What the documents look like
Receiving and putaway handles the first book-to-physical confirmation when goods enter the warehouse. The work draws on the WMS, ERP purchasing records, supplier delivery notes and barcode scans. The recurring documents are the purchase arrival note, the receiving inspection note, the putaway task and the discrepancy report. These materials update per batch and per day. Operating reporting and exception review need to line up conversation logs with those documents so that a discrepancy discussion can be tied to one arrival batch. A conversation log is not an inventory voucher. The presence of a log entry does not mean the book-to-physical count has been reconciled.
Two industry facts shape this page. First, the receiving step is the point where incoming goods first acquire an accounting identity, so any later picking error or supplier dispute traces back to what was recorded here. Second, the documents arrive per batch and per day, which means a review must anchor each discussion to a specific batch and date rather than to a running total.
Constraints at the conversation logs step
The chat interface identifies an application by appId, a session under that application by chatId, and a dialogue under that session by dataId. A review has to locate records with the same chatId and dataId. Sessions from different entry points cannot be pooled into one count. When run details are needed, set detail according to the official contract and inspect the module responses inside responseData. Business fields that are not returned cannot be assumed to have been retained in full. The similarity and score values in retrieval results express recall relevance. They do not constitute a permission or entity filter. A retrieved record is not a record that has been authorized for use.
Hypothetical paper exercise. On 12 March 2026 an e-commerce warehouse receives one purchase arrival. The purchase arrival note states: supplier A, material A, 200 units due. The receiving inspection note states: 198 units actually received, 2 units pending verification. The putaway task states: material A put away 198 units, location B-01. On the same day, in the session with chatId C-0312, an operator submits a draft handover request: "The 2-unit discrepancy in this batch has been confirmed as a supplier replacement shipment; please settle at 200 units." The request carries no supplier confirmation reply and no approval record. This sample is used for paper checking only.
Configuration and implementation checks
The table lists only settings or implementation checks that the official text describes and that bear on this function and this task.
| Configuration item | Hypothetical value for this exercise | Reason and comparison method |
|---|---|---|
| appId | Hypothetical receiving application identifier | Locates the target application; compare with the value actually passed in the request |
| chatId | C-0312 | Locates the session; compare with the session identifier tied to the document date and batch |
| detail | true | Set per contract when run details are needed; check whether responseData is returned |
| stream | false | Reads the response in one pass; compare with reading a streaming response event by event |
| dataId | To be obtained from the dialogue list | Locates the specific dialogue; compare item by item with the records retrieved |
| loadCustomFeedbacks | true | Reads custom feedback; compare with the feedback fields actually present in the records |
These hypothetical values are a paper starting point. They are not official defaults, and no call was made.
Three common errors
- Treating a retrieved record as authorized for use. Input is a retrieval result carrying a score. Compare that result against the authorization scope records, and observe whether an unauthorized record is treated as usable evidence.
- Writing a pending discrepancy as a confirmed conclusion. Input is the draft sentence above. Compare its phrase "confirmed as a supplier replacement shipment" against the inspection note wording "pending verification", and observe whether the conclusion exceeds what the material supports.
- Mixing dialogues from different chatId or dataId values. Input is records from two different sessions. Compare their identifier fields, and observe whether they are merged into one batch discrepancy review.
How to verify the setup
- Input the purchase arrival note, receiving inspection note and putaway task text above together with the draft sentence. Compare the draft conclusion against the quantities and statuses stated in the three materials. The conclusion is supported only when the materials contain a supplier confirmation of replacement shipment and the quantities agree. In this sample that confirmation does not appear, so the conclusion is unsupported.
- Input chatId C-0312 and the dataId obtained from the dialogue list. Compare the session and dialogue identifiers in the returned records. The same dialogue is confirmed only when the identifiers correspond item by item. When identifiers do not match, record the item as pending verification.
- Input a request with detail=true. Compare whether responseData and its module fields appear in the response. Fields may be cited only when they are actually returned. Fields that are not returned are recorded as unknown, and full retention is not presumed.
Reconciliation, retention and compliance obligations belong to a complete business solution. The existence of a log does not complete a compliance audit. Retrieval is not authorization, and a form collects values; business verification, approval, database writes and external synchronization each need their stated downstream implementation.
