Franchise fee settlement: database operations for operating reviews

Review database operations for operating reviews in Franchise fee settlement. Check sources, input boundaries, error handling and repeatable test evidence.

What the documents look like

Franchise fee and deposit settlement centres on money movement and breach deductions, and it does not carry the government filing function that franchise registration management does. That difference keeps the data on a finance footing. The main sources are the finance system, franchise contracts, bank statements and store violation records. The working documents are franchise fee invoices, deposit ledgers, deduction notices and contract payment schedules.

An operating report or exception review has to align these materials by the same counterparty, the same period and the same field before it can say whether a given amount is receivable, received, pending refund or already deducted. Settlement data updates monthly, and a deduction updates the record for that single transaction when it occurs. A review has to keep those two rhythms apart and must not treat a monthly total as a per-transaction voucher.

The alignment relationship between the materials drives the work. A contract payment schedule states the receivable milestone, a bank statement states the actual receipt, a deposit ledger states the balance and refund status, and a deduction notice states the deduction reason. If those four material types are not kept under the same connection and the same backup policy, an exception review cannot trace where a difference came from. Vector retrieval only recalls similar content; it does not filter by counterparty, decide permissions or perform fund write-off. A retrieved deduction notice does not mean the deduction was authorized or executed. Database connections, cache, backup and recovery have to be checked against the actual deployment plan, and a configuration value must not be given a purpose inferred from its variable name.

Hypothetical drill sample. A franchise contract payment schedule states: "Party A: a chain brand; Party B: a franchisee; first instalment franchise fee RMB 50,000, due on or before 31 March 2024; deposit RMB 30,000, refundable on contract termination where no breach deduction applies." A bank statement summary states: "28 March 2024, receipt, RMB 50,000, memo: franchise fee." A deposit ledger records: "a franchisee, deposit balance RMB 30,000, status: on account." A draft sentence awaiting judgement reads: "The franchisee's first instalment franchise fee has arrived on time, and the deposit can be refunded directly after contract termination." A handover request awaiting judgement reads: "Operations is asked to complete this period's settlement on the arrived status and arrange the deposit refund."

Constraints at the database operations step

The constraint at this step is the reconciliation relationship between the materials. The contract payment schedule gives the receivable milestone, the bank statement gives the actual receipt fact, the deposit ledger gives the balance and refund status, and the deduction notice gives the deduction reason. A review that cannot reach all four under one connection and one backup policy cannot trace a difference back to its source. Retention scope therefore has to match the deployment, and the business database and the log database have to be checked for whether they are kept separately.

Retrieval is not authorization. A similarity score is not a counterparty, entity or permission filter, and it does not exclude unrelated businesses or unauthorized records. A hit on a deduction notice only shows that the document exists. Whether the deduction was approved, written off or synchronized downstream depends on the stated downstream implementation, and a form that collects values does not by itself perform business verification, approval, a database write or external synchronization. Scheduled triggers and hidden controls are not assumed.

The monthly update and the per-deduction update are two different rhythms. A review that compares a monthly total against a single deduction notice is comparing different scopes. The comparison has to hold the counterparty, the period and the field constant, and a field is only contradictory when the same field carries clearly mutually exclusive values in the same scope. A missing fact, or evidence that only reaches a related stage, remains unsupported or pending verification rather than being called a denial or a conflict. A pending request is not approval, an offered option is not execution, and an unsigned termination is not a completed termination.

Configuration and implementation checks

The table below lists settings that the official documentation states, together with implementation checks tied to this page's materials. The numeric starting values are hypothetical drill starting points chosen for this exercise and compared against the deployment's own observations; they are not official defaults.

Configuration itemHypothetical drill starting point and reasonCheck method
MONGODB_URISet to the actual main business database address for the deploymentCheck that the connection string and the backup scope cover the same database
MONGODB_LOG_URIWhen unset, the main database is reusedCheck whether the log database and the business database are retained separately
DB_MAX_LINKStarting point 10, compared against the deployment's own observed concurrencyObserve connection occupancy and errors; do not copy a threshold from another deployment
REDIS_URLSet to the actual cache address for the deploymentCheck that cache and business database do not share one instance
SYNC_INDEXLeft enabled so missing MongoDB indexes are created at startupAfter a change, check whether the same business sample can be reproduced
LOG_ENABLE_OTELStarting point false, enabled only when reporting is requiredCheck the reporting address and the retention policy against the deployment plan

Two further documented conditions belong here. FILE_TOKEN_KEY, AES256_SECRET_KEY and INVOKE_TOKEN_SECRET are required at runtime, and the shared boolean variables treat true, 1, yes or y as on with other values as off. A change to a database or service setting has to be followed by a check on the same business sample; a live process is not evidence that the change behaved as intended.

Three common errors

  1. Treating a bank statement memo as deduction authorization. In the sample the statement shows only that the franchise fee arrived; it does not state that the deposit refund condition has been met. The draft sentence "the deposit can be refunded directly after contract termination" lacks the contract termination fact and is unsupported.
  2. Treating a retrieval hit as a completed write-off. Retrieving a deduction notice shows only that the document exists; it does not show that the deduction was executed or posted. The check has to return to the ledger and the statement and compare the same field.
  3. Treating a pending handover request as authorized execution. The sample request "complete this period's settlement on the arrived status and arrange the deposit refund" is a request, not an approval outcome. Signing, reaching agreement and contract effectiveness are three distinct facts.

How to verify the setup

  1. Input the sample contract payment schedule and the sample bank statement. Compare the counterparty, period and amount fields for same counterparty, same period and same amount. The expected observation is that the franchise fee arrival fact holds, while the deposit refund condition still awaits contract termination evidence; where that evidence is absent, record the gap.
  2. Input the sample deposit ledger and the draft sentence. Compare the ledger status field against the wording of the draft. The expected observation is that the ledger shows only an on-account balance and the direct-refund conclusion in the draft is unsupported, so contract termination and no-deduction evidence must be supplied.
  3. Input the sample handover request. Compare the request text against the authorization record. The expected observation is that the request sits in a pending-review state and does not constitute execution authorization; progress requires a separately connected approval system, and while that connection is absent the gap is recorded.

For each check, state what is being compared and what remains unknown. Without a documented error code or an actual observation, the check describes the comparison and leaves the failure branch open rather than asserting a deterministic cause. Where a required material is not present in an accessible target retrieval scope or a stated manual input, the gap is recorded rather than filled.
