What the documents look like
Closure settlement for chain stores runs in the opposite direction from head-office site selection and store opening. It handles exit and asset recovery rather than expansion. The main data sources are POS inventory, the fixed-asset system, lease contracts and financial ledgers. The documents that circulate in daily work are closure approvals, inventory clearance forms, lease termination agreements and asset count sheets. The people involved are chain operations staff, finance staff, legal staff and the landlord contact. The brief marks the update frequency as irregular, one set per store, and this page treats that frequency as background only; the workflow routing described here does not depend on batch synchronization or real-time triggers.
For the store service and internal training task, the practical question is which materials, actions and requests sit at which authorization state during a handover. A closure approval waiting for review, an asset count sheet without a finance countersignature, and an unsigned lease termination draft are three different states, and none of them is a completed closure. Retrieval results and form submissions collect and return values; they do not confer authorization.
Constraints at the workflow routing step
The form input node is a user interaction node. When it triggers, the conversation enters an interaction state, the workflow state is recorded, and after the user fills in the required information and submits, the node passes the collected information to later nodes. The user selection node is also a user interaction node. It enters the interaction state in the same way, and when the user makes a choice, the node evaluates that choice and executes the corresponding "yes" branch. The waiting, state recording and dialog hiding are existing node behaviors. The public documentation does not describe a configurable submission count, automatic judgment, or snapshot guarantee for these nodes.
Two consequences follow for this page. First, interaction nodes collect values, and a collected value is not an authorization. Order writes, document backfill and external status synchronization require a separate business interface or a later process. Second, retrieval relevance does not carry permission or entity isolation duties. Libraries built on different vector models cannot be associated together; identifiers must be checked first and non-matching records excluded. An empty-result handoff can be checked against an explicit paper input to confirm the downstream design.
Hypothetical paper exercise sample. A chain brand operations specialist submits a closure handover request with three sentences of the source material reads "The closure approval form for Store A has the status waiting for regional manager review." "The asset count sheet has been filled in by store staff; no finance countersignature is present." "The draft lease termination agreement has been sent by the landlord contact; neither party has signed." The draft sentence to be judged is: "Store A has completed closure approval, asset review and lease termination, and inventory clearance may proceed." This draft sentence merges three states, waiting for review, not countersigned and not signed, into a completed state. The material does not state an authorization effective scope.
Configuration and implementation checks
| Configuration item | Value or check item on this page | Basis and explanation |
|---|---|---|
| Form input node | Collect closure approval form number, store identifier, submitter | Documentation states required information is collected and passed to later nodes |
| User selection node | Set two branches, "continue handover" and "return for supplement" | Documentation states the "yes" branch is executed according to the user choice |
| Output handoff | Pass form values to a later judgment or interface node | Compare output against input item by item |
| Interaction state check | Observe the conversation entering the interaction state and the state being recorded | Existing node behavior; no separate global switch is set |
| External action separation | Approval, countersignature, signing and inventory clearance connect to a separate business interface | Forms and selections do not perform these actions |
| Hypothetical trial starting point | Set the draft-sentence threshold to "all three states must be stated in the material" | This is a hypothetical starting point for this page, compared sentence by sentence with the source material |
Three common errors
- Treating a pending review as an approval. In the sample, the closure approval form status is waiting for regional manager review. If the draft sentence says "closure approval completed," the input is the approval form status field, the comparison is between "waiting for review" and "completed," and the observable result is that the two do not match.
- Treating a missing countersignature as a completed review. In the sample, the asset count sheet has no finance countersignature. If the draft sentence says "asset review completed," the input is the signature field on the count sheet, the comparison is between blank and signed, and the observable result is that the signature field has no record.
- Treating an unsigned draft as a completed termination. In the sample, neither party has signed the lease termination agreement. If the draft sentence says "lease terminated," the input is the agreement signature status, the comparison is between unsigned and signed, and the observable result is that the signature field is empty.
How to verify the setup
- For the sample draft sentence "Store A has completed closure approval, asset review and lease termination, and inventory clearance may proceed," input the three source sentences. Compare the draft sentence against three fields: the approval form status, the count sheet signature field and the agreement signature status. The condition is satisfied only when all three states are stated as completed in the material. The current material does not state this, so the result should be unsupported.
- For the form input node, input the closure approval form number and the store identifier. Compare the values received by later nodes after submission against the values entered in the form. The condition is satisfied only when the two match item by item. If later nodes do not receive the values, record this as an output handoff gap.
- For the "return for supplement" branch of the user selection node, input the selection action. Compare the branch actually executed against the configured branch connection. The condition is satisfied only when the executed "yes" branch matches the configuration. The documentation does not describe automatic judgment; the selection action must be made by the user.
