What the documents look like
Closure settlement handles exit and asset recovery, the reverse direction of site selection and store opening. The working materials come from POS inventory, the fixed-asset system, lease contracts and financial ledgers, and they are refreshed irregularly, once per store. The documents handled day to day are closure approvals, inventory clearance sheets, lease termination agreements and asset count sheets. The most time-consuming steps are counting inventory and assets, negotiating the lease exit, and settling employee and franchise amounts.
These characteristics shape what the interactive forms step must collect: store identity, object identity, quantity, status and the authorization boundary. The form node collects values and passes them downstream. Business verification, approval, write-back and external synchronization require their stated downstream implementation.
Constraints at the interactive forms step
The Form Input node is a user interaction node. When it is triggered, the conversation enters an interaction state, the workflow state is recorded, and execution waits. After the user fills in the required information and submits, the node collects the submitted form information and passes it to subsequent nodes. The node does not include business database functionality of its own.
The User Selection node is also a user interaction node. When triggered, the conversation enters an interaction state and the workflow state is recorded. When the user makes a choice, the node evaluates that choice and executes the "yes" branch. This node is not a personnel directory and not a business data selector.
Field validation, business approval, write-back and batch operations are implemented as needed in an external system or in subsequent nodes. Retrieval and form submission do not constitute authorization to execute. A pending review does not demonstrate that an operation permission is absent.
Hypothetical paper exercise sample. A chain-brand operations staff member submits a paper packet. The source text reads: "Store A submitted a closure approval on 1 March 2025, status pending review; the inventory clearance sheet lists 12 shelving units and 2 cash registers, not yet count-confirmed; the lease termination agreement is unsigned." A proposed draft sentence reads: "Store A has completed closure settlement, assets have been recovered, and the lease has been terminated." Against the source text, the approval is pending review, the count is unconfirmed, and the agreement is unsigned, so the proposed sentence is not supported.
Configuration and implementation checks
| Configuration item | Type | Description |
|---|---|---|
| Form Input node | Interaction node | Enters interaction state when triggered; collects submitted information and passes it to subsequent nodes |
| User Selection node | Interaction node | Enters interaction state when triggered; executes a branch according to the user's choice |
| Required-field review | Manual check | List the information this task cannot omit, then test the behavior with the field missing and with it supplied |
| Downstream division of work | Implementation check | Field validation, approval, write-back and batch operations are implemented in an external system or subsequent nodes |
| Hypothetical starting value | Hypothetical trial starting point for this page | Use the sample's "12 units, 2 units" as the count starting point and compare it with the actual quantity after count confirmation; this value is chosen because the sample source text states it |
| Retrieval observation | Manual observation | Record the actual return and the empty result; first-item hit and full recall are not guaranteed |
Three common errors
- Treating pending review as approved. In the sample, the closure approval status is pending review. If a form or branch continues on an "approved" path, the input is the sample source text, the comparison is between "pending review" and "approved," and the observable result should be that the approved branch must not be entered.
- Treating an unsigned agreement as terminated. In the sample, the lease termination agreement is unsigned. If the proposed draft sentence states that the lease has been terminated, the input is the sample source text, the comparison is against the signature status field, and the observable result is that the statement is not supported.
- Treating retrieval or a form as authorization to execute. If asset write-back is executed merely because the form collected store information, the input is the form submission record, the comparison is whether a downstream approval and write-back implementation exists, and the observable result is that execution must not occur when authorization and implementation are absent.
How to verify the setup
- Input the sample source text and the proposed draft sentence "Store A has completed closure settlement, assets have been recovered, and the lease has been terminated." Compare the approval status, count confirmation and agreement signature fields. The condition is met when all three fields agree with the source text and the sentence is retained; when any field is unstated, pending review or unsigned, mark the sentence as unsupported or pending verification.
- Input the sample's "12 units, 2 units" as the hypothetical starting point and compare it with the actual quantity after count confirmation. The condition is met when the quantity collected by the form matches the count result and the flow proceeds to subsequent nodes; when the quantities differ or the count has not been performed, record the difference and do not automatically determine completion.
- Input the form submission record for Store A from the sample and compare whether a downstream approval and write-back implementation exists. The condition is met only when a subsequent node or external system clearly implements approval and write-back; otherwise the request remains pending and is not treated as completed settlement.
