What the documents look like
A dealer ordering event serves offline dealer reservations rather than platform storefront management. The channel department and merchandise planning team work on a quarterly and annual rhythm, handling the ordering handbook, ordering contracts, sample lists and credit approval records. Copy drafting depends on these documents as its comparison material. The retrieval library is built from the ordering event system, historical sales, dealer inventory and financial credit records. Material updates follow the quarterly and annual cadence; this page covers only the source-checking step during drafting and does not describe synchronization mechanisms.
Three industry facts shape this task. First, the ordering event addresses offline dealer reservations, so the copy under review describes products and supply arrangements that dealers will commit to, not retail storefront listings. Second, the documents involved are the ordering handbook, ordering contract, sample list and credit approval, each with its own page and field structure, so a promotional sentence may need to be checked against more than one source. Third, errors in this category lead to insufficient orders, inventory disputes and payment risk, which makes the accuracy of the drafted sentence against source wording a material concern rather than a stylistic one.
Constraints at the citation tracing step
The knowledge base search node can select one or more knowledge bases that share the same vector model, and it outputs a citation array whose length may be zero. An empty array still flows through the output path. When drafting product and marketing copy, promotional sentences need to correspond to the source text in the ordering handbook, sample list and related materials. Retrieval results do not perform authorization judgment; dealer visibility scope, credit approval status and contract effectiveness belong to separate business steps.
Hypothetical paper exercise sample: the source material reads, "Page 3 of the current-quarter ordering handbook states: Item A, sample number SP-01, contains 80% cotton and 20% polyester, supply period is the 2026 spring batch. Page 2 of the sample list records the same item with identical annotations." The draft sentence under review reads, "Item A uses all-cotton fabric and is available for supply year-round." The comparison inputs are the source text above and the draft sentence. The comparison objects are the fabric composition field and the supply period field. The draft sentence conflicts with the source on both fields: the composition differs and the supply period differs. Where the source states only "spring batch" and does not state year-round supply, the supply period portion is not recorded, and the evidence gap remains open.
Configuration and implementation checks
| Configuration or check item | Use on this page | How it is judged |
|---|---|---|
| Associated knowledge bases | Select trained materials such as the ordering handbook and sample list | Verify the selected bases share the same vector model; bases with different models are not associated together |
| Citation upper limit | Control the total tokens cited in one search | Hypothetical starting point for this exercise is 2000 tokens, because the material contains tables and needs complete passages; compare against 1500 and adjust by recall completeness |
| Minimum relevance | Filter low-relevance results | Takes effect only under semantic search or result reranking, used as a filter threshold |
| Result reranking | Reorder candidate text a second time | Requires a rerank model enabled by configuration; the rerank score can be used for filtering |
| Citation content output | Carry retrieval results forward | Output is an array; when length is 0 the downstream path still executes |
| Manual comparison action | Compare draft sentences against source text one by one | Record material version, page and field; when absent, record the gap |
Three common errors
- Treating retrieval similarity as an authorization filter. A similarity score does not distinguish dealer visibility scope. Credit approval status requires downstream system implementation, and retrieval itself does not complete authorization.
- Treating an unrecorded field as a contradiction. When the source states only the spring batch and the draft states year-round supply, the result is unsupported; only mutually exclusive values in the same field constitute a contradiction.
- Treating an empty citation array as an error. When citation length is 0 the output path still executes. Whether the downstream continues is a flow design decision, and this observation does not establish that retrieval failed.
How to verify the setup
- Input the hypothetical source text and draft sentence above, and compare the fabric composition field. The draft states all-cotton; the source states 80% cotton and 20% polyester. The same field holds mutually exclusive values, and the observed result is a judgment of unsupported.
- Input the same source text and the supply period portion, and compare the supply period field. The source states the 2026 spring batch; the draft states year-round supply. The source does not record year-round supply, and the observed result is pending verification with the gap recorded.
- Use a paper input of an empty array to check downstream handling, and observe whether the downstream node continues as designed. Do not claim that a particular search necessarily returns an empty array, and do not guarantee a first hit or full recall. For bases using different vector models, check the identifier first and exclude those that do not match; do not run a cross-model search to compare missed recall.
