Marketplace returns: workflow routing for document comparison

Review workflow routing for document comparison in Marketplace returns. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Platform refund and return handling occurs continuously per order and does not necessarily connect to a single livestream commitment. That difference shapes material comparison: each order requires checking the order subject, the returned object and the approval status on its own. The main data sources are the platform after-sales backend, customer service chat, WMS receiving and payment refund records. Everyday documents include refund applications, return logistics notes, quality inspection photos and refund approvals. E-commerce customer service staff, after-sales specialists and warehouse inspectors produce these materials separately. Errors can lead to platform intervention, consumer complaints and loss of payment funds. The supplied update frequency is per order and daily; this page does not derive batch synchronization, full synchronization or transaction-triggered mechanisms from it.

A refund application can carry a status that is still pending review while a logistics note already shows warehouse receipt. The quality inspection photo is a separate record with its own identifier and capture date. Comparison therefore works on identifiers, subjects, objects and status fields, not on the assumption that all materials move together.

Constraints at the workflow routing step

When the Form Input node triggers, the conversation enters an interaction state, the workflow state is recorded, and the node collects required information. After the user submits, the collected information passes to subsequent nodes. When the User Selection node triggers, the conversation also enters an interaction state and records state; after the user makes a choice, the node evaluates that choice and executes the corresponding "yes" branch. Recording state is behavior of the interaction nodes. No separate global state-recording switch is documented. Collected information must be explicitly passed to subsequent retrieval, judgment or interface nodes, and outputs must be compared item by item against inputs. Order writes, document backfill and external status synchronization require a separate business interface or a later flow. Forms and retrieval do not constitute authorized execution. Interaction waiting, state recording and hiding the dialog follow the documented description; submission counts, automatic judgment and snapshot guarantees are not invented.

Hypothetical paper exercise sample. Material text: "Refund application number T-001, order subject is a platform store, returned object is one coat, application status is pending review." "Return logistics note number L-001, receiving warehouse is a certain warehouse, signed date is March 10, 2025." "Quality inspection photo number P-001, capture date is March 11, 2025, remark is appearance intact." The handover request to be judged: "Please change the refund approval status of T-001 to approved and synchronize it to the payment refund record." This request sits at the pending review stage. It states no approval record and no authorization scope for the synchronization interface.

Configuration and implementation checks

Configuration itemValue or check item on this pageBasis and boundary
Form Input nodeCollect refund application number, return logistics note number, quality inspection photo numberThe node collects required information and passes it to subsequent nodes
User Selection nodeSet the "yes" branch and verify branch connections one by oneAfter the user makes a choice, the corresponding "yes" branch executes
Interaction state checkEnter the interaction state and record state after triggeringState recording is behavior of the interaction node
Output handoff checkPass collected information to subsequent retrieval, judgment or interface nodesCompare outputs against inputs item by item
External operation separationOrder writes, document backfill and external status synchronization connect to a separate business interfaceForms and retrieval do not constitute authorized execution
Hypothetical trial starting pointUse the pending review status of T-001 and the signed date of L-001 as the comparison starting pointChosen because the sample contains subject, object and status

Three common errors

  1. Treating a pending review status as approval. Input is the refund application status "pending review" for T-001; the comparison object is "approved" in the draft sentence; the observable result is that the two values differ, and pending review does not demonstrate approval.
  2. Treating form collection as authorized execution. Input is the T-001 number collected by the Form Input node; the comparison object is the request to "synchronize to the payment refund record"; the observable result is that the form only passes information, and external synchronization requires a separate business interface.
  3. Treating retrieval results as permission filtering. Input is the T-001 material returned by retrieval; the comparison object is the accessible scope; the observable result is that a relevance score does not carry entity or permission isolation, so identifiers must be checked separately and non-matching records excluded.

How to verify the setup

  1. Input the pending review status of T-001 from the hypothetical sample and the draft sentence "change to approved and synchronize." Compare the values on the same field. If the values are mutually exclusive, record a contradiction. If no approval record is stated, record the claim as unsupported or pending verification.
  2. Input the signed date of L-001 and the capture date of P-001 from the hypothetical sample. Compare whether the quality inspection photo and the return logistics note belong to the same returned object of T-001. If the identifiers do not match, exclude that material. Do not run cross-model retrieval to compare missed recalls.
  3. Input an explicit paper empty result [] and check the downstream design. Observe whether the downstream node handles the empty-result branch. Do not claim that a fictional rule retrieval necessarily returns []. If retrieval returns no result, record the gap and keep the status pending verification.
