What the documents look like
Returned-goods refurbishment and resale handles reverse logistics and item condition, which places it in a different operational stage from first-leg replenishment. The working materials for this category are return inspection sheets, refurbishment records, scrap declarations, and relisting lists. The typical participants are cross-border sellers, overseas-warehouse quality inspectors, and after-sales supervisors. Inspection photos and marketplace return reports determine whether an item can be refurbished, scrapped, or resold, and that determination feeds directly into refund cost and the agreement between physical stock and book inventory. Materials are produced daily or per batch, and the scope of one batch is bounded by that batch's return records.
For document chunking in procurement and supplier materials, the practical consequence is that a chunk has to keep an inspection conclusion attached to the batch, item, and status it governs. When a condition, a note, and a conclusion are split into separate chunks, retrieval can return a fragment that carries the conclusion without the scope that limits it. Original data and retrieval indexes sit at different layers, and one group of original data can map to more than one index. Retrieval locates content; it does not grant authorization, and it does not replace approval, a database write, or synchronization with an external system.
Constraints at the document chunking step
Chunk boundaries must preserve the correspondence between a conclusion and the batch, item, and status fields it constrains. Procurement and supplier materials for this category are read alongside inspection and refurbishment records, so a supplier-facing question about replacement, credit, or resale eligibility depends on retrieving the inspection conclusion together with its batch scope. A chunk that holds only the conclusion, or only the batch header, leaves the reader unable to tell which items the conclusion covers.
A hypothetical paper exercise sample for checking: the source text to be compared reads, "Batch B-2405, returned item is a portable juicer, inspection conclusion is housing scratches and a motor that runs, recommended for refurbishment and relisting; the scrap declaration does not list this batch." The draft sentence to be judged reads, "The items in batch B-2405 have been approved for scrap and will not be relisted." The comparison objects are the subject batch, the item, the status field, and the effective scope. The source conclusion recommends refurbishment, and the scrap declaration does not cover this batch, so the scrap status in the draft sentence is unsupported.
Retrieval is not authorization. A retrieved inspection conclusion, a completed form, or a search hit does not show that a scrap decision was approved, that a refund was issued, or that an item was relisted. Those remain downstream business actions that require their stated implementation and their own evidence.
Configuration and implementation checks
| Configuration or check item | Hypothetical starting value for this exercise | Reason for the choice and the comparison object |
|---|---|---|
| Search mode | Hybrid search | Inspection sheets carry both identifiers and natural-language conclusions; compare semantic-only and full-text-only recall against the combined result |
| Minimum relevance | 0.3 | Hypothetical starting value, used to observe whether low-scoring fragments are filtered; compare against an unfiltered result |
| Reference limit | 2000 tokens | Hypothetical starting value, controls the length of one reference; compare against a shorter limit for fragment completeness |
| Question optimization | Enabled | Completes references in multi-turn follow-up; compare against the disabled state for query completeness |
| Result reranking | Enabled | Second-pass ordering when candidates are numerous; compare against ordering by fused score alone |
| Segmentation check | Segment by inspection-sheet structure | Keeps conclusion, batch, item, and status together; compare against fixed-length splitting |
The numeric values above are hypothetical starting points for this exercise and are not official defaults. Image retrieval requires image input and a model with the corresponding capability. Reranking requires a rerank model and must be enabled in the settings. Hybrid search uses RRF to merge result sets; RRF is a fusion step in the pipeline, not a separate toggle. The reference limit is expressed in tokens, not in a top-k item count. Minimum relevance applies only under semantic search or when result reranking is used, and it is a filter threshold rather than a final ordering rule.
Three common errors
- Treating a scrap status in a draft sentence as the source conclusion. The check input is the sample source text and the draft sentence; compare subject, batch, and status fields. The source recommends refurbishment and the scrap declaration does not cover the batch, so the draft sentence is unsupported.
- Treating a retrieval hit as authorization to execute. The check input is the retrieval result and the handover request; compare whether the request states an approval and an execution status. A retrieval hit does not show that scrap was approved or that relisting occurred.
- Treating a successful upload as an updated index. The check input is the upload record and the training status; compare the actual index state. When the two do not agree, record the gap rather than assuming the index reflects the new material.
How to verify the setup
- Search the sample source text for "B-2405 refurbishment" and compare whether the returned fragment contains the batch, the item, and the refurbishment recommendation. A fragment that omits the status field does not satisfy the condition.
- Search the draft sentence against scrap evidence and compare whether the returned content supports a scrap status. When only the refurbishment recommendation is returned, the scrap determination is unsupported.
- Check the downstream design with an empty input and observe the system response against the expected handling branch. No claim is made that a fictional rule necessarily returns an empty result.
All three verification steps address the primary task of this page and were not actually executed. Libraries built on different vector models cannot be associated with each other; check the identifier first, exclude non-matching libraries, and record the actual observation. A pending review does not show that an operator lacks permission. Signing, reaching an agreement, and a contract taking effect are three separate facts. A quotation validity period does not state a supply period. Where a field is not provided, the value is unknown, and the evidence gap is recorded as it stands.
