Trade and FX administration: retrieval for procurement

Review retrieval for procurement in Trade and FX administration. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

The trade and FX administration category centers on the authenticity of foreign-exchange funds and the underlying trade background. This differs from letter-of-credit document examination, which reviews a full set of credit documents. For inventory procurement and supplier records, the materials are collection receipts, trade contracts, invoices, and foreign-exchange business registration records. These materials update per transaction and monthly. That update frequency does not create batch synchronization or transaction-triggered mechanisms at the retrieval step.

Document quality directly affects vector search precision. Counterparty names, amounts, contract numbers, and registration status are spread across separate documents. Retrieval-term quality and chunk completeness jointly determine recall. A collection receipt may name a payer and payee, an amount, a date, and a contract reference. A contract may name a seller, a buyer, goods, and a signing date. Neither document type necessarily records funds-arrival confirmation or contract effectiveness conditions.

Constraints at the retrieval step

The knowledge base search node can associate one or more knowledge bases that use the same vector model. Knowledge bases using different vector models cannot be associated together. At operation time, verify the vector model identifier and exclude non-matching bases. Do not run cross-model retrieval to compare missed recall.

Referenced content is output as an array, and its length can be 0. Even when no content is found, this output path still completes. Search modes include semantic retrieval, full-text retrieval, and hybrid retrieval. Hybrid retrieval merges results through RRF. RRF is a fusion process, not a standalone switch. The minimum relevance value takes effect only during semantic retrieval or when result reranking is used. This threshold is a filter condition and does not perform permission or entity isolation. Retrieval results do not constitute authorization. Business verification, approval, database writes, and external synchronization require separately connected system implementations.

Hypothetical drill sample: a trade enterprise finance staff member holds the following source text. "Collection receipt: payer Company A, payee Company B, amount USD 50000, date 2025-03-10, remark contract number HT-2025-018." "Trade contract HT-2025-018: seller Company B, buyer Company A, goods are electronic components for inventory procurement, signing date 2025-02-01." Draft sentence to be assessed: "Company A has completed payment to Company B, and contract HT-2025-018 has taken effect." The draft sentence presents payment completion and contract effectiveness together. The source text records only the receipt date and the contract signing date. It does not record payment-arrival confirmation or contract effectiveness conditions.

Configuration and implementation checks

The configuration below concerns retrieval and verification for this page's sample. It lists only documented settings or implementation checks. Numeric values are hypothetical starting points for this drill, not official defaults.

Configuration itemHypothetical drill starting pointReason and comparison method
Associated knowledge basesAssociate only knowledge bases using the same vector modelVerify the vector model identifier, exclude different-model bases, and do not run cross-model retrieval
Search modeHybrid retrievalThe sample contains contract number HT-2025-018 and natural-language description; compare semantic and full-text recall paths
Reference limitSet to a token amount covering the sample textCompare against two to three sentences of source text, observe whether references are complete, then adjust
Minimum relevanceLabel relevant and irrelevant sample fragments first, then set a valueTakes effect only during semantic retrieval or reranking; not used for permission filtering
Question optimizationEnable for short questions or questions containing referencesCompare the original question with the optimized question and check whether the subject was altered
Result rerankingUse when a rerank model is available and enabled per settingsReranks candidate text; the score is used for filtering and does not guarantee a first-position hit

Three common errors

  1. Treating minimum relevance as a permission or entity-isolation mechanism. Input is the sample draft sentence; the comparison object is the referenced content returned by retrieval. If raising the threshold is expected to exclude unrelated enterprise records, that is a misuse. The relevance score does not perform authorization filtering.
  2. Treating a pending-review or pending-signature status as completed. Input is contract HT-2025-018 with signing date 2025-02-01; the comparison object is the draft sentence "the contract has taken effect." If the material does not record effectiveness conditions, the claim is unsupported and cannot be judged as effective.
  3. Associating knowledge bases with different vector models and then inferring missed recall. Input is two bases with different model identifiers; the comparison object is the association operation. The correct action is to verify identifiers and exclude non-matching bases. Do not fabricate a runtime result after joint association.

How to verify the setup

  1. Input the sample source text "Collection receipt: payer Company A, payee Company B, amount USD 50000, date 2025-03-10" and the draft sentence "Company A has completed payment to Company B." The comparison object is the date recorded on the receipt and the payment-completion wording in the draft. The condition is met when retrieval returns the receipt source text and the payment-completion portion of the draft is judged unsupported, because a receipt date does not confirm funds arrival.
  2. Input the sample source text "Trade contract HT-2025-018: seller Company B, buyer Company A, signing date 2025-02-01" and the draft sentence "Contract HT-2025-018 has taken effect." The comparison object is the signing date and effectiveness conditions. The condition is met when retrieval returns the contract source text and the contract-effectiveness claim is judged unsupported, because signing and effectiveness are distinct facts.
  3. Input a paper-based empty result array []. The comparison object is the downstream reference path design. The condition is met when the empty-result output path still completes. Do not claim that a fabricated rule's retrieval necessarily returns []. For cross-model bases, verify identifiers first and exclude non-matching ones. Do not run cross-model retrieval to compare missed recall.
