Channel receivables: workflow routing for staff training

Review workflow routing for staff training in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection begins after credit sales. The work centres on credit granting and cash recovery rather than on matching buyers and sellers. The main data comes from the finance system, bank receipts, dealer orders and sales contracts. The documents handled day to day include the receivables ageing table, dunning letters, credit agreements and shipment freeze notices. In store service and internal training, brand finance staff, sales back-office staff and dealer owners all touch these materials. The update frequency given for this category is weekly or monthly.

The sources sit in different systems. The ageing table shows how overdue balances are distributed. A dunning letter records a point of contact. A credit agreement defines the limit boundary. A shipment freeze notice relates to supply status. Workflow routing has to connect the fields, states and handover points across these documents so that store service staff follow one path and internal training has a reusable process template.

Constraints at the workflow routing step

The Form Input node is a user interaction node. When it triggers, the conversation enters an interaction state, the workflow state is recorded, and after the user completes the interaction the workflow continues. The node collects the required information the user submits and passes it to later nodes. The User Selection node is also a user interaction node. When the user makes a choice, the node evaluates that choice and executes the corresponding branch. Both nodes can be added repeatedly and trigger execution. The interaction state is recorded by the node itself. No separate global state-recording switch is documented.

Information that is collected has to be passed explicitly to later retrieval, judgement or interface nodes, and the output and input are compared item by item. Order writes, document backfill and external status synchronisation require a separate business interface or a later process. A form collects values only. Retrieval or a form does not constitute authorised execution. During operational handover, the authorisation state of each material, action and request has to be distinguished.

Hypothetical paper exercise sample: on 10 March 2025 a brand finance staff member compiles the East China dealer ageing table. The source text reads: "As of 28 February 2025, dealer A has an outstanding receivable balance of RMB 1.2 million, of which RMB 450,000 is overdue by more than 60 days; the credit agreement sets a limit of RMB 1 million valid until 30 June 2025; the February shipment freeze notice has been issued with status pending dealer confirmation." A draft sentence to be assessed reads: "Dealer A has confirmed the freeze notice and agreed to repay RMB 450,000 within this week." The source text shows only that the freeze notice is pending confirmation, and no repayment commitment appears in the materials. The draft treats a pending state as confirmed and treats an unstated repayment commitment as agreed. This is an unsupported determination.

Configuration and implementation checks

Configuration itemHypothetical starting point for this exerciseReason and comparison method
Form Input nodeEnabled, collecting dealer name and overdue amountThe node documentation states it collects required information and passes it to later nodes
User Selection nodeEnabled, with branches for continue collection and route to humanThe node documentation states it executes the corresponding branch after a choice
Interaction state checkCheck the recorded state node by nodeThe documentation states interaction nodes record workflow state, with no global switch
Output handover checkCompare form output with downstream input fieldsThe documentation requires information to be passed explicitly to later nodes
External action separationOrder writes and status synchronisation connect to a separate interfaceThe documentation states the form collects values only, and business actions need downstream implementation
Retrieval association checkConfirm the same vector model identifierThe documentation states association is possible only within the same model, not across models

Three common errors

  1. Writing a pending state as confirmed. In the hypothetical sample the freeze notice status is pending dealer confirmation, while the draft says confirmed. The input is the notice status field, the comparison is between the source status value and the draft wording, and the observable result is that the two do not match. This is judged unsupported.
  2. Treating a collected form value as authorised execution. In the hypothetical sample the form can collect dealer name and overdue amount. If shipment freeze or order write is triggered directly from that, the input is the submitted form value, the comparison is against the documented capability boundary of the node, and the observable result is that the form node contains no business write action. This is judged to exceed the boundary.
  3. Treating a retrieval result as a permission filter. In the hypothetical sample retrieval returns an ageing table fragment. If that is used to conclude that the dealer has been granted credit or authorised to repay, the input is the retrieval output, the comparison is against the limit and validity period in the credit agreement source text, and the observable result is that the retrieval result contains no authorisation field. Retrieval does not carry out authorisation determination.

How to verify the setup

  1. Input the hypothetical source text: "As of 28 February 2025, dealer A has an outstanding receivable balance of RMB 1.2 million, of which RMB 450,000 is overdue by more than 60 days; the credit agreement sets a limit of RMB 1 million valid until 30 June 2025; the February shipment freeze notice has been issued with status pending dealer confirmation." Compare each factual assertion in the draft sentence "Dealer A has confirmed the freeze notice and agreed to repay RMB 450,000 within this week." The observable result is that the draft contains "confirmed" and "agreed to repay", which do not appear in the source text. This is judged to require return for revision.
  2. Input the dealer name and overdue amount collected by the form in the hypothetical sample, and compare them with the fields actually received by downstream nodes. The observable result is that downstream input matches form output item by item, which is judged correct handover. If an order write or status synchronisation action appears downstream, this is judged to require a separate interface.
  3. Input the ageing table fragment returned by retrieval in the hypothetical sample, and compare it with the limit of RMB 1 million and validity date of 30 June 2025 in the credit agreement source text. The observable result is that the retrieval output contains no authorisation conclusion, which is judged to mean retrieval does not constitute authorisation. If the draft then states "credit granted, shipment may continue", this is judged unsupported.
