What the documents look like
Customer-service knowledge-base maintenance for store service and internal training works with four main material types: FAQ entries, script templates, product parameter tables and escalation tickets. These materials come from the customer-service system, product detail pages, after-sales problem statistics and quality-inspection sampling. The maintenance work is preparatory question-and-answer material organisation, and it does not directly approve refunds. Material update frequency is weekly or monthly, and this rhythm affects version replacement of knowledge-base entries; this page does not derive batch synchronisation or real-time trigger mechanisms from that rhythm.
In the store-service and internal-training setting, workflow routing organises FAQ entries, script templates and product parameter tables into an interactive question path, and turns the problem types recorded in escalation tickets into user-selection branches. Typical roles are customer-service supervisors, knowledge-base operators and product operators. The consequences of error are answers that miss the question, escalated complaints and failed customer-service training.
Constraints at the workflow routing step
The form-input node is a user-interaction node. When it is triggered, the conversation enters an interactive state, the workflow state is recorded, and execution continues after the user completes the interaction. The user-selection node judges the user's choice and executes the corresponding branch. Both nodes are user-interaction nodes, can be added repeatedly, and trigger execution.
Workflow routing for knowledge-base maintenance must separate three kinds of action. Existing node behaviour includes entering the interactive state, recording state, hiding the dialogue box, collecting required information, judging the user's selection and executing a branch. The fields that can actually be configured are the configuration items of each node itself. The manual comparison action is an operator checking whether output matches input. Business actions that require a separate system implementation include order writing, document write-back and external status synchronisation. Retrieval and the information a form collects from user entries do not constitute authorised execution. At operator handover, the authorisation state of materials, operations and requests must be confirmed separately outside the workflow.
Hypothetical paper exercise sample: a knowledge-base operator submits a draft FAQ entry awaiting review. The source text reads: "In store service, after the product parameter table is updated, the original script template is replaced within three working days; escalation tickets are confirmed by the customer-service supervisor for classification at the weekly meeting." A proposed sentence is also submitted for judgement: "After the product parameter table is updated, the original script template is discontinued immediately." The subject of this sample is the knowledge-base operator, the objects are the FAQ entry and the script template, the state is awaiting review, and the effective scope is store service and internal training. The difference between the proposed sentence and the source text lies in the replacement time limit: the source text states three working days, the proposed sentence states immediately. This difference requires manual comparison and does not constitute an automatic determination.
Configuration and implementation checks
Configuration is organised around the hypothetical exercise sample. The "hypothetical exercise starting value" column is used only for paper comparison; it is not an official default and is not a record of an actual test.
| Configuration item | Hypothetical exercise starting value | Comparison method |
|---|---|---|
| Required form-input fields | Problem type, store number, product parameter table version | Compare whether submitted information is passed to later nodes |
| User-selection branch | The "yes" branch connects to the script-template comparison node | Verify branch connections one by one |
| Interactive-state recording | Conversation enters the interactive state after the node is triggered | Observe whether the conversation enters the interactive state |
| Output handover | Form information is passed to later retrieval or judgement nodes | Compare output against input item by item |
| External operation division | Document write-back is connected to a separate business interface | Confirm it is implemented outside the workflow |
| Retrieval scope | Target retrieval scope to which access rights exist | Record the evidence gap when records are missing |
If retrieval libraries use the same vector model, they can be associated together; libraries using different vector models cannot be associated together, and identifiers must first be checked and non-matching libraries excluded. A relevance score does not carry permission or entity-isolation functions. For empty-result handover, a clearly written paper input of [] can be used to check downstream design; this does not claim that a fictional rule retrieval necessarily returns []. RRF is a hybrid-result fusion process and is not written as an on/off switch. Thinking budget is a reasoning budget and is not used as a citation token limit.
Three common errors
- Treating information collected by a form from user entries as authorised execution. The input is the draft FAQ entry awaiting review submitted by the knowledge-base operator in the hypothetical sample; the comparison object is the authorisation state; the observable result is that the draft remains awaiting review and no approval has been granted. Awaiting review does not demonstrate an absence of operating permission, and it does not constitute approval.
- Treating branch execution of the user-selection node as completion of business approval. The input is the user's selection of the "yes" branch; the comparison object is the approval action; the observable result is that branch execution indicates only a workflow path selection and produces no approval record.
- Treating joint association of retrieval libraries using different vector models as an executable comparison. The input is the identifiers of two retrieval libraries using different vector models; the comparison object is the vector-model identifier; the observable result is that when the identifiers do not match, joint association is excluded, and no cross-model retrieval is performed to compare missed recall.
How to verify the setup
- Verification one: use the proposed sentence from the hypothetical sample, "After the product parameter table is updated, the original script template is discontinued immediately." The input is the proposed sentence and the source text "the original script template is replaced within three working days." The comparison object is the replacement time-limit field. The observable result is that the proposed sentence writes "immediately" while the source text writes "three working days"; the two take different values on the same field, so the sentence is judged unsupported and requires manual confirmation.
- Verification two: use the awaiting-review state from the hypothetical sample. The input is the FAQ entry draft submitted by the knowledge-base operator. The comparison object is the authorisation-state field. The observable result is that the draft is awaiting review and shows no approval record, so it is judged pending confirmation and does not constitute a denial or a conflict.
- Verification three: use the required form-input fields from the hypothetical sample. The input is problem type, store number and product parameter table version. The comparison object is the information received by later nodes. The observable result is that after submission the information is passed to later nodes and the output matches the input item by item, which is judged correct handover. If information is missing, record the gap and do not infer automatic completion.
