What the documents look like
E-commerce warehouse receiving covers the first accounting-and-physical confirmation when goods enter the warehouse. This differs from picking and packing inside the warehouse, which handles goods that are already recorded. The main data sources for receiving are the WMS, ERP purchasing records, supplier delivery notes and barcode scanning. The daily documents are the purchase arrival note, the receiving inspection note, the putaway task and the discrepancy report. Typical roles are the e-commerce warehouse, receiving clerks and WMS administrators. Data updates occur per batch and per day. Errors here lead to inventory that does not match physical stock, later picking mistakes and supplier disputes.
In the store-service and internal-training setting, workflow routing handles operational handover material and training records. The purchase arrival note states the supplier, the arrival batch and the quantity that should arrive. The receiving inspection note states the quantity actually received and the inspection conclusion. The putaway task states the assigned storage location. The discrepancy report states quantity differences and responsibility. The field values in these documents form the input basis for workflow decisions.
Constraints at the workflow routing step
After the form input node triggers, the conversation enters an interaction state and records the workflow state. When the user completes the required information and submits, the node collects the form information and passes it to later nodes. The user selection node executes the corresponding "yes" branch after the user makes a choice. Both nodes are user interaction nodes, can be added repeatedly and trigger execution.
When receiving material enters routing, the nodes collect field values from the arrival note, inspection note and similar documents. Retrieval or a form does not by itself authorize a supplier, a storage location or an inventory adjustment. Collected form values, business verification, approval, database writes and external synchronization are separate stages; the latter require a separate business interface or a later process. Semantic recall and relevance scores in a retrieval library do not carry permission or entity isolation duties, and libraries using different vector models cannot be associated together.
Hypothetical paper exercise sample: the following material is constructed for this paper comparison and does not refer to any real customer or company. Purchase arrival note text: "Supplier: Hongyuan Trading; arrival batch: B-2024-071; quantity due: 120 units; arrival date: 15 July 2024." Receiving inspection note text: "Batch B-2024-071; quantity actually received: 118 units; inspection conclusion: discrepancy pending confirmation." Proposed determination request: "Based on the two documents above, write the inventory quantity for batch B-2024-071 into the WMS as 120 units and synchronize the supplier statement."
Configuration and implementation checks
| Configuration item | Setting or check content | Relation to this document |
|---|---|---|
| Form input node | Set required fields: batch number, quantity due, quantity received, inspection conclusion | Collects field values from the arrival note and inspection note |
| User selection node | Set the branch question: whether the discrepancy is confirmed; check the "yes" branch connection | Enters the manual judgment branch when the discrepancy is pending |
| Interaction state check | After triggering, confirm the conversation enters the interaction state and records the workflow state | Corresponds to the documented behavior of both interaction nodes |
| Output handover check | Compare form output item by item with the input of later retrieval and judgment nodes | Prevents field values from shifting during transfer |
| External action division | Mark inventory write and statement synchronization as requiring a separate business interface | Forms and retrieval do not perform writes or synchronization |
| Hypothetical trial starting value | Quantity due of 120 units as the starting value for this paper comparison, compared with the received quantity of 118 units on the inspection note | A comparison basis for this sample only, not an official default value |
Three common errors
- Treating form submission as authorization to write inventory. The form input node collects and passes information; inventory writes and statement synchronization require a separate business interface. Check method: input is the proposed determination request above, compare the "write into the WMS" action in the request with the documented behavior of the form node, and observe whether the form node has any write capability.
- Treating a retrieval hit as confirmation of supplier or storage-location permission. Semantic recall and relevance scores do not carry permission or entity isolation duties. Check method: input is a retrieval request for batch B-2024-071, compare the retrieval output with the authorization boundary, and observe whether the retrieval result contains any permission determination field.
- Treating "discrepancy pending confirmation" as a confirmed discrepancy. The inspection note states the inspection conclusion as discrepancy pending confirmation, and that status does not constitute confirmation. Check method: input is the inspection note text, compare "discrepancy pending confirmation" with the trigger condition of the "yes" branch of the user selection node, and observe whether that status meets the entry condition for the confirmation branch.
How to verify the setup
- Input the purchase arrival note and receiving inspection note text above, compare the quantity due of 120 units with the quantity received of 118 units, and fill in the form input node fields. The expected phenomenon is that the form collects two different values and passes them to later nodes after submission; if the two values are the same, the sample does not cover the discrepancy scenario and another sample must be constructed.
- Input the proposed determination request above, and compare the write and synchronization actions in the request with the documented behavior of the nodes. The expected phenomenon is that the request cannot complete a write or synchronization at the form and retrieval stages; if a write is observed, an external business interface has been connected and the authorization source of that interface must be checked.
- Input the inspection note text "inspection conclusion: discrepancy pending confirmation", and compare that status with the trigger condition of the "yes" branch of the user selection node. The expected phenomenon is that the status does not meet the confirmation branch condition and the process remains in a pending-verification state; if the process enters the confirmation branch directly, the branch condition settings must be checked. All of the above are paper expectations and were not actually executed.
