What the documents look like
Store cold-chain receiving produces a small set of records that share one batch identity. The cold-chain vehicle temperature control unit supplies a temperature record covering the transport period. The store receiving system generates the arrival acceptance form and the rejection form. Quality inspection photographs support the sampling result. The supplier delivery note carries the batch number and quantity for cross-checking. These materials update per batch and per day, which sets the reporting grain and the traceable range for an exception review.
This page addresses document flow and report consolidation after arrival acceptance. It does not cover origin price inquiry or procurement pricing. Workflow routing needs to connect the temperature record, the acceptance form, the rejection form and the delivery note into a checkable node sequence, so that the acceptance conclusion for each batch maps to specific documents. A batch number that appears on one document and not on another is a routing gap, not a conclusion.
Constraints at the workflow routing step
The form input node enters an interaction state when triggered, collects required information, and passes the submitted information to later nodes. The user selection node evaluates the user's choice and executes the corresponding "yes" branch. The interaction state is recorded by the interaction node; no separate global state-recording switch exists in the supplied documentation. Information collected through a form must be explicitly passed to later retrieval, judgment or interface nodes, and output must be compared item by item against input.
Order writes, document backfill and external status synchronization require a separate business interface or a later process. Workflow routing itself does not perform these business actions. Linking a temperature record to an acceptance form and registering a rejection reason fall within what form collection and branch judgment can carry. Supplier dispute handling and regulatory submission need separate system implementation.
Hypothetical paper exercise sample: a store receiving team receives one cold-chain vegetable vehicle on 10 March 2025. The accompanying cold-chain temperature record states "transport temperature 2°C to 5°C throughout, arrival time 06:40." The arrival acceptance form states "batch B20250310, sampling passed, approved for receipt." The supplier delivery note states "same batch, quantity 120 boxes." An inspector drafts a handover request: "The temperature record and acceptance form for this batch are complete; apply to set the rejection form status to closed and synchronize to the supplier system." The authorization boundary for this request is: the form may collect a rejection-form closure application; supplier system synchronization requires a separate interface, and no configured record of that interface exists at present.
Configuration and implementation checks
Configuration below follows the checkable fields of the sample. Database internals are not listed as mandatory items for this page.
| Configuration item | Hypothetical starting value for this exercise | Comparison method |
|---|---|---|
| Required form fields | Batch number, arrival time, temperature range | Compare item by item against delivery note and temperature record |
| User selection branches | Two branches: "approved for receipt" and "rejected" | Check whether branch connections match the acceptance form conclusion |
| Temperature range judgment | Starting value set to 2°C to 5°C | Compare against the value stated in the temperature record; route to the rejection branch when exceeded |
| Rejection reason collection | Text field recording the specific reason | Compare against the content registered on the rejection form |
| Report batch grain | Aggregate by batch number | Compare against batch numbers on acceptance form and delivery note |
| Supplier synchronization | No interface configured | Record as pending separate implementation; not treated as executed |
The temperature range starting value of 2°C to 5°C is taken from the value stated in the sample temperature record and is used for this paper check. It is not an official default value. The required form fields and branch names are implementation checks for this exercise, not documented default settings.
Three common errors
- Treating a collected rejection-form closure application as a completed closure. Input: the handover request in the sample. Comparison object: the current status field of the rejection form. Observable result: the request text contains the word "apply," and the status field does not state closed. Record this as pending review; a pending request is not approval.
- Treating the "approved for receipt" branch of the user selection node as completed supplier system synchronization. Input: the acceptance form conclusion in the sample. Comparison object: the supplier system synchronization record. Observable result: the synchronization record is absent. Record this as not synchronized; an offered option is not execution.
- Aggregating the report without comparing the batch numbers on the temperature record and the acceptance form. Input: the sample temperature record and acceptance form. Comparison object: the batch number fields on both. Observable result: the temperature record does not state a batch number. Record this as a batch association gap; do not aggregate directly by the acceptance form batch number.
How to verify the setup
- Input the full handover request text from the sample. Compare the phrase "set the rejection form status to closed" against the actual status field of the rejection form. The observable result is that the status field does not state closed and the request uses "apply" wording. When this condition holds, record pending review; when it does not hold, record an evidence gap.
- Input the "approved for receipt" conclusion from the sample acceptance form. Compare that conclusion against the supplier system synchronization record. The observable result is that no synchronization record exists. When this condition holds, record not synchronized; when it does not hold, record pending verification.
- Input the sample temperature record and acceptance form. Compare the batch number fields on both. The observable result is that the temperature record does not state a batch number. When this condition holds, record a batch association gap; when it does not hold, record linked. For empty-result downstream design, a paper input of [] can be used to check the downstream branch; this does not claim that a fictional rule retrieval returns an empty result.
A relevance score is not a category, entity or permission filter, and retrieval is not authorization. Forms collect values; business verification, approval, database writes and external synchronization require their stated downstream implementation.
