What the documents look like
Cross-border product compliance happens before listing and import, and its core evidence is product safety and label material. In the inventory procurement and supplier material stage, the documents handled include product test reports, English labels, MSDS files, and platform prohibited-item lists. These materials come from suppliers. A compliance specialist checks the subject, object, version, and valid scope recorded in each document, then decides whether that document can support procurement or listing.
Materials update irregularly. Each new product launch can bring a new report version or a label revision. Citation tracing therefore has to point back to a specific document and a specific version, not to a general topic. The retrieval step described here only produces candidate references. Whether a reference may be used still depends on a separate validity-version review.
Constraints at the citation tracing step
The knowledge base search node can select one or more knowledge bases that share the same vector model. Its output is an array of references, and the length may be zero. An empty array means the output path still completes; it does not mean the workflow errored out or terminated.
Retrieved output is passed to a downstream answering step. The answer text and the cited source text need to be compared item by item. Citation display should rely on a traceable sample. A thinking process or a fluent answer does not replace source evidence. Version checks need to separate the current version from a historical version, and adopting a citation still depends on validity-version review. Retrieval is not authorization. A relevance score does not act as a permission filter or an entity filter.
Hypothetical paper test case: a supplier submits an English label draft. The source text reads: "Product: Children's Cotton T-Shirt. Flammability test report no. GZ-2024-0871, issued 2024-03-15, valid for the listed style only." A separate procurement handover request reads: "Use this label for all children's apparel procurement batches in this order." The question to decide: does the valid scope of the test report in the label draft cover all procurement batches in this order? The source text states only that the report is valid for the listed style. It does not state coverage of other styles or batches. The conclusion is not supported. Either the report coverage needs to be supplemented, or each style needs to be checked separately.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this trial | Reason and comparison method |
|---|---|---|
| Associated knowledge bases | Select the supplier material base already ingested | Check the vector model identifier of each base; only matching models can be associated together |
| Search mode | Hybrid search | Compare with semantic search results and observe whether identifier-type queries are more stable |
| Citation limit | Set to 800 tokens | Compare with 400 tokens and observe whether the needed report passage is covered |
| Minimum relevance | Set to 0.3 | Compare with 0.5 and observe whether low-score citations are filtered and whether valid passages are missed |
| Question optimization | Enabled | Compare with disabled and observe whether the retrieval terms are completed during multi-turn follow-up |
| Result rerank | ReRank enabled | Compare with disabled and observe whether ordering changes when candidates are numerous |
These values are hypothetical starting points for this paper trial. They are not official defaults. The comparison method for each row is a side-by-side observation of the two stated values under the same input.
Three common errors
- Treating a zero-length citation array from the search node as a workflow error. The search node output permits an empty array, and the empty-result path still completes. Check: supply an explicit empty array as input and observe whether the downstream answering step handles the no-citation condition. The observable result is whether the downstream step proceeds without a citation, or whether it reports a failure that the documentation does not describe.
- Treating a similarity score as a permission or entity filter. Minimum relevance only filters low-score results. It does not exclude unrelated businesses or unauthorized records. Check: compare the citation list for the same query at two score thresholds and confirm that the authorization decision requires a separate system implementation. The observable result is whether the citation list changes only by score, and whether any authorization label appears in the output.
- Extending the valid scope of the test report in the supplier label draft to all procurement batches. The source text states "valid for the listed style only." Check: compare the proposed sentence word by word against the source scope wording and confirm whether batch coverage appears that the source does not state. The observable result is whether the proposed sentence adds a batch scope absent from the source.
How to verify the setup
- Input the label source text and the proposed sentence from the hypothetical sample. Compare the proposed sentence "for all children's apparel procurement batches in this order" against the source wording "valid for the listed style only." If the citation list contains the label and the answer does not extend the scope to all batches, the condition is met. If the answer directly confirms coverage of all batches, the condition is not met.
- Input a short question containing only a supplier name. Observe whether the citation array returns empty or low-score results. If the array is empty and the downstream answer states clearly that no valid source was retrieved, the condition is met. If the answer gives a definite conclusion with no citation, the condition is not met. This check does not claim that a fictional rule will always return an empty array; it observes the downstream design against an explicit paper input of an empty array.
- Input the current version and the historical version of the same label. Compare whether the two citations point to different version identifiers. If the answer distinguishes the versions and indicates that the current valid version governs, the condition is met. If the answer mixes content from both versions without noting the version, the condition is not met.
Material identity, object, stage, date scope, and authorization boundary remain as stated in the hypothetical sample. Where the source does not state a field, that field remains unknown. A pending review is not approval, an offered option is not execution, and an unsigned termination is not a completed termination.
