Channel receivables: tool calls for operating reviews

Review tool calls for operating reviews in Channel receivables. Check document scope, failure paths and source evidence through controlled tests.

What the documents look like

Channel receivables collection happens after credit sales, and the work centres on credit exposure and cash recovery. The main data comes from the finance system, bank receipts, distributor orders and sales contracts. Day-to-day materials include the receivables ageing table, dunning letters, credit agreements and shipment freeze notices. The operating report and exception review task uses these materials inside the tool call and plugin step, where call configuration and result checking take place.

A tool call lets the model decide from context whether to run a given tool. The tool introduction states the purpose. Tool parameters divide into fixed parameters for system modules and configurable parameters for plugins. When a required parameter has no suitable value in context, the model may not call that tool. In advanced orchestration, available tools connect to the tool call module through diamond connection points; a connected tool automatically separates tool input from ordinary input, and its introduction can be edited to sharpen the timing of the call. A tool call termination node placed after a tool ends the current call, so no further tools run and no AI summary of tool results is produced. The custom variable node adds variable descriptions for nodes that are not treated as tool parameters, which lets the tool call reach that node and the workflow after it.

For this category, the operating review checks ageing, repayment plans, credit status and freeze conditions. The tool call node returns tool results to the AI for summarised output; when a termination node is attached, that summary is not produced. Retrieval results do not carry authorisation duties, and a similarity score does not act as an entity isolation or permission filter. Empty-reference output, context limits and same-model retrieval association keep their documented conditions.

Constraints at the tool calls step

The review must separate what the paper materials state from what a draft sentence claims. Consider this hypothetical exercise sample. A brand finance reviewer prepares a March 2025 operating review and holds paper materials with the following wording: "In distributor A's receivables ageing table as at 25 March 2025, the amount exceeding the credit limit is CNY 120,000; the credit agreement sets the credit limit at CNY 500,000, valid until 30 June 2025; the shipment freeze notice states 'shipment resumption will be decided after finance review'." The draft sentence under assessment is: "Distributor A has exceeded credit and shipment should be frozen automatically." The ageing table states the excess amount clearly. The notice addresses a decision on resuming shipment after review. It gives no automatic freeze rule and no record of freeze execution, and it cannot be rewritten as "no freeze runs before review".

Configuration and implementation checks

The following is a self-drafted implementation check for a read-only query plugin. Parameters must be configured by the implementer; the business amount comes from the paper sample and is not a software default.

Configuration itemAssumed starting point for this exerciseReason and comparison method
Tool introductionState the input conditions and the situations where the tool should not be calledCompare with the "after finance review" status in the sample to judge whether call conditions are met
Tool parametersCheck fixed parameters for system modules and configurable parameters for pluginsCompare with the ageing table fields in the sample to confirm the parameters are complete
Required parametersMark the credit limit as a required parameterIf absent the model may not call the tool; compare with the credit agreement in the sample
Tool connectionConnect only the ageing query and the credit queryTune with a small number of tools; compare with the scope of the sample materials
Tool call terminationAttach the termination node after the credit queryVerify that execution ends the current call at this point, with no further tools or AI summary
Custom variableAdd a variable description for the notice reading nodeCompare with the notice fields; reading the notice does not execute a freeze or a resumption

Three common errors

  1. Rewriting the pending resumption decision as a freeze rule. Input the notice text, then check the "resumption decision", the "automatic freeze condition" and the "freeze execution record" separately. The text supplies only the first item; the other two lack support and cannot be filled in as a pre-review freeze ban or an executed freeze.
  2. Treating a retrieved over-credit material as operational authorisation. The ageing table records the CNY 120,000 excess, which supports the over-credit fact in this sample. Whether a freeze is permitted, who executes it and whether it has run each need their own evidence; a query hit does not replace those checks.
  3. Treating a query tool call as a business change. Check whether the connected tool is read-only, whether a write node is also connected and what authority that node holds. This sample connects query tools only, so reading the notice cannot be described as a completed freeze or resumption.

How to verify the setup

  1. Input the full text above together with "Distributor A has exceeded credit and shipment should be frozen automatically." Mark the CNY 120,000 excess in the ageing table and the notice wording "shipment resumption will be decided after finance review" separately. The first supports the over-credit fact; the second gives no basis for automatic freezing, so the draft should remain pending review. The request text does not support a statement that a freeze has been executed.
  2. Input the ageing date of 25 March 2025 and the agreement end date of 30 June 2025, and compare whether the date falls inside the stated validity period. In this sample the date is earlier than the end date; the over-credit basis remains the excess recorded in the ageing table and is not derived from the date relationship. Check the freeze rule and the execution record separately; missing items remain pending.
  3. Input the proposed connection diagram for the read-only query tools and check whether the termination node sits at the end of the queries. Reaching the termination node should end the current tool call, with no further tools and no AI summary. Also check whether a business write node exists and what authority it holds; the termination node is not an approval step or a business status filter.

All of the above is paper checking; no call or execution has taken place. The paper input [] is used only to check the downstream design for an empty result. If retrieval is connected separately, check that the shared association library uses the same model identifier, and do not run cross-model shared association.
