Central chain procurement: document chunking for document comparison

Review document chunking for document comparison in Central chain procurement. Check input mappings, source evidence and failure handling before use.

What the documents look like

Central chain procurement and distribution centers on headquarters purchasing and outbound delivery. The working materials for this category are centralized procurement contracts, replenishment plans, delivery notes, and store requisition forms. They draw on ERP purchasing, WMS, store POS, and supplier delivery data, refreshed daily or weekly. These materials connect directly to three downstream consequences: store stockouts, inventory buildup, and supplier claims. Document parsing and chunking therefore has to keep every segment traceable to its source material, preserving the party, the object, the status, and the effective range.

Comparison of contracts against transaction materials turns on whether the same party, the same period, and the same field carry consistent values. A centralized procurement contract states the supply scope and validity period. A delivery note records what was actually shipped. A store requisition form records demand. If a conditional clause and the term it constrains are split into different data blocks, the comparison loses its basis for judgment.

Constraints at the document chunking step

One set of source data can map to multiple vector indexes. Retrieval recalls vectors first, then uses the vector ID to find the source data in MongoDB; records that resolve to the same source data are merged, and the score taken is the highest one. Chunking has to preserve paragraph structure and semantic completeness so that conditions, explanations, and the content they constrain are not separated.

Hypothetical exercise sample: the source text of a centralized procurement contract states that Party A is a regional chain headquarters and Party B is a food supplier; the supply object is twelve directly operated stores in the East China region; the contract validity period runs from March 1, 2025 to February 28, 2026; the settlement term is thirty days after receipt. In the same batch, a handover request reads: "Please adjust the March delivery volume to one and a half times the original plan under the contract." The request states no authorizing person, no basis for the adjustment, and no effective date. A store requisition form records that one store requisitioned one thousand cases in the first week of March, and a delivery note records that eight hundred cases were actually shipped in the first week of March. These materials are provided for later reconciliation.

Configuration and implementation checks

The table below lists only settings documented in the official material or implementation checks relevant to this page's primary task. The hypothetical exercise starting values apply only to this paper reconciliation and are not official defaults.

Configuration itemHypothetical exercise starting valueExplanation and comparison method
Search modeHybrid retrievalUses semantic and full-text recall together, fused through RRF; suits contract clause queries mixing identifiers and natural language
Citation limitSet to three thousand tokens for this paper exerciseA starting value for this paper reconciliation; compare against the actual length of a chunked single contract to observe whether complete clauses are covered
Minimum relevanceSet to zero point three for this paper exerciseA starting value for this paper reconciliation; effective only under semantic retrieval or result reranking, compared against rerank scores
Result rerankingEnabled according to settingsReranking requires a model and must be enabled according to settings; the rerank score runs from zero to one and can be used for filtering
Question optimizationEnabled according to settingsQuestion optimization adds one model call before retrieval; its effect can be observed in multi-turn dialogue and short-question scenarios
Paragraph integrity checkManual reconciliation actionCheck whether conditional clauses and the terms they constrain sit in the same data block, preserving the document identity and version that point back to the source

Three common errors

  1. Splitting a conditional clause from the term it constrains into different data blocks. In the hypothetical sample, if the sentence "the contract validity period runs from March 1, 2025 to February 28, 2026" is separated from the supply object sentence, retrieval returns only the validity period and cannot determine what it constrains. Check: input the contract text, compare whether the validity period and the supply object appear in the same block, and observe whether the block points back to the source.
  2. Treating a handover request as already authorized. In the hypothetical sample, "Please adjust the March delivery volume to one and a half times the original plan under the contract" states no authorizing person, basis, or effective date. Check: input the request sentence, compare whether it contains an authorizing party and an effective condition, and observe whether it can only be marked as pending verification.
  3. Treating a successful upload as retrieval already updated. After a material change, the actual training and index state must be checked. Check: input the changed contract clause, compare the retrieval return against the changed source text, and observe whether the returned content is still the old version.

How to verify the setup

  1. Input the three source sentences of the centralized procurement contract from the hypothetical sample, compare whether each chunked data block retains the party, supply object, validity period, and settlement term, and observe whether each block points back to the source. Expected phenomenon: conditions and the content they constrain sit in the same block, and retrieval can locate the complete clause.
  2. Input the handover request sentence from the hypothetical sample, compare whether it states an authorizing person, an adjustment basis, and an effective date, and observe the determination. Expected phenomenon: the request is marked as pending verification and produces no conclusion of authorized execution.
  3. Input the store requisition form value of one thousand cases and the delivery note value of eight hundred cases from the hypothetical sample, compare the values of the same store, the same period, and the same quantity field, and observe whether they form a mutually exclusive value in the same field. Expected phenomenon: the two are records in different fields, and further reconciliation is needed on whether an adjustment basis exists; the parts not stated remain an evidence gap.

This page addresses only central chain procurement and distribution, contract and transaction material comparison, and document parsing and chunking. Which materials, operations, and requests sit in which authorization state during an operational handover cannot be treated as authorized execution through retrieval or a form.
