What the documents look like
Brand-owned stores are staffed and accounted for directly by the brand, so copy material stays inside store systems rather than franchise reporting. The working documents for this task are daily sales reports, shift schedules, display photographs and inventory transfer orders. POS, member CRM, ERP inventory and store inspections supply the underlying data. Daily and weekly update cycles mean that a sales figure, a stock position or a display fact cited in draft copy can change within a short period.
When a draft sentence cites units sold on a given day, the display state shown in one photograph, or a received quantity on a transfer order, the source document's date, store scope and field definition have to be fixed together. Without that anchoring, the same sentence points to different facts at different times. This page covers only one task: drafting product and marketing copy for brand-owned store operations, with citation tracing at the point where retrieved material is checked against the draft. Whether a specific promotional sentence is supported by store material is the question here. Enterprise identity verification and report analysis sit outside this page.
Constraints at the citation tracing step
The knowledge base search node accepts one or more knowledge bases that share the same vector model and outputs cited content as an array, which may have a length of zero. A zero-length output still lets the downstream chain run. Retrieved results are then passed to the answering step, where each answer sentence is checked against the cited source text.
The minimum relevance setting is a 0-1 filter threshold. It applies only under semantic retrieval or when result reranking is used. It filters low-relevance candidates and does not act as a permission or entity filter, so it does not separate authorized stores from unauthorized ones. Hybrid retrieval merges multiple recall paths through RRF, and the rerank model returns a 0-1 score. These mechanisms change candidate ordering. They do not change whether a given piece of material is authorized for citation. Material timeliness has to be judged against the current version and prior versions of the document.
Hypothetical paper exercise: a brand-owned store's daily sales reports for 1 March 2026 through 7 March 2026 record "Style A jacket sold 42 units this week, 6 units remaining in stock." A display photograph from the same period shows the style at the entrance main display position. An inventory transfer order records 20 units transferred in from the regional warehouse on 5 March. The draft sentence under review reads: "Style A jacket sold well this week, and store stock is sufficient." The check compares "sold well" and "sufficient stock" against the report's 42 units and 6 units and the transfer order's 20 units, asking whether these hold under the same store, the same week and the same field definition.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this exercise | Reason and comparison object |
|---|---|---|
| Associated knowledge bases | One store operations knowledge base | First check the selected base and material version, and confirm the vector model identifier matches |
| Search mode | Hybrid retrieval | Draft copy contains both natural language description and model numbers and quantities, so semantic and full-text recall are both needed |
| Minimum relevance | Hypothetical starting point 0.5 | Used to filter low-relevance candidates; compare against unfiltered results item by item to see whether valid material is dropped |
| Citation cap | Hypothetical starting point 2000 tokens | Controls returned citation length; compare against the material length the draft sentence requires |
| Result reranking | Enabled per setting | Secondary ordering when candidates are numerous; compare the position of the same material before and after reranking |
| Citation handoff | Retrieval output passed to the answering step | Check that each answer sentence corresponds to cited source text; treat an empty array as zero-length |
The 0.5 and 2000 values are starting points chosen for this paper exercise, not documented defaults. The knowledge base association, search mode, minimum relevance, citation cap and reranking are documented settings. The citation handoff is an implementation check on downstream design.
Three common errors
- Treating minimum relevance as a permission filter. Relevance is a 0-1 filter threshold and does not distinguish store, role or authorization scope. The error appears as expecting that lowering the threshold will pull in records from unauthorized stores. Check by running the same query, comparing returned citation items before and after filtering, and observing whether records outside the selected knowledge base appear.
- Associating knowledge bases built on different vector models. The documentation requires the same vector model for joint association. The error appears as selecting two bases with different model identifiers and expecting normal retrieval. Check by reading each base's vector model identifier, excluding those that do not match, and recording the actual selectable range. Do not run cross-model retrieval to compare missed recalls.
- Treating an empty citation output as a workflow error. The search node's output array may have a length of zero, and that output path still runs. The error appears as judging the flow broken on seeing an empty array. Check by feeding a clearly labelled paper input of an empty array and observing whether the downstream design continues with zero citations.
How to verify the setup
- Input the report text, display photograph description and transfer order text from the hypothetical exercise above. Compare the draft sentence "Style A jacket sold well this week, and store stock is sufficient" against the report's 42 units and 6 units and the transfer order's 20 units, checking same store, same week, same field. If the quantity definitions align and the transfer is counted in, the sentence is supported by the material. If the transfer order does not state a receipt confirmation status, the stock portion is recorded as pending verification.
- Input the same query and enable and disable result reranking separately, comparing the position and score of the same material. If the relevant material moves up after reranking and its score falls in the 0-1 range, reranking is working as set. If candidates are insufficient or reranking is not enabled, record that this path did not run.
- Input a query clearly outside the topic of the selected knowledge base and observe whether the returned citation is an empty array. If it is empty, check whether the downstream design continues with zero citations. If it is not empty, check each item against the selected base and valid version; records lacking an authorization basis are recorded as evidence gaps.
These are expected outcomes under the stated conditions, not results of an executed test. The hypothetical exercise has not been run against a live system. Where the transfer order lacks a receipt confirmation status, that gap remains open. Where a query returns no citation, the downstream zero-citation design is checked against a paper input rather than assumed from a rule. The same vector model requirement applies to knowledge base association and does not extend to business registration sites or other external systems.
