What the documents look like
Fresh-food supplier claims pursue responsibility for quality problems at arrival. They do not address natural loss inside a store. That boundary decides which materials may be used when drafting product and marketing copy. The main data comes from the quality inspection system, WMS receiving, supplier contracts and financial reconciliation. The working documents are quality exception forms, photo evidence, deduction notices and claim reconciliation statements, updated per batch and per month.
Three industry facts affect this drafting step. First, a usable quality conclusion comes from inspection and receiving records, so copy cannot present an anomaly that is still awaiting verification as an established responsibility. Second, photo evidence and the quality exception form belong to the same batch, so any batch, quantity or status that appears in copy must match those documents. Third, deduction notices and claim reconciliation statements belong to negotiation and finance, so drafting must not describe them as executed outcomes.
Because updates happen per batch, conclusions reached for one batch cannot be carried over to another batch from the same supplier. Because reconciliation happens monthly, figures are grouped by month.
Constraints at the multi-turn prompts step
Multi-turn prompts and prompt settings support drafting and clarification questions. They do not decide responsibility. Four constraints follow.
The material scope must state that only the quality exception form, photo evidence, deduction notice and claim reconciliation statement are used. When evidence is missing, the draft marks it as pending verification and does not supply business facts. Historical records must be checked against the context actually carried in, distinguishing a new conversation from a continued one. Question optimization applies only to checking reference resolution and question expansion in knowledge-base continuous conversation; a short question does not automatically qualify. Model and length settings must be checked against the context and reply configuration, and long documents combined with follow-up questions require actual testing.
Reply format follows downstream needs. When json_schema is selected, the corresponding format requirement must be filled in and the returned structure verified. A relevance score in retrieval does not perform entity or permission isolation, and a retrieval result is not authorization.
Hypothetical paper exercise. The original inspection record reads: "12 March 2025, batch A-0312, 200 boxes arrived, 20 boxes sampled, of which 6 boxes of leafy greens were wilted, judged as a quality anomaly at arrival, responsibility pending confirmation with the supplier." The original WMS receiving record reads: "Same batch, 200 boxes actually received, 194 boxes put into storage, 6 boxes held pending handling." The draft sentence under review is: "This batch has been confirmed as fully the supplier's responsibility, the deduction has been made and compensation completed." Conclusion: the draft sentence is not supported. The inspection record states responsibility pending confirmation, and no deduction or compensation record exists in the materials.
Configuration and implementation checks
The settings below relate to the exercise above. They are documented settings or implementation checks. The values are starting points for this hypothetical trial, used for comparison against a control value, and are not official defaults.
| Configuration item | Hypothetical trial starting point and reason | How to check |
|---|---|---|
| AI model | Choose a model that supports image recognition and a longer context, to read photo evidence and long documents | Confirm multimodal capability and maximum context shown in the settings dialog |
| Memory turns | Set to 3 turns; the exercise is document Q&A, and fewer turns cannot use earlier batch information | Compare whether earlier turns are cited, and observe changes in consumption and response |
| Temperature | Set low; copy must stay close to document wording and reduce divergence | Compare with a higher setting to see whether wording drifts from the original |
| Reply limit | Enabled and raised moderately; copy needs to present batch and quantity in full | Observe whether the reply is truncated |
| Reply format | Keep default; select json_schema only if downstream reads a fixed structure, and fill in the format requirement | Verify the returned structure matches the requirement |
| Multimodal recognition | Enable image recognition for photo evidence; media link extraction is attempted only when the question is under 500 characters and at most 4 links are present | Check whether unsupported types are filtered out |
Three common errors
- Writing a pending status as a confirmed responsibility. Input is the inspection text "responsibility pending confirmation with the supplier." If the output reads "confirmed as fully the supplier's responsibility," the comparison object is the status field in the original, and the observable result is that the draft sentence does not match that status. The correct approach keeps the pending-verification wording.
- Writing a deduction notice as completed compensation. Input is a material list containing only a deduction notice. If the output reads "the deduction has been made and compensation completed," the comparison object is whether a compensation record exists in the materials, and the observable result is that the compensation fact has no source. A deduction notice and completed compensation are different facts.
- Using retrieval relevance in place of a permission judgment. Input is a retrieval result containing similarity scores. If the result is treated as confirming that the supplier's records are usable, the comparison object is record ownership and authorization scope, and the observable result is that a similarity value says nothing about whether access is permitted. Retrieval is not authorization.
How to verify the setup
- Enter the inspection and WMS texts above together with the draft sentence, and compare whether the draft sentence states a responsibility finding or a compensation fact not present in the originals. The observable result is that the output keeps "responsibility pending confirmation" and marks compensation as lacking evidence. This is a paper check and was not run.
- Enter an empty-result continuation case, using an explicit paper input of
[]to check whether the downstream design handles the no-reference situation. The observable result is that the downstream has a branch for empty references; no claim is made that a fictional rule retrieval necessarily returns[]. - Enter a cross-vector-model knowledge base association request and compare whether the library identifiers match. The observable result is that mismatched identifiers are excluded and the actual observation is recorded. No cross-model retrieval is executed to compare missed recall, and no run result is inferred.
All judgments require the same subject, the same period and the same field. Where a field is not stated, or only evidence from a related stage exists, the finding is recorded as unsupported or pending verification.
