What the documents look like
Trade returns and claims handle reverse logistics and responsibility determination after goods have left the country. This differs from ordinary export declaration work, which centers on the outbound filing. The main data sources are customer email, quality inspection reports, customs systems, and insurer claim systems. The everyday documents are return agreements, claim letters, quality reports, and return customs declarations. Data updates are irregular and progress case by case.
These materials do not arrive in step. Customer email comes first, the quality report follows, and the return customs declaration and claim record may lag by several weeks. Operating reports and exception reviews need to gather these scattered records for one case into a single handling thread. Workflow routing provides the order control for collection, branching, and handover.
Constraints at the workflow routing step
The form input node enters an interaction state when triggered, records the workflow state, and passes the submitted values to later nodes once required information is complete. The user selection node also enters an interaction state, and after the user makes a choice it executes the corresponding branch. Both nodes only collect and route. Order writes, document backfill, and external status synchronization require a separate business interface or a later process. Retrieval or form results do not constitute authorization, and they do not constitute a determination that a claim is valid, that a return cause is confirmed, or that responsibility is assigned.
Hypothetical drill sample: a trade after-sales staff member reviews a batch of return cases and receives customer email text stating that scratches were found on the appearance after the goods arrived in March, that the customer requests return and compensation, and that a reply is requested before April 10. The quality inspection report text states that 20 units were sampled, 6 showed surface scratches, and the cause was judged to be damage during transport. The return agreement is pending signature by both parties. The return customs declaration has not been obtained. The proposed handover request is to mark the case as return completed and enter claim approval. The subject, object, and status needed for a decision all sit in the same batch of materials, but two pieces of evidence are missing: the signature and the customs declaration.
Configuration and implementation checks
| Configuration item | Hypothetical starting point for this trial | Reason and comparison method |
|---|---|---|
| Required fields on the form input node | Case number, customer name, return cause, claim amount | Compare item by item against the fields in the customer email and quality report; a missing item leaves the case in the interaction state |
| Branches on the user selection node | The yes branch points to the evidence-complete path; the no branch points to the supplementary-materials path | Compare against the signature status of the return agreement and the obtained status of the return customs declaration |
| Interaction state record | Produced by the node's own behavior | Check whether later nodes receive the submitted content; no separate global switch is set |
| Output receiving node | Pass form values to a retrieval or judgment node | Compare output values against input values item by item |
| Division of external operations | Order writes, document backfill, external status synchronization | Check whether a separate business interface is connected; if not, record it as pending implementation |
The values above are hypothetical starting points for this trial, not official defaults. The form field values come from the sample materials themselves, and the comparison objects are the email, quality report, and agreement text of the same case.
Three common errors
- Treating a form submission as claim approval. In the sample, the return agreement is pending signature and the customs declaration has not been obtained. Submission only completes information collection, and approval requires a separate downstream process. Check method: input the sample email, quality report, and pending agreement, compare the form output against the agreement signature status, and judge an error if the output is marked as approved.
- Treating the yes branch of the user selection as a conclusion that evidence is complete. In the sample, the customs declaration is missing, and the selection action only decides the process direction. Check method: input the proposed handover request, compare the branch direction against the obtained status of the customs declaration, and judge an error if the branch enters claim approval directly.
- Treating retrieval results as authorization or entity filtering. Similarity in the retrieval library does not exclude unrelated business or unauthorized records. Check method: input the sample case number, compare the returned records against the case subject, and judge an error if records for another customer are returned without manual review.
How to verify the setup
- Form collection check. Input the sample email and quality report, compare whether the required form fields cover case number, customer name, return cause, and claim amount, and after submission check whether later nodes receive content with the same values. The expected result is complete fields and consistent transfer; a missing item stays in the interaction state.
- Branch direction check. Input the proposed handover request to mark the case as return completed and enter claim approval, and compare whether the yes branch points to the evidence-complete path. In the sample, the agreement is pending signature and the customs declaration has not been obtained, so the expected result is the supplementary-materials path; entering claim approval directly does not meet the condition.
- Empty result and external operation check. Use the paper input [] to check the downstream design, observe whether downstream handles an empty result as such, and do not assume retrieval necessarily returns empty. Check whether order writes, document backfill, and external status synchronization have a separate interface connected; when not connected, record them as pending implementation and do not claim they were executed.
This page addresses only trade returns and claims / operating reports and exception reviews / workflow routing. At operational handover, the authorization status of materials, operations, and requests must be clear, and retrieval or forms cannot be treated as authorized execution.
