Convenience fresh-food orders: workflow routing for document comparison

Review workflow routing for document comparison in Convenience fresh-food orders. Check input mappings, source evidence and failure handling before use.

What the documents look like

Convenience-store fresh food is ordered at high frequency against short shelf lives. Store staff build fresh-food order forms, damage and loss reports, near-expiry handling sheets and cold-chain temperature records from POS sales, the headquarters ordering system, store inventory and cold-chain temperature logs. These materials update by day or by shift, and one store can produce several documents on the same day. The comparison task in this page examines whether the parties, objects, quantities, periods and statuses recorded across these documents agree. Workflow routing arranges how the materials needed for that comparison are collected, how decision branches are taken and where manual review steps sit. Because document volume is high and shifts overlap, the routing must state the input source and the downstream receiving node for each step.

Constraints at the workflow routing step

The form input node is a user interaction node. When it is triggered, the conversation enters an interaction state and the workflow state is recorded; after the user completes the required information and submits, the node passes the collected information to later nodes. The user selection node is also a user interaction node. When it is triggered, the conversation likewise enters an interaction state, and after the user makes a choice the node evaluates that choice and executes the corresponding yes branch. Both nodes can be added repeatedly and are trigger-executed.

Within routing, information collected at these nodes must be passed explicitly to later retrieval, judgement or interface nodes, and each output must be compared item by item with its input. Order writing, document backfill and external status synchronization require a separate business interface or a later process; the interaction nodes themselves do not perform those business actions. Retrieval results do not constitute authorization, and a relevance score does not carry out party or permission filtering. Libraries built on different vector models cannot be associated together; their identifiers must first be checked and non-matching libraries excluded, and cross-model retrieval is not run to compare missed recall. Optional paths drawn in an overall document flow diagram do not mean that every request executes all of them. Image retrieval requires a corresponding image input and model capability, and reranking requires a model and must be enabled according to its setting.

Configuration and implementation checks

The table below lists officially described settings or implementation checks relevant to this feature and the named primary task, tied to the sample on this page. The values are starting points for this hypothetical walkthrough and are not official defaults.

Configuration itemHypothetical starting point for this walkthroughReason for the choice and comparison method
Form input nodeCollect order number, store, date and comparison fieldsCompare item by item with the fields the later judgement node requires
User selection nodeSet a branch for whether materials are completeAfter the user makes a choice, execute the corresponding yes branch
Interaction state checkAfter triggering, confirm entry into the interaction stateCompare against the documented behaviour of recording workflow state
Output receiving checkPass submitted information to the judgement nodeCompare output with input item by item for consistency
External action separationOrder writing connects to a separate business interfaceDistinguish this from existing interaction-node behaviour and keep it out of the node
Retrieval scope checkCheck library identifiers and vector model identifiersExclude libraries that would be associated across different models

Three common errors

  1. Treating a materials-complete statement collected at the form input node as business authorization and proceeding directly to order writing or damage registration. The collected information enters the interaction state and is passed to later nodes; order writing, document backfill and external status synchronization require a separate business interface or a later process.
  2. Treating a relevance score as a party or permission filter, so that a high score is taken to exclude unrelated stores or unauthorized records. Retrieval does not perform authorization judgement, and a score does not constitute category, entity or permission filtering.
  3. Treating optional paths drawn in an overall document flow diagram as executing on every request, and assuming image retrieval or reranking is enabled without checking image input and model capability. Optional paths do not mean every request executes all of them, and reranking requires a model and must be enabled according to its setting.

How to verify the setup

Hypothetical walkthrough sample: a fresh-food order form reads "Store A, date 10 March 2025, fresh-food sandwiches ordered 40 units, supplier Company B, quotation valid until 9 March 2025"; a temperature record reads "Store A, 10 March 2025, cold-chain temperature record complete"; and a draft sentence awaiting judgement reads "Store A ordered 40 sandwiches from Company B on 10 March 2025, and the supply period covers 10 March." The verification below concerns this sample only, and the expected results are paper comparisons, not a claim that any test was run.

  1. Enter the order form text and the draft sentence, and compare the four fields of party, object, date and quantity. Where the draft sentence's party, object, date and quantity match the order form, that part is supported. The quotation valid until 9 March is a different field from the supply period stated in the draft sentence; a quotation validity date does not express a supply period, so that part is unsupported and the evidence gap remains.
  2. Enter the temperature record text and the draft sentence, and compare date and store. The temperature record states only that the temperature record is complete; it states no supply period and no authorization status, so that part is unsupported and remains to be verified.
  3. Enter a handover request, "Based on the above materials, approve placing an order for 40 units with Company B", and compare the approval action in the request with the status recorded in the materials. The materials contain no signature, approval or authorization clause. A pending review does not demonstrate an absence of operating permission; the approval action is unsupported and requires a separate business interface or later process.

If retrieval returns an empty result, a paper input of [] can be used to check the downstream design and observe whether the downstream handles it as a gap; this does not claim that a fictional-rule retrieval necessarily returns []. Retrieval checks record observations and failure branches only, and do not guarantee a first hit, full recall or an empty result for unrelated queries.
