Franchisee onboarding: citation tracing for copy drafting

Review citation tracing for copy drafting in Franchisee onboarding. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Opening coaching is a transfer of operating capability. It belongs to a different activity from franchise filing and disclosure. Four document families record the process state of a store moving from training to opening: training sign-in sheets, opening checklists, SOP manuals, and assessment scores. These materials are updated per store and per month. Update frequency does not change the function of this page; it serves only as a time reference when checking document versions.

The difficulty in drafting product and marketing copy is whether a proposed sentence can be supported by these materials. A training sign-in sheet can show that a person attended on a given day. An SOP manual can state a required action. An opening checklist can record whether materials arrived. An assessment score can reflect a test result. Each document family covers a different fact. Any promotional sentence must indicate which document, which version, and which scope supports it.

Constraints at the citation tracing step

Citation tracing requires that every factual statement in the copy can be traced back to a specific document, with the document's valid scope stated. The knowledge base search node outputs cited content as an array, and the length may be zero. This means the output path continues even when no content is found. An empty array does not equal a workflow error or termination; downstream design must be able to receive an empty result.

The following is a hypothetical drill sample, used to explain the checking method. It does not correspond to any real customer or real store.

Material text for checking (hypothetical): First, a brand training sign-in sheet states "March 10 to March 12, 2025, franchisee Wang attended the cashier and inventory module training, sign-in complete." Second, the same batch SOP manual, version 4, chapter 2, states "cashier exceptions are reported to the regional supervisor according to the chapter 2 process." Third, a store opening checklist states "March 20, 2025, cashier equipment and price tag materials in place, checked by Li."

Proposed copy sentence to be judged (hypothetical): "This franchise store has completed all training and passed the opening check, and cashier and inventory operations fully comply with headquarters standards."

Judgment method: the sign-in sheet covers only the cashier and inventory modules, and does not state "all training." The opening checklist records only that materials arrived, and does not state a "passed the opening check" conclusion. The SOP manual states an action requirement and does not confirm the execution result of any store. All three statements in the proposed sentence lack support from the available materials. They are pending verification, not contradictions of the materials. If the sentence were changed to "Wang attended the cashier and inventory module training from March 10 to March 12, 2025," then it shares the same subject, period, and field as the sign-in sheet and can be supported.

Configuration and implementation checks

The configuration below centers on this sample and lists only documented settings or implementation checks related to this function and the primary task. The values in the table are hypothetical starting points for this drill, used to explain the comparison method. They are not official default values.

Configuration itemHypothetical starting point and reasonComparison method
Associated knowledge basesSelect knowledge bases holding sign-in sheets, checklists, and SOP manualsFirst check the selected knowledge bases and document versions; only bases with the same vector model can be associated together
Search modeUse semantic search and full-text search togetherUse full-text search for exact terms such as numbers and module names; use semantic search for natural language questions
Minimum relevanceSet a hypothetical starting value between 0 and 1This value takes effect only in semantic search or with result reranking; adjust based on missed-recall and false-recall symptoms
Citation limitSet a hypothetical starting value measured in tokensAdjust based on whether returned content covers the needed materials; this is not counted as top k
Question optimizationEnable for multi-turn follow-ups or short questionsEnabling adds one model call and latency; decide based on retrieval results
Result rerankingEnable when candidates are many and a rerank model is availableRerank scores are 0-1 and can be used for filtering; confirm the model and settings

Three common errors

  1. Expanding the sign-in sheet's module scope into all training. The sign-in sheet states the cashier and inventory modules. The proposed sentence says "all training." The subject is the same, but the field scope differs. When checking, compare the module list stated in the material with the coverage claimed in the proposed sentence. A scope beyond the material is recorded as unsupported.
  2. Treating a materials-in-place record as a passed opening check. The checklist records that equipment and price tags arrived. The proposed sentence says "passed the opening check." When checking, compare the material field with the conclusion field in the proposed sentence. If the material has no conclusion field, record it as pending verification.
  3. Treating the SOP manual as evidence of store execution. The manual states an action requirement. The proposed sentence says "fully comply with headquarters standards." When checking, compare the nature of the material with the execution result asserted in the proposed sentence. A manual does not carry the execution facts of a specific store, so record it as unsupported.

How to verify the setup

  1. Input the hypothetical sign-in sheet text and the proposed sentence "Wang attended the cashier and inventory module training from March 10 to March 12, 2025." Compare the three fields: subject, period, and module. When all three match the sign-in sheet, the sentence is supported. If the proposed sentence is changed to "all training," the comparison shows the module scope exceeds the material, and it is recorded as unsupported.
  2. Input the hypothetical checklist text and the proposed sentence "the store had cashier equipment and price tag materials in place on March 20, 2025." Compare the date and material fields. When the fields match, the sentence is supported. If the proposed sentence says "passed the opening check," the checklist has no such conclusion field, so record it as pending verification and note the evidence gap.
  3. Input a citation output explicitly marked as a paper-based empty array, and check whether the downstream design can receive a citation of length zero. Compare whether the downstream treats the empty array as a normal output and continues processing, or separately triggers an error. This step checks only the receiving design. It does not claim that a certain retrieval will return an empty array, and it does not claim that an empty array necessarily causes a certain type of error.
