What the documents look like
After-sales repair and reship work aims to restore a product to use. Cases close through completed repair or a reshipped part, while a direct refund belongs to a separate dispute category. The main data comes from the after-sales system, the order system, repair sites and the parts warehouse WMS. Daily documents include repair requests, reship orders, inspection reports and parts outbound orders. Updates occur per order and per day, so a store handover has to distinguish the state of a single case from the day's aggregate state. The three most time-consuming steps are deciding between repair and reship, coordinating parts, and following up on customer confirmation. These three steps determine how workflow branches are arranged.
Constraints at the workflow routing step
The form input node enters an interaction state when triggered, records the workflow state, and passes collected information to later nodes after the user fills required fields and submits. The user selection node also enters an interaction state, and after the user makes a choice it executes the corresponding "yes" branch. In store service and internal training, the repair-versus-reship decision can use the user selection node to let the customer confirm a handling method, while fields from the inspection report and parts outbound order can be collected through the form input node. The recorded interaction state is the node's own behavior; no separate global state-recording switch is documented. Collected information must be passed explicitly to later retrieval, decision or interface nodes. Order writes, document backfill and external status synchronization require a separate business interface or a later process. Retrieval and forms do not constitute authorized execution.
Hypothetical drill sample: a repair request states, "Applicant: store after-sales role; object: faulty complete unit of order A; status: accepted, pending inspection; valid scope: inspection and repair quotation for this order." A draft sentence reads, "The customer has agreed to switch to parts reship, please ship directly." This draft differs from the source in subject, object and status. The source records only pending inspection. It records no customer agreement to a reship and no shipping authorization.
Configuration and implementation checks
| Configuration item | Type | Purpose and check method on this page |
|---|---|---|
| Form input node | Documented | Collects required repair request information and passes it to later nodes after submission |
| User selection node | Documented | Asks about repair or reship and executes the "yes" branch after a choice |
| Interaction state check | Implementation check | Confirm that triggering enters the interaction state and records the workflow state |
| Output handoff check | Implementation check | Compare collected information item by item against the inputs of later retrieval and decision nodes |
| External operation split | Implementation check | Order writes, document backfill and status synchronization connect to a separate business interface |
| Hypothetical trial starting point | Hypothetical for this page | Uses "accepted, pending inspection" in the sample as the comparison baseline; this is not an official default |
Three common errors
- Treating "the customer has agreed to switch to parts reship" in the draft sentence as a verified fact. The source records only accepted and pending inspection. Agreement to a reship is unsupported and cannot serve as a shipping basis.
- Treating the "yes" branch of the user selection node as authorized execution. That branch shows only that the user made a choice and that the flow continues. Order writes and parts shipment still require a downstream interface or human authorization.
- Treating a retrieval result or a form submission as a permission decision. Retrieval and forms collect values. They do not perform business verification, approval or entity isolation.
How to verify the setup
- Input the hypothetical source text and the draft sentence, then compare the subject, object and status fields. The source subject is the store after-sales role, the object is the faulty complete unit of order A, and the status is accepted and pending inspection. The draft has a different subject and object, and its status is not stated. When the three fields do not correspond, the draft sentence does not meet the condition and is recorded as unsupported.
- After the user selection node, verify each "yes" branch connection one by one. Input the choice result from the sample and observe whether later nodes continue along that branch. If a branch is not connected or the choice result is not passed on, record the item as pending verification rather than as completed authorization.
- Use the paper input [] to check the empty-result handoff design and observe how downstream nodes handle a path with no retrieval result. This check verifies the handoff design only. It does not claim that a fictional rule retrieval necessarily returns [], and it does not guarantee a first hit or full recall.
