What the documents look like
Compliance and labeling materials for cross-border goods cluster into four document types: product test reports, English-language labels, MSDS files, and platform prohibited-item lists. These materials come into existence before listing and before import. A single test report may address more than one destination country, and a single English label may be revised across several packaging versions.
For operating reports and exception reviews, the question is which material a stated conclusion cites, what version and validity scope that material carries, and whether the quoted content matches the source text. Materials update on an irregular schedule, and each new product listing can generate a new version. Under this rhythm, the same product may have several similar materials at different points in time, so a citation in a report must be able to locate a specific version. Platform prohibited-item lists and destination-country regulation libraries are external sources, and their update status affects whether a citation remains valid.
Constraints at the citation tracing step
The retrieval step outputs a citation array, and its length may be zero. An empty array means the output path still completes; it does not mean the workflow has terminated with an error. Citation content is then handed to the answering step, where each answer statement is checked against the cited source text.
Knowledge base search can associate one or more knowledge bases that share the same vector model. Bases built on different vector models cannot be associated together. During verification, confirm the vector model identifier first, exclude those that do not match, and record the actual observation. Semantic recall and relevance scores reflect content similarity only; they do not perform permission or entity isolation. The minimum relevance value is a filtering threshold and does not constitute an authorization judgment.
Hybrid retrieval merges multiple result paths through RRF, which is an internal merging method in the retrieval process and is not an independent toggle. Image retrieval requires corresponding image input and model capability, and reranking requires an available model and must be enabled by configuration. The paths shown in the overall document flow diagram do not mean every request executes all of them.
Hypothetical paper exercise sample
Source text for comparison (hypothetical paper exercise sample): A product test report for a batch of children's drinking cups, report number TR-2024-0871, issued on 12 March 2024, states that the 500 units in this batch comply with the migration limit requirements of destination country A, with validity through 11 March 2025. The report does not mention destination country B.
Draft sentence to be assessed: This batch of children's drinking cups has obtained a compliance test report covering both destination country A and destination country B, and can be used for listing in both countries simultaneously.
Handoff request: Ask the compliance specialist to confirm whether the draft sentence above can be written directly into the operating report.
Configuration and implementation checks
| Configuration or check item | Hypothetical starting point for this exercise | Reason for the choice and comparison method |
|---|---|---|
| Associated knowledge bases | Associate only the base containing this product's compliance materials | First check each base's vector model identifier; association requires a match. Compare the identifier against the base holding destination country B materials |
| Search mode | Hybrid retrieval | Report number TR-2024-0871 is an exact identifier. Compare identifier hits against a pure semantic retrieval result |
| Citation limit | Set to 2000 tokens as the starting point for this exercise | This batch's materials include report body and label text. Compare against a 1000-token result to see whether the report validity field is truncated |
| Minimum relevance | Keep the default, no adjustment | Used to observe whether destination country B fragments enter the citation under the default value, without presupposing a filtering outcome |
| Result reranking | Decide whether to enable based on the rerank model actually available | When enabled, compare rerank scores against citation order; when not enabled, record that this path did not execute |
| Citation output handoff | Check whether the citation array is passed to the answering step | Use an empty array input to check the downstream design and observe whether downstream handles zero length |
Three common errors
- Treating retrieval output directly as an authorization conclusion. Retrieving test report TR-2024-0871 only shows that the report content was recalled; it does not show that the batch has been approved for destination country B. The source report does not mention destination country B, while the draft sentence claims coverage of both countries, which is unsupported.
- Treating a relevance score as an entity or permission filter. Minimum relevance only filters low-relevance content. It does not distinguish materials belonging to destination country A from those of destination country B, and it does not exclude unauthorized records.
- Forcing knowledge bases built on different vector models into a joint association. Before association, the vector model identifiers must be checked. Those that do not match should be excluded and recorded; cross-model retrieval is not executed to compare missed recalls.
How to verify the setup
- Input the report source text and the draft sentence from the hypothetical sample, then compare the coverage claimed in the draft sentence against the destination country A scope stated in the report. The report does not mention destination country B, so the portion of the draft sentence concerning destination country B is unsupported, and the evidence gap should be recorded. If the draft sentence is still written into the report after comparison, the check does not pass.
- Input report number TR-2024-0871 as the search term, and compare whether the material corresponding to that number appears in the hybrid retrieval results. If the number is not hit and only semantically similar other reports are returned, record that observation and inspect the search mode setting, without presupposing that a hit necessarily occurs.
- Input an empty citation array, and compare how the downstream answering step handles it. If downstream accepts the zero length normally and records that there is no citation, the handoff design meets the condition. If downstream errors out or produces a conclusion without a source, record that failure branch. This check uses a paper input and does not claim that an actual retrieval necessarily returns an empty array.
