Channel receivables: citation tracing for copy drafting

Review citation tracing for copy drafting in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection begins after credit sales have been made. The work centers on credit management and cash recovery, and the main material sources are the finance system, bank receipts, distributor orders and sales contracts. For copy drafting in this category, the working documents are the receivables aging table, the dunning letter, the credit agreement and the shipment freeze notice. Draft sentences commonly refer to aging status, credit limit usage and repayment arrangements. Whether such a sentence holds depends on whether the underlying material states the same entity, the same period and the same field. Materials update weekly or monthly, so any citation must be checked against the version that remains in effect.

The knowledge base search node outputs an array of cited content, and the array length may be zero. An empty array means the output branch still runs; it does not mean the workflow has errored or stopped. Cited content is input for the answering stage, and the final draft must be checked line by line against the cited source text. Knowledge base association requires the selected knowledge bases to use the same vector model. That condition governs association between knowledge bases only and does not extend to external systems. The minimum relevance value is a filter threshold; semantic recall and relevance scores do not perform permission or entity isolation, and retrieval itself is not authorization. Hybrid retrieval merges multiple result paths through RRF, which is part of the retrieval process rather than a separate switch. Source recency checks require testing the current version and a historical version separately, and whether a citation is adopted still depends on review of the effective version.

Hypothetical drill sample

Source text one (credit agreement excerpt): "Party A grants Party B a credit limit of RMB 800,000, valid from 1 January 2025 to 31 December 2025."

Source text two (aging table excerpt): "As of 30 June 2025, distributor A has an accounts receivable balance of RMB 520,000, of which RMB 120,000 falls in the 31 to 60 days past due range."

Source text three (shipment freeze notice excerpt): "Because distributor A shipped beyond its credit limit, shipments to distributor A are suspended from 1 July 2025, pending further assessment after repayment."

Draft sentence to be assessed: "Distributor A has exhausted its credit limit, and the company has stopped supplying goods."

Constraints at the citation tracing step

Every business statement in a draft must trace back to specific source text. The credit agreement excerpt states a limit of RMB 800,000, and the aging table excerpt states a balance of RMB 520,000. These two figures do not by themselves support "exhausted." The freeze notice states that shipments are suspended, with further assessment pending after repayment; suspension and stopped supply are not the same status. A draft sentence that uses a completed-state wording such as "has stopped supplying" cannot be adopted on the basis of a notice that only records suspension.

A pending-review status recorded in a material is only that status. It does not show that an operator lacks permission, and it does not show that authorization has been granted. A retrieval hit shows that related material exists. It does not show that the entity named in that material has been approved or that a business action has been carried out. Retrieval output and business verification are separate steps, and downstream implementation is required for any verification, approval, database write or external synchronization.

The minimum relevance setting operates only under semantic retrieval or result reranking. It is a threshold, not a final ordering rule. When question optimization, hybrid retrieval, image retrieval or reranking is active, the final result may come from merged retrieval paths and need not follow a single vector similarity order. Image retrieval requires image input and matching model capability, and reranking requires a rerank model that is enabled under the settings. The overall retrieval diagram lists optional paths; not every request exercises all of them.

Configuration and implementation checks

Configuration itemRelevant setting or check on this pageRelation to the sample
Associated knowledge basesSelect one or more knowledge bases that use the same vector modelThe credit agreement, aging table and freeze notice must be associated under the same vector model; different models cannot be associated together
Search modeSemantic retrieval, full-text retrieval or hybrid retrievalIdentifier, amount and date fields suit full-text or hybrid retrieval
Citation limitEach search cites at most n tokens of contentHypothetical trial starting value of 2000 tokens, chosen because the three source texts are short in total; comparison against 1000 tokens shows whether truncation occurs
Minimum relevanceA 0-1 value, effective only under semantic retrieval or result rerankingHypothetical trial starting value of 0.5; comparison against 0.3 shows whether low-relevance fragments are filtered
Result rerankingRequires a rerank model, enabled under the settingsUsed for secondary ordering when candidates are numerous; no rerank score is produced when it is not enabled
Question optimizationCoreference resolution and question expansion before retrievalThe draft sentence contains references such as "exhausted" and "has stopped," so enabling it allows observation of whether the retrieval terms are completed

Three common errors

  1. Treating a status not stated in the material as confirmed. In the sample, the credit agreement states a limit of RMB 800,000 and the aging table states a balance of RMB 520,000; the two together do not support "exhausted." The freeze notice states suspension of shipments, which is not the same fact as stopped supply. The error is to accept the completed-state wording of the draft sentence directly.
  2. Treating a pending-review status as missing operational permission. If a material shows only that a matter is pending review, that status is all that can be recorded; it does not support an inference that permission is absent or that authorization has been granted.
  3. Treating a retrieval hit as established authorization. A returned citation only shows that related material exists; it does not show that the entity concerned has been approved or that the business action has been executed.

How to verify the setup

  1. Input source text one and the draft sentence "Distributor A has exhausted its credit limit." Compare the limit amount stated in the material with the balance in the aging table, and observe whether the two refer to the same field with mutually exclusive values. The condition is met when the material clearly states that the limit is fully occupied, or that the balance equals or exceeds the limit. Neither source text in the current sample states that the limit is exhausted, so the result is unsupported.
  2. Input source text three and the draft sentence "The company has stopped supplying goods." Compare "shipments are suspended" as stated in the freeze notice with "has stopped supplying" in the draft sentence, and observe whether the two are the same status description. The condition is met when the material clearly states that supply has been terminated. The current sample states suspension together with further assessment after repayment, so the result is pending verification.
  3. Input a paper-constructed empty citation array, written as [], and observe the design of the downstream answering stage. The condition is met when the downstream stage does not error on empty-array input, does not generate a business conclusion without a source, and records that the branch has run. This item checks the downstream handling design; it does not claim that an actual retrieval will return an empty array.
