E-commerce warehouse receiving: multi-turn prompts for copy drafting

Review multi-turn prompts for copy drafting in E-commerce warehouse receiving. Check input mappings, source evidence and failure handling before use.

What the documents look like

Inbound receiving and putaway is the first ledger-versus-physical confirmation when goods enter the warehouse. The working data comes from WMS, ERP purchasing, supplier delivery notes, and barcode scanning. The documents handled day to day are the purchase arrival note, the inbound acceptance note, the putaway task, and the discrepancy report. Copy drafting draws on the quantity, batch, status, and authorization scope recorded in these materials. Fields not stated in the materials stay unknown.

A purchase arrival note states an expected receipt quantity for a named item and batch. An inbound acceptance note states what was actually counted. A discrepancy report exists only when the two do not agree. A putaway task states where goods are directed after acceptance. None of these documents, by itself, confirms that goods passed quality acceptance or that putaway was completed.

Constraints at the multi-turn prompts step

Hypothetical paper exercise sample. The material text reads: "Purchase arrival note PO-2024-0517 records arrival of 300 units of item A thermal cups. Inbound acceptance note YS-0517 records 300 units actually received. The discrepancy report is empty." A draft sentence under review reads: "All 300 units of item A thermal cups in this batch have passed acceptance and been put away." The sentence touches three fields: subject, quantity, and status. The materials support the quantity match only. Acceptance pass and putaway completion are not stated, so the sentence is unsupported.

In multi-turn dialogue, context carried in from history must be checked. A new session and a continued session take different inputs. Question optimization for knowledge-base continuous conversation checks whether pronouns are resolved; it is not assumed to apply to every short question. Model choice and length settings must be checked against the context and reply configuration. Reply format is chosen by what the downstream step needs; selecting json_schema requires filling in the corresponding format requirement and verifying the returned structure. Semantic recall and relevance scores do not perform permission or entity isolation.

Three common errors

  1. Writing "quantity matches" as "passed acceptance and put away." The materials support the quantity field only; the status field is not stated.
  2. Treating a relevance score as a permission or entity filter. Retrieval does not carry authorization judgment.
  3. Assuming every request runs all optional paths. Image retrieval requires an image input and model capability; reranking requires a model and must be enabled by its setting.

How to verify the setup

  1. Input the hypothetical source text and the draft sentence, compare the quantity and status fields, and treat the draft as supported only when the materials explicitly state acceptance pass and putaway completion; otherwise record the gap.
  2. Use a paper input of [] to check the downstream design for an empty result and observe the carried output, without claiming that a fictional rule retrieval necessarily returns [].
  3. Check the vector model identifier across libraries, exclude those that do not match, and record the actual observation, without running cross-model retrieval to compare missed recall.

A pending request is not approval. An offered option is not execution. An unsigned termination is not a completed termination.
