What the documents look like
Overseas stock replenishment management works from a defined document set: replenishment plans, inbound appointment records, inventory age tables, and final-mile delivery notes. These materials originate in overseas warehouse WMS, ERP sales forecasts, freight forwarding systems, and carrier bills, with weekly or daily update frequency. For product and marketing copy drafting, the relevant material content includes inventory status, inbound time windows, inventory age ranges, and delivery scope.
Whether a specific promotional sentence in proposed copy is supported by the materials depends on whether the source text states the corresponding subject, object, status, or effective scope. A replenishment plan may name a destination warehouse and a week range. An inventory age table may state an age band. A delivery note may state a service area. When the material does not state a delivery scope or time commitment, a proposed sentence claiming nationwide delivery or a three-day arrival remains unsupported. The drafting step needs to compare proposed copy against the exact wording and limitations of the source documents.
The context and token step governs how much source material can be carried into a single drafting request and how the model output is bounded. The context window is checked against actual model capability. The reply limit is a separate field controlling single-response length. Knowledge base reference limits use tokens as the unit. When a single material segment is long, it may be truncated. History turns affect the input difference between an empty-history request and a request with history. Structured reply formats require field completeness and successful parsing.
Constraints at the context limits step
The context window and the reply limit are not the same value. The context window is the total content a model can reference in a single request. The reply limit controls how long a single answer can be. Treating them as interchangeable can cause a long material set to be misjudged as fitting within the request.
Knowledge base reference limits are measured in tokens. A long single material segment may be trimmed when the reference limit is set below the segment length. Comparing the returned reference content against the original text shows whether trimming occurred.
History turns affect input. The same question submitted with empty history and with a small number of history turns produces different input content. Comparing the two inputs shows whether history introduces additional content that changes the drafting judgment.
Structured reply formats such as json_schema require verification of field completeness and successful parsing, not only text length. A response that is short enough may still fail to parse if required fields are absent.
Hypothetical paper test case: The material source text reads, "This replenishment batch plan covers the German overseas warehouse. The inbound appointment window runs from week 32 to week 34. The inventory age table shows this batch falls within the 30 to 60 day age band." The proposed sentence under review reads, "This batch of goods supports final-mile delivery across all of Germany, with arrival within three days of order." The material does not state final-mile delivery scope or delivery time commitment. The proposed sentence is not supported.
Configuration and implementation checks
| Configuration item | Hypothetical starting value for this trial | Reason and comparison method |
|---|---|---|
| AI model | Select a model shown in the configuration dialog as supporting the required context length | Compare the model maximum context against total material tokens to confirm capacity |
| Reply limit | Set to a length that accommodates the basis and handling action | Compare the truncation point against proposed sentence completeness |
| Knowledge base reference limit | Set in tokens to cover a single material segment length | Compare returned reference content against the original text to confirm trimming |
| History turns | Retain a small number of history turns | Compare the same question input under empty history and with history |
| Reply format | Use json_schema when a fixed structure is required | Verify field completeness and successful parsing |
| Minimum relevance | Set according to the documented conditions for semantic retrieval or reranking | Compare filtered results against the corresponding original text |
Three common errors
- Treating the reply limit as the full context window. Check the input: the model maximum context value and the reply limit value. Compare whether these are the same field. Observable result: when the two are conflated, long material may be misjudged as fitting within the request.
- Using semantic recall or a relevance score in place of business verification. Check the input: the candidate content returned by retrieval and the original material text. Compare whether the candidate contains the subject, object, and status required by the proposed sentence. Observable result: a high relevance score does not mean the promotional sentence is supported by the material.
- Treating a pending review or a quotation validity period as an already-effective fact. Check the input: status fields and date fields in the material. Compare whether values in the same field are mutually exclusive. Observable result: when no effective terms are stated, the fact remains to be verified.
How to verify the setup
- Input the hypothetical sample material text and the proposed sentence. Compare whether the delivery scope and time commitment in the proposed sentence appear in the original text. When the original text does not state them, the judgment is unsupported, and the evidence gap is recorded.
- Input the same question under two conditions: empty history and a small number of history turns. Compare the input content difference between the two requests. Observe whether history turns introduce additional content and whether this affects the drafting judgment.
- Input a paper empty result
[]to check the downstream handling design. Compare whether the downstream node handles empty references. Observe whether undefined fields or parsing failures appear, and record the actual observation without presuming an empty return.
Retrieval is not authorization. A relevance score is not a category, entity, or permission filter. Forms collect values; business verification, approval, database writes, and external synchronization require their stated downstream implementation. RRF is a hybrid result fusion process, not a toggle switch. Thinking budget is a reasoning budget and is not a reference token limit. Cross-model retrieval association requires checking identifiers and excluding non-matching models before any comparison; it does not establish that missing recalls or redundant returns will occur. Optional paths in the overall retrieval flow do not execute on every request: image retrieval requires corresponding image input and model capability, and reranking requires a model enabled according to settings.
