Convenience fresh-food orders: workflow routing for procurement

Review workflow routing for procurement in Convenience fresh-food orders. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Convenience fresh food is ordered by the store at short shelf-life and high frequency. The store works from POS sales, the headquarters ordering system, store inventory and cold-chain temperature records, and the resulting paperwork includes fresh-food order forms, damage reports, near-expiry handling sheets and temperature records. Daily and per-shift update rhythms mean one store can produce several documents with different statuses on the same day. This page covers one task inside that setting: inventory procurement and supplier records, handled through workflow routing. The order form and supplier records are treated as material to be checked. Interaction nodes collect the values a store submits and pass those values to later nodes.

The Form Input node is a user-interaction node. When it is triggered, the conversation enters an interaction state, the workflow state is recorded, and after the user completes the required fields and submits, the collected form information is passed to subsequent nodes. The User Selection node is also a user-interaction node with the same interaction-state behaviour; when the user makes a choice, the node evaluates that choice and executes the "yes" branch. The basic use is to pose a question that requires a decision and design different workflow paths from the user's response. Both nodes can be added repeatedly and both trigger execution.

Constraints at the workflow routing step

Interaction nodes collect values and route branches. They do not grant authorization. A submitted order form is not an approved purchase. A registered damage report is not a written-off loss. A filled-in temperature record is not a cold-chain compliance determination. Where a qualification field in supplier records is not provided, that field is unknown; a similarity score cannot be read backwards to make it valid or invalid. Retrieval and semantic recall do not perform permission or entity isolation, and a similarity setting does not exclude unrelated stores or unauthorized records. Database writes, external status synchronization and order write-back require a separate business interface or a later flow. Libraries built on different vector models cannot be associated together; identifiers should be checked first and non-matching libraries excluded.

Hypothetical paper exercise sample. The material text to be checked reads: "Store A submitted fresh-food order form D-0610 on 10 June 2025, ordering 120 rice balls, with status pending review; the fresh-food supply qualification field for supplier S was not filled in on this submission; temperature record T-0610 shows that the day's refrigerated cabinet reading was registered." The draft sentence to be judged reads: "D-0610 has received procurement approval, supplier S holds a valid qualification, and next-day delivery may proceed." That sentence carries three conclusions beyond the material: pending review is not approval, an unfilled field does not indicate validity, and no record supports delivery execution.

Configuration and implementation checks

Configuration itemSetting or checkRelation to the sample
Form Input nodeMark order number, store, item and quantity as required fieldsCollects the pending-review status of D-0610
User Selection nodeDefine the "yes" branch and verify each branch connectionGives a pending-supplement branch for the missing qualification field
Interaction state checkRecord the interaction state; no separate global state switch is setExecution continues downward after submission
Output handover checkPass form information explicitly to later retrieval, judgement or interface nodesCompares D-0610 fields against downstream input
External action splitOrder writes, document write-back and external synchronization connect to a separate business interface or later flowDelivery execution is not completed at these nodes
Retrieval scope checkCheck library identifiers and vector model identifiers, excluding non-matching onesSupplier records are retrieved within the access scope

This page sets no numeric starting value. Where a comparison is needed, the date, order number and status fields written in the sample are the objects compared.

Three common errors

  1. Treating a pending-review status as approval and then outputting a deliverable conclusion. The input is the status field of D-0610, "pending review"; the comparison object is "has received procurement approval" in the draft sentence; the observable result is that the two values do not agree.
  2. Treating an unfilled qualification field as a valid qualification. The input is the empty qualification field for supplier S; the comparison object is "holds a valid qualification" in the draft sentence; the observable result is that the material does not state this field, so the conclusion is unsupported.
  3. Treating a retrieval hit or similarity score as authorization or entity isolation. The input is a supplier record entry returned by a retrieval; the comparison object is the authorization scope record for the store and the supplier; the observable result is that a similarity score contains no permission judgement, so access rights must be checked separately.

How to verify the setup

  1. Check the draft sentence against the sample material text. The input is "pending review" for D-0610, the unfilled qualification field for supplier S, and the registered temperature record; compare the three conclusions in the draft sentence against the material text; the observable result is that none of the three conclusions is supported by the material text, so the sentence is marked as requiring verification.
  2. Check empty-result handover using a paper input of []. The input is an explicitly written empty array; compare whether the downstream node is designed with a branch for an empty result; the observable result is that the downstream produces no procurement approval and no delivery action, and records only the gap.
  3. Check output handover using the document fields in the sample. The input is the order number, item, quantity and status of D-0610 collected by the form; compare the fields actually received by the later node; the observable result is that the fields match item by item, and no automatic execution record of a database write or external synchronization appears.
