Amazon FBA preparation: retrieval for procurement

Review retrieval for procurement in Amazon FBA preparation. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

FBA preparation moves inventory into a platform warehouse ahead of demand. The entry plan and carton labels determine whether a shipment can be received and listed on schedule, while the inventory report and compensation claim determine whether later fees and claims remain traceable. These materials sit alongside purchase orders, supplier records and freight forwarder tracking. At the retrieval step, the same supplier may appear in several versions, and the same carton label may cover several batches of shipments. The supplied brief gives a daily and weekly update frequency, so the retrieval library content shifts over time. This page does not infer any batch or real-time mechanism from that frequency.

The searchable material for this task is the procurement and supplier record set: quotation documents, purchase orders, supplier profiles and related correspondence. Entry plans, carton labels, inventory reports and compensation claims belong to adjacent tasks and are referenced here only where a procurement question touches them.

Constraints at the retrieval step

The knowledge base search node can link one or more knowledge bases that use the same vector model. The smallest search unit is the library, and a collection only classifies data inside it. Hybrid search merges semantic and full-text results through RRF. ReRank requires a rerank model and is applied according to the setting. Image retrieval requires image input and matching model capability. The minimum relevance value takes effect only under semantic search or when result reranking is used. The reference cap is measured in tokens. None of these retrieval results constitutes authorization. Whether a supplier has confirmed a quotation or a purchase order has been approved must be determined by the downstream implementation.

A hypothetical paper exercise. Source text for checking: "Supplier A submitted a quotation on 1 March 2025, valid until 31 March 2025. Purchase order PO-0310 was created on 5 March 2025 and is pending approval. The carton label file has not been generated." Draft sentence to be assessed: "Supplier A has confirmed the quotation, purchase order PO-0310 has been approved, and entry can be arranged." Comparing the draft against the source: a quotation validity period does not state a supply period, a pending approval does not state approval, and an ungenerated carton label means the entry material is incomplete.

Configuration and implementation checks

Configuration itemHypothetical starting point for this exerciseReason and comparison object
Linked knowledge baseProcurement and supplier record libraryCan be linked together only when the vector model identifier matches the entry plan library
Search modeHybrid searchCompare the same question against semantic search and full-text search separately
Reference capHypothetical starting point 2000 tokensCompare content completeness using purchase order and carton label fragments of different lengths
Minimum relevanceHypothetical starting point 0.3Label relevant and irrelevant samples first, then compare against 0.2 and 0.4
Question optimizationEnabledCompare the subject of the original and optimized question across multi-turn follow-ups
Result rerankingApplied according to the settingCompare ordering against results without reranking, and check whether a rerank model is present

These values are hypothetical starting points for this exercise and are not official defaults. Libraries using different vector models cannot be linked together; check the identifier first and exclude those that do not match.

Three common errors

  1. Treating a retrieval hit as authorization. Input is a purchase order fragment containing "pending approval." Compare the retrieval output against the approval status field. If the output is used to arrange entry, that is an error.
  2. Treating a quotation validity period as a supply period. Input is the quotation source text. Compare the validity field against the supply period field. If the draft sentence asserts supply on that basis, that is an error.
  3. Treating an empty reference array as no material. Input is an explicit paper input of []. Compare whether the downstream design accepts an empty result. If the downstream assumes content is always present, that is an error.

How to verify the setup

  1. Input the source text above together with the draft sentence. Compare "has confirmed the quotation" and "has been approved" in the draft against the status fields in the source. The condition is met only when the source contains a corresponding approval or confirmation record. The source does not state one, so the claim is unsupported.
  2. Input the same procurement question under semantic search and under full-text search. Compare the recalled content from both paths, and observe whether hybrid search after RRF merging contains hits from both paths. Exclude libraries that cannot be linked together first, and do not run a cross-model comparison.
  3. Input an explicit paper input of []. Compare whether the node output is an array of length zero, and check whether the downstream design accepts that empty result. Do not claim that a fictional rule search necessarily returns [].
  4. Input a multi-turn follow-up that mentions Supplier A. Compare whether the subject of the retrieval query remains Supplier A before and after question optimization. If the subject is changed to another supplier, record that as an observed deviation.

This page addresses only Amazon FBA preparation / procurement and supplier records / knowledge base retrieval and recall. When operations are handed over, the authorization state of materials, actions and requests must be judged from the source records, and retrieval or a form must not be treated as authorization to execute.
