does not establish that a compliance audit is complete.
Two further points belong to this step. First, a pending request is not approval, an offered option is not execution, and an unsigned termination is not a completed termination. Second, where a document field was not supplied, its value is unknown; the check records the gap rather than filling it.
