What the documents look like
A Shopify standalone store leaves payment configuration, shipping rates and fulfillment services to the merchant. The platform does not run a single automatic return process across all orders. This shapes the material that store service and internal training staff handle during workflow routing.
Four document families appear in this category. Order details come from Shopify Admin. Shipping rate templates come from the merchant's own configuration. Shipping labels come from carrier systems. Refund records come from payment gateway and order data. Inventory location data supplies the fulfillment location attached to an order.
These documents update per order and daily. That cadence matters for training because staff compare a draft statement against the current state of an order rather than against a summary produced once. The routing step decides which staff member or branch receives the material, and the documents themselves do not carry an authorization decision.
Constraints at the workflow routing step
The Form Input node is a user interaction node. When it triggers, the conversation enters an interaction state, the workflow state is recorded, and execution continues after the user completes the interaction. The node collects required information and passes it to later nodes after submission. The User Selection node behaves in the same interaction family. When the user makes a choice, the node evaluates that choice and executes the corresponding yes branch. Both nodes record workflow state and wait for the user before continuing. The interaction state is a node behavior. No separate global state-recording switch is documented.
Collected values can be passed to later retrieval, judgment or interface nodes. Order writes, document backfill and external status synchronization require a separate business interface or a later process. Retrieval and form collection do not constitute authorized execution. A pending review does not demonstrate that an operator lacks permission. A request awaiting a decision does not mean approval is complete.
Hypothetical paper exercise sample. A merchant's training material contains three records. Order details record: "Order A-001, paid, awaiting shipment, fulfillment location Warehouse A." The shipping rate template records: "East China region, first 1 kg, shipping fee 10 yuan, applicable 1 March 2024 to 31 March 2024." The refund record states: "Order A-001, no refund request." A draft sentence reads: "Order A-001 is authorized to ship from Warehouse A and to synchronize fulfillment status." This draft must be compared item by item against the three records. The records do not state a shipping authorization field, do not state a synchronization operation record, and do not state the operator's permission scope.
Configuration and implementation checks
The settings below relate to the sample above. Each row is either a documented setting or an implementation check. The starting values are hypothetical test starting points for this exercise, not official defaults.
| Configuration item | Hypothetical test starting point | Reason and comparison method |
|---|---|---|
| Required fields on the Form Input node | Order number, payment status, fulfillment location | Compare each against the order detail field names; a missing field means the submission is incomplete |
| Branches on the User Selection node | Yes branch connects to shipping verification; no branch connects to manual review | Compare the branch taken against the draft sentence outcome; only the matching branch executes |
| Interaction state recording | Node interaction wait enabled | Check against the documented interaction state; no separate global switch is added |
| Information transfer target | Later retrieval node receives the form output | Compare the form output item by item against the retrieval node input |
| External operation split | Order writes and status synchronization marked as separate interfaces | Compare against the documented division of business actions; do not configure them as automatic execution inside the node |
| Empty-result handling | A retrieval return of an empty list routes to manual review | Use the paper input [] to check the downstream design; do not claim a fictional rule retrieval always returns [] |
Three common errors
- Treating the payment status and fulfillment location collected by the Form Input node as shipping authorization. Input: the three sample records above. Compare the draft phrase "authorized to ship" against the order detail "paid, awaiting shipment." The records state no shipping authorization field, so the conclusion is unsupported.
- Treating the User Selection result as completed approval. Input: the draft sentence and the User Selection node configuration. Compare "yes branch executes" against "approval complete." The node only executes a branch. Approval status requires a separate process. These are not the same fact.
- Treating retrieval output as a permission filter. Input: the retrieval node output and the order details. Compare the retrieved records against the authorized scope. Retrieval does not perform permission or entity isolation. Authorization requires a separate check of the operator permission field.
How to verify the setup
- Input the sample order details, shipping rate template and refund record. Compare the draft sentence "Order A-001 is authorized to ship from Warehouse A and to synchronize fulfillment status" against the record fields. The records state only paid, awaiting shipment, fulfillment location Warehouse A and no refund request. No shipping authorization or synchronization operation record is stated. The judgment is unsupported. Record the evidence gap.
- Input the same sample and the User Selection node configuration. Compare the selection result against the draft sentence outcome. A yes selection executes only shipping verification. A no selection enters manual review. Do not treat branch execution as approval or authorization completion.
- Input the paper value [] and the downstream design of the retrieval node. Compare the empty-result handling path. The downstream enters manual review. Record the actual observation. Do not guarantee a first hit, full recall, or that an unrelated query returns empty. Libraries using different vector models cannot be associated together. Check the identifier first and exclude those that do not match.
This page addresses only Shopify standalone order fulfillment, store service and internal training, and workflow routing. During an operational handover, staff must distinguish which materials, operations and requests hold what authorization status. Retrieval and forms are not authorized execution.
