What the documents look like
Channel receivables collection happens after credit sales, and the work centres on credit control and cash recovery. Brand finance staff, sales back-office staff and dealer owners handle the ageing report, the dunning letter, the credit agreement and the shipment freeze notice. Data updates mainly follow a weekly and monthly rhythm. Contract and transaction material comparison places the sales contract, dealer order, bank receipt and ageing record on the same party, the same period and the same field. Differences between materials commonly come from signing status, shipment scope or payment attribution, so a citation must return to the specific source text.
For this task the relevant materials are the credit agreement, the dealer order and the bank receipt. The ageing report and dunning letter act as supporting records that describe a stage, not as proof that a business action has been executed. A retrieved clause shows that a material exists inside the selected knowledge base. It does not show that credit was approved, that a dunning letter was sent, or that a shipment freeze was carried out.
Constraints at the citation tracing step
The knowledge base search node can select one or more knowledge bases that share the same vector model, and it outputs a citation array whose length may be zero. An empty array still passes through the output link. The citation upper limit controls the maximum content cited per search in tokens. The minimum relevance value applies only in semantic retrieval or when result reranking is used, and it acts as a filter threshold rather than a final ordering rule. When hybrid retrieval or reranking is active, results may be fused from several recall paths and need not follow a single vector similarity order. Each retrieved item still has to be checked against its source text. A fluent answer or a visible thinking process does not replace source evidence. Retrieval itself is not authorization.
Hypothetical drill sample, provided here as paper input for comparison. A brand and a dealer sign a credit agreement whose text states: "Credit limit 500,000 yuan, payment term 60 days, valid until 30 June 2025." The dealer order shows a shipment of 300,000 yuan in March 2025. The bank receipt shows a payment of 200,000 yuan received in April 2025. The draft sentence to be judged is: "As of May 2025, this dealer has paid 200,000 yuan, and 100,000 yuan remains for collection."
This draft sentence must be compared item by item against the agreement, the order and the receipt. The payment amount, the paying party, the receiving party and the period all need to line up. The agreement validity date governs the agreement, and it does not state a shipment deadline for the order. If the order shipment date falls outside the agreement validity period, the remaining-balance calculation needs its period scope rechecked. If the receipt is missing, or the parties differ, the payment amount is not supported.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this drill | Reason and comparison method |
|---|---|---|
| Associated knowledge bases | Credit agreement base, order base, receipt base | The three bases must share the same vector model before they can be associated together; check the model identifier first |
| Search mode | Hybrid retrieval | Contract numbers and amounts need keyword hits, while clause meaning needs vector recall |
| Citation upper limit | Hypothetical starting point of 2000 tokens for this drill | Compare against the typical length of the ageing report and agreement clauses, then adjust |
| Minimum relevance | Hypothetical starting point of 0.3 for this drill | Compare against the rerank score distribution and observe whether valid clauses are filtered out |
| Result reranking | Enabled | Second-pass ordering when candidate clauses are numerous; the score is used for filtering |
| Question optimisation | Enabled only for multi-turn follow-up questions | A single clear question goes straight to retrieval, avoiding an extra model call |
These values are hypothetical starting points for a paper drill. They are not official defaults. The associated knowledge bases must be checked for a shared vector model identifier, and bases that do not match are excluded rather than searched across models.
Three common errors
- Treating a retrieval hit as an authorization basis. Finding a credit agreement clause only shows the material exists. Whether credit was approved, and whether a shipment freeze was executed, still depend on their own business records. Check: input the credit agreement text and the freeze notice, compare the limit in the agreement with the freeze scope in the notice, and observe whether both point to the same party and the same period.
- Writing a pending review status as already effective. The draft sentence says "has paid 200,000 yuan," and the receipt shows an April 2025 arrival. Check: input the receipt text and the order text, compare the payee and payer names, and observe whether they name the same dealer.
- Treating a quotation validity date as a supply period. The clause "valid until 30 June 2025" concerns the agreement's effect and does not state an order shipment deadline. Check: input the agreement validity clause and the order shipment date, compare the date ranges of the two fields, and observe whether they have been merged into one period.
How to verify the setup
- Input the agreement text, order text and receipt text from the hypothetical sample. Compare the 200,000 yuan in the draft sentence with the receipt amount, and observe whether the receipt shows an arrival record for the same party in the same period. If the receipt is missing or the parties differ, that amount is not supported.
- Input the draft sentence "100,000 yuan remains for collection." Compare the agreement limit of 500,000 yuan, the shipment of 300,000 yuan and the payment of 200,000 yuan, and observe whether the three figures fall inside the same credit period. If the order shipment date falls outside the agreement validity period, the difference calculation needs its period scope rechecked.
- Input an empty citation array [] and compare it against the downstream answer stage design, observing whether the empty array passes through the output link. When retrieval returns nothing, record the gap. Do not infer a business status, and do not treat an empty result as collection completed or credit terminated.
Across these checks the comparison must stay on the same party, the same period and the same field. Only mutually exclusive values in the same field count as a contradiction. A status that is not stated, or evidence that covers only a related stage, counts as unsupported or pending verification. A pending review does not show a lack of operating authority. Signing, reaching cooperation and contract effectiveness are three separate facts. The relevance score does not act as a category, entity or permission filter, and the shared vector model requirement for associated knowledge bases does not extend to any external system.
