Cross-border resale returns: document chunking for document comparison

Review document chunking for document comparison in Cross-border resale returns. Check input mappings, source evidence and failure handling before use.

What the documents look like

Returns refurbishment and resale work handles reverse logistics and item condition. This differs from first-leg replenishment management. Daily materials come from overseas warehouse WMS, TikTok return centers, Amazon return reports, and item inspection photos. The resulting documents are return inspection forms, refurbishment records, scrap sheets, and relisting lists. These materials carry two kinds of content at once: item condition judgments and transaction authorization information. The inspection grade determines whether an item is sellable, needs refurbishment, or must be scrapped. The relisting list connects to pricing and supply conditions. Contract and transaction material comparison looks for records of the same subject, same period, and same field within this material set, then checks whether those records support each other. Materials update daily or per batch. Parsing and chunking must keep conditional clauses, status descriptions, and the objects they constrain inside the same data block.

Constraints at the document chunking step

Chunking follows the original text structure. A return inspection form contains a subject, an item object, an inspection grade, a handling status, and a validity scope. Conditions and conclusions must remain in the same data block. One set of original data can map to multiple vector indexes. Indexes serve retrieval and do not change the original data content. The following is a hypothetical drill sample.

Hypothetical drill sample: The source text of one material reads: "On March 10, 2025, return inspection form RT-0310-07 states: the subject is a Shenzhen cross-border seller, the item is Bluetooth earphone Model A, the inspection grade is Grade B, the handling status is pending refurbishment, and the validity scope is limited to this batch." A second material reads: "On March 10, 2025, relisting list QL-0310-02 states: the subject is a Shenzhen cross-border seller, the item is Bluetooth earphone Model A, the listing status is sellable, and the quote validity runs through March 31, 2025." The draft sentence to be judged reads: "This batch of Bluetooth earphone Model A has completed refurbishment and can be directly resold." Check point: the inspection form handling status is pending refurbishment, and the relisting list listing status is sellable. Both share the same subject, period, and item object. The draft sentence states that refurbishment is complete, which does not match the pending refurbishment status, and no refurbishment record is provided to support a completion fact. The quote validity date does not indicate a supply deadline.

Retrieval testing uses identifiers, model numbers, and natural language separately to observe chunking effects. Semantic recall and relevance affect ordering only. They do not carry permission or entity isolation. An empty result can be checked against a downstream design using the explicit paper input []. No claim is made that a fictional rule retrieval must return [].

Configuration and implementation checks

Configuration itemStarting value for this hypothetical trialReason and comparison object
Search modeHybrid retrievalMaterials contain both identifiers and natural language descriptions; compared against pure semantic retrieval for recall coverage
Citation limitMeasured in tokens, starting value 3000Inspection forms and relisting lists have many fields; compared against 2000 to see whether conditional clauses are truncated
Minimum relevanceStarting value 0.4Compared against 0.3 to observe whether unrelated fragments enter citations
Question optimizationEnabledCompared against disabled for retrieval hits when follow-up turns contain references
Result rerankingReRank enabledCompared against no reranking for ordering stability when candidates are numerous
Chunking basisSegmentation by material structureCompared against fixed-length splitting to see whether conditions and conclusions stay in the same block

These values are starting points for this hypothetical trial. They are not official defaults.

Three common errors

  1. Treating "pending refurbishment" as "refurbishment completed." The inspection form handling status is pending refurbishment. No refurbishment record is provided. A draft sentence stating that refurbishment is complete is unsupported. Check: input the inspection form source text and the draft sentence, compare the handling status field, and if the status is pending refurbishment, the draft sentence does not hold.
  2. Treating quote validity as a supply deadline. The relisting list shows quote validity through March 31, 2025. This does not indicate guaranteed supply before that date. Check: input the relisting list source text, compare the quote validity field against the supply terms field, and if no supply terms exist, this item remains to be verified.
  3. Treating a retrieval hit as authorization confirmation. Semantic recall returns related fragments. It does not demonstrate that the subject holds operating permission. Check: input the retrieval results and authorization materials, compare whether an authorization field exists, and if it is missing, record the evidence gap.

How to verify the setup

  1. Chunk integrity check: input the return inspection form source text, compare whether each data block retains the subject, item, status, and validity scope, and if a conditional clause is separated from its conclusion, the condition is not met.
  2. Retrieval coverage check: input identifier RT-0310-07, model Bluetooth earphone Model A, and a natural language question separately, compare whether the returned fragments cover the corresponding fields, and if the identifier query returns no hit, adjust the search mode.
  3. Draft sentence comparison check: input the inspection form, the relisting list source text, and the draft sentence, compare the handling status and listing status fields, and if the draft sentence states that refurbishment is complete while the source text says pending refurbishment, the sentence does not hold and the refurbishment record gap is retained.
