Chain-store site selection: citation tracing for procurement

Review citation tracing for procurement in Chain-store site selection. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Site selection and store opening occur before a store begins trading, and the core work is leasing and engineering delivery. In this phase, inventory procurement and supplier records typically appear as supplier quotations, sample confirmation records, procurement intentions, and delivery schedules. These materials differ in validity period, signature status, and authorization scope, and those differences determine whether a citation can serve as a basis. Records update irregularly, per store, so a citation must name the corresponding store and version.

The category differs from franchise store supervision because the work happens before opening rather than during operations. Main data sources include trade-area footfall, map POI, historical store-type POS data, and landlord materials. Typical roles are chain headquarters expansion, regional development, and engineering managers. Errors here produce opening losses, delayed delivery, or deposit loss.

Constraints at the citation tracing step

The knowledge base search node selects one or more knowledge bases that share the same vector model, and it outputs a citation array whose length can be zero. The citation limit is measured in tokens. The minimum relevance value takes effect only under semantic retrieval or result reranking. A retrieval result does not constitute authorization, and each cited item must be checked against the source text.

Hypothetical drill sample: a chain headquarters expansion department holds a Supplier Quotation (number GYS-2026-014) stating "Quotation object: East China new-store kitchen equipment; quotation valid until 30 June 2026; supply schedule subject to the signed procurement contract." The same file includes a Sample Confirmation Record (number YP-2026-003) stating "Sample confirmed; procurement contract not yet signed." Draft sentence to be judged: "The supplier has committed to supply, and the opening schedule can proceed according to the quotation."

Three common errors

  1. Treating the quotation validity period as the supply deadline. Error input: the draft sentence states the schedule can proceed according to the quotation. Comparison: the quotation's "valid until 30 June 2026" against "supply schedule subject to the signed procurement contract." Observable result: the draft sentence exceeds the source scope.
  2. Treating sample confirmation as contract effectiveness. Error input: citing YP-2026-003 to support "has committed to supply." Comparison: that record states "procurement contract not yet signed." Observable result: a pending-verification status is written as a settled fact.
  3. Treating a retrieval hit as authorization. Error input: using the retrieved quotation to show an order can be placed. Comparison: the retrieval output against the authorization field. Observable result: the authorization status remains unsupported.

How to verify the setup

  1. Input the GYS-2026-014 source text and the draft sentence. Compare the quotation object, validity period, and supply schedule fields. The condition is met when the draft sentence matches the source text or is explicitly marked as exceeding its scope.
  2. Input the YP-2026-003 source text and the phrase "has committed to supply." Compare the signature status field. The condition is met when "not yet signed" is identified and the item is judged pending verification.
  3. Input an explicit paper empty array [] passed downstream. Compare whether the downstream design handles an empty citation. The condition is met when the downstream does not error and does not claim retrieval will always return empty.

For the same subject, same period, and same field, only explicitly mutually exclusive values count as a contradiction. A field that is not stated, or evidence that covers only a related stage, is unsupported or pending verification. A pending review does not demonstrate a lack of operating authority. Signing, reaching cooperation, and contract effectiveness are three distinct facts. A quotation validity period does not indicate a supply deadline. Do not supply authorization or effectiveness clauses to obtain a definite answer; record the evidence gap. Materials needed for verification must sit within an accessible target retrieval scope or an explicit manual input, and a missing item is recorded as a gap.
