What the documents look like
Channel receivables collection begins after credit sales. Credit granting and cash recovery form the main line, and contract terms must correspond to transaction vouchers entry by entry. The working materials include the receivables aging table, dunning letters, credit facility agreements, and shipment freeze notices. These come from the finance system, bank receipts, dealer orders, and sales contracts, with weekly or monthly updates. The task of comparing contracts against transaction materials requires placing the credit limit, payment term, and freeze conditions stated in a credit facility agreement alongside the actual amounts and statuses recorded in orders, bank receipts, and the aging table, under the same counterparty, the same period, and the same field. Knowledge base search and recall serves this task by locating the relevant clause and voucher fragments for comparison. A retrieval result does not itself constitute authorization, approval, or business execution.
Two features of this category shape the retrieval step. First, credit and cash recovery are the core concern, so a retrieved clause about a credit limit is not evidence that a specific shipment was approved; the approval record is a separate field. Second, the materials arrive from several systems at weekly or monthly cadence, so the retrieval scope must be defined by counterparty and period rather than by a general topical match.
Constraints at the retrieval step
A knowledge base consists of three levels: library, collection, and data. The smallest search unit is the library; a collection only classifies data for management and does not affect search results. The knowledge base search node can associate one or more knowledge bases that use the same vector model. Knowledge bases built on different vector models cannot be associated together. The correct handling is to check the vector model identifier first and exclude any that do not match, without running a cross-model search to compare missed recalls. Quoted content is output as an array, and its length can be zero. When nothing is retrieved, the output path still completes.
Hypothetical paper exercise sample. The credit facility agreement text reads: "Party A grants Party B a credit limit of RMB 800,000, with a payment term of sixty days from the shipment date; shipment exceeding the limit requires Party A's written approval." The dealer order text reads: "The amount of this order is RMB 950,000, shipment date 10 March 2024." The proposed determination sentence is: "This order has obtained Party A's written approval for shipment." The aging table fragment reads: "As of 31 March 2024, the dealer's receivables balance is RMB 950,000, payment term sixty days." When checking, the comparison must use the same counterparty, the same period, and the same field. The approval requirement stated in the credit facility agreement and the amount and shipment date stated in the order belong to different fields. The written approval asserted by the proposed determination sentence is not stated in the given materials, so it remains unsupported and pending verification. It cannot be used to conclude that approval was granted or refused.
Configuration and implementation checks
The table below lists only settings or implementation checks relevant to this page's task. The values are starting points for this hypothetical trial, with the reason and the comparison object stated. They are not official default values.
| Configuration item | Hypothetical starting point for this trial | Reason and comparison method |
|---|---|---|
| Associated knowledge bases | Credit facility agreement library; order and bank receipt library | Both must use the same vector model; check the identifier first and exclude any that do not match |
| Search mode | Hybrid search | Run the same test question under semantic search and full-text search separately, then compare the retrieved content |
| Reference limit | Measured in tokens; starting point determined by testing with actual materials of different lengths | Compare against complete source paragraphs and observe whether content is truncated |
| Minimum relevance | Starting point determined by testing with labeled relevant and irrelevant samples | Takes effect only under semantic search or when result reranking is used; compare results before and after filtering |
| Question optimization | Enabled for multi-turn follow-up and short-question scenarios | Compare the original question with the optimized question and check whether the subject was altered |
| Result reranking | Used when a rerank model is available and enabled by configuration | Compare candidate order before and after reranking; the score is used for filtering |
Result reranking depends on a rerank model. Image retrieval requires image input and the corresponding model capability. The optional paths shown in the overall document flow diagram do not mean every request executes all of them. RRF is the fusion process for hybrid search results and is not written as a switch.
Three common errors
- Treating a retrieval hit as permission or business authorization. The input is a credit facility agreement fragment with a relatively high similarity score. The comparison object is whether that fragment contains an approval record. The observable result is that the fragment contains only the credit limit and payment term and lacks an approval field. The proposed determination sentence remains unsupported. A similarity score is not an entity or permission filter, and retrieval does not constitute authorization.
- Associating knowledge bases across different vector models. The input is the vector model identifiers of two libraries. The comparison object is whether the identifiers match. The observable result is that they do not match. The handling is to exclude and record, without inferring missed recalls or redundancy as runtime outcomes.
- Writing a pending-review status as a completed fact. The input is an unsigned termination document. The comparison object is whether signature and effective-date fields are stated. The observable result is that neither field is stated. The conclusion remains pending verification and is not written as a completed termination.
How to verify the setup
- Using the credit facility agreement text and the proposed determination sentence from the hypothetical sample, the input is the proposed determination sentence. The comparison object is whether the approval field exists in the agreement. The observable result is that it is not stated, so the determination is unsupported. Meeting this condition indicates that retrieval has not exceeded its scope by fabricating facts.
- Using the order text and the aging table fragment, the input is the order amount and shipment date. The comparison object is the same-period, same-counterparty balance in the aging table. The observable result is that the amount matches and the payment term matches. Meeting this condition indicates that same-field comparison is executable.
- Using a clearly paper-based input of an empty array, the comparison object is the downstream design for handling a quoted-content length of zero. The observable result is that the downstream path continues with the empty reference. Meeting this condition indicates that empty-result handling is available. All of the above are paper checks. No retrieval, approval, or other business action has been executed.
