Brand repair services: retrieval for operating reviews

Review retrieval for operating reviews in Brand repair services. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Brand after-sales repair work is organized around warranty responsibility and physical repair outlets, so the material set extends past platform refund handling. The documents reviewed in operating reports and exception reviews include warranty cards, repair work orders, inspection reports and replacement approvals. Records accumulate per order and refresh daily, which means a review period contains a growing stack of work orders and approval entries rather than a single settled summary. The slowest steps reported for this category are judging whether a fault falls inside warranty scope, coordinating repair parts, and approving replacement or return. Retrieval for review work therefore has to organize these materials by subject, object, status and validity window so a reviewer can locate one specific document.

Retrieval output is reference content only. It does not grant authorization and does not execute any business action. A retrieved warranty card does not mean a replacement was approved, and a retrieved work order does not mean a repair was completed.

Constraints at the retrieval step

The knowledge base search node can associate one or more knowledge bases that use the same vector model. Bases built on different vector models cannot be associated together. Implementation first checks the vector model identifier, excludes bases that do not match, and does not run cross-model retrieval comparisons.

Search mode is compared against test questions rather than assumed. Semantic retrieval, full-text retrieval and hybrid retrieval each return different candidate sets for the same question, and no single mode is documented as suitable for every kind of material. The citation limit is measured in tokens, so content completeness is tested with materials of differing lengths before the limit is adjusted. The minimum relevance value takes effect only under semantic retrieval or when result reranking is in use; related and unrelated samples are labelled before the threshold is tuned. Question optimization performs coreference resolution and question expansion, and the original question is compared with the optimized question to check whether the subject was altered. Reference content is output as an array whose length can be zero, and the downstream chain still runs when nothing is retrieved. Similarity and relevance scores do not perform permission or entity isolation.

Hypothetical paper exercise sample. A warranty card reads: "Device model A-100, purchase date 12 March 2024, warranty period 12 months, mainboard fault is within warranty scope." A repair work order reads: "Work order number W-2025-0417, device model A-100, fault description mainboard will not power on, outlet intake date 17 April 2025, status pending inspection." A draft sentence awaiting review reads: "This work order falls within the warranty period, so the mainboard should be replaced free of charge." The comparison subject is device model A-100, the object is the mainboard fault, the status is work order pending inspection, and the validity window is 12 months from the purchase date.

Configuration and implementation checks

Configuration itemHypothetical starting point for this exerciseReason and comparison method
Associated knowledge basesAssociate one knowledge base containing warranty cards and repair work ordersCheck that the vector model identifier matches, and exclude bases with a different vector model
Search modeStart with hybrid retrievalRun the same test question under semantic, full-text and hybrid retrieval, then compare which content is returned
Citation limitSet to 2000 tokensTest content completeness with warranty cards and work orders of differing lengths, and compare against a smaller value
Minimum relevanceSet to 0.5Label related and unrelated samples first, then compare filtering results against a higher or lower value
Question optimizationStart with it enabledCompare the original question with the optimized question and check whether the subject was altered
Result rerankingStart with it enabledWhere a rerank model is available, compare ordering before and after reranking, and filter by score

These values are hypothetical starting points for this exercise, not official defaults. Actual configuration follows the fields described in the documentation.

Three common errors

  1. Treating a retrieval hit as authorization to act. In the exercise sample the work order status is pending inspection, while the draft sentence states that the mainboard should be replaced free of charge. The input is the work order status field together with the draft sentence; the comparison is whether "pending inspection" and "should be replaced free of charge" describe the same fact; the observable result is that the status does not record a completed approval.
  2. Associating knowledge bases that use different vector models. The input is two knowledge bases with differing vector model identifiers; the comparison is whether the identifiers match; the observable result is that the identifiers do not match, so that base is excluded from association and no cross-model retrieval comparison is run.
  3. Treating minimum relevance as a permission or entity filter. The input is a record unrelated to the business together with a relevance threshold; the comparison is whether that record is excluded because of the threshold; the observable result is that the threshold affects relevance filtering only and does not exclude unrelated business or unauthorized records.

How to verify the setup

  1. Use the warranty card text and the work order text from the exercise sample as input. Compare device model, fault object and work order status for consistency, and observe whether the reference content contains both materials. If the reference content is an empty array, record that this retrieval returned no content and check how the downstream design handles an empty result.
  2. Use the draft sentence "This work order falls within the warranty period, so the mainboard should be replaced free of charge" as input. Compare the work order status "pending inspection" against the replacement approval field, and observe whether the retrieval result contains a completed approval record. If it does not, record that the draft sentence is not supported by approval evidence.
  3. Use two knowledge bases with differing vector model identifiers as input. Compare the identifiers for consistency and observe whether the association is excluded. If the identifiers do not match, record that the base was not included in the association, retain the actual observation, and do not infer runtime behaviour.

The documented technical facts used to identify relevant content in this page are: the knowledge base search node can associate one or more knowledge bases that use the same vector model; search mode is compared across semantic, full-text and hybrid retrieval for a test question, and no single mode is assumed suitable for all material; the citation limit is measured in tokens, and content completeness is tested with materials of differing lengths before adjustment; minimum relevance takes effect only under semantic retrieval or when result reranking is used, and related and unrelated samples are labelled before tuning; question optimization performs coreference resolution and question expansion, and the original question is compared with the optimized question to check whether the subject was altered.
